  1. When building custom reports, currently there is no way to add a Date column that updates to match the date range specified when viewing the report.

This is available on all pre-defined reports, but can not be added as part of a custom report.

There are many cases where it is desirable to build a report template that can be run for different, user-specified, date ranges, without having to edit the report each time.

  2. On the Employee tab when an employee moves pay rates it would be good to have a record of the history of changes to see when the rate changed and what all previous rates have been - this would make tracking rate changes and anniversary dates easier.

So if the rate changes in the pay template then the change is recorded (link) to say notes to keep track of rate changes.

Hey community, 👋 thanks for all your support on this idea, I'm popping in to switch it across to delivered!

Just before the end of the year, we rolled out support for ‘Payroll History’ in Australia 🎉

It includes a history of changes made to the Payroll Settings screen, and to the Employee Record, enabling you to see pay rate changes at a glance.

You can see the Payroll History in action on our Xero Blog post, Payroll history is launching in Australia.

  3. The new P&L report should allow a common format to compare all jobs automatically regardless of the number of options in a tracking category. Understand this is capped at 100 options. The old P&L report allowed this.

Thanks for the continued engagement surrounding the idea, everyone.

We've now updated the report and if using Tracking in your organisation you'll now see a new field in the new Profit & Loss for 'Compare tracking categories' from which you can select up to 200 options across your categories!

If you have needs beyond the 200 limitation, one way to set this up would be to save multiple custom reports which would enable you to switch between views quickly from the left side panel.

  4. It would be helpful with the new Timesheet features to be able to add more than one work time and break time per day to allow for split shifts.

Hey everyone, thanks for sharing your feedback throughout this thread. It’s clear how important this feature is, especially for staff working split shifts.

I’m happy to confirm that our latest update to timesheets brings the multiple start, end and break times feature across to the updated timesheet experience, and will be available on both Xero Me mobile and web.

For more information on these updates, and some other improvements we’ve made to Payroll check out our Xero Releases page

  5. Tried to amend the national insurance category to a v category for 6 weeks after the employees start date, as that is when they were valid from, to find the calendar will only allow me to amend to a date previous or on their start date with the company. Has anyone else encountered this issue at all?

Hi Laura, it looks like you also raised a support case about this which has since been resolved.

To recap, when you add a V category, you'll have the option to enter a date in which the category starts from. Then you would need to enter the date in which the employee was first employed as a civilian.

For example, V category is valid from 31 Jan, therefore you can only enter the employment civilian date up until 31 Jan. You won't be able to enter an employment date after the NI category date.

  6. Xero to create a function that allows you to see a total of Direct Bill Payment charges through a specified time period (similar to running a report on a specific account type). It is a direct cost and therefore it should be very simple to obtain the information. At the moment there is no real visualization, you can only obtain the information by multiplying the amount of payments made in a certain period by £0.24. When handling client money, this means a report needs to be created separately outside of Xero to show in a transparent manner what has been…

Hey Theresa, thank you for raising this suggestion. Whilst there isn't a report dedicated to showing the Direct Bill payment fees, you can use the Account Transactions report to see the fees for a specified time period.

The payment fees are recorded as spend money transactions to the 'Payment Fee' account. Running the Account Transactions report on this account will show you the fees paid.

  7. There needs to be the ability to undo/unlock a submitted ATO Activity Statement when lodgement has failed with the ATO and it has been rejected. When submitting an Activity Statement with a variation, they are often rejected by the ATO as the ATO recaclulates its own amounts and the submitted AS is rejected. This results in an AS that is listed as "Failed" un the Needs attention section of the Activity Statement page. There is currently no way for an end user to undo the failed AS to correct any issues for resubmission.

Hi community, as promised I'm back to confirm that the ability to revert a failed business activity statement back to draft is now live to all users.

Now, if your statement has failed to lodge with the ATO, you'll find an option to "Revert to draft" in the 3 dot menu icon next to the failed statement. When selected, the statement will be reverted to Draft status allowing you to correct it and re-lodge to the ATO.

Thanks for your input for this change 😁

Hi everyone, returning now a few months on from our last update we're going to move this idea to 'Delivered' with the change the team made to default to include a PDF of the invoice when sending an invoice from Xero when using new invoicing.

We understand there's a secondary need being asked within this one idea that we'd like to continue to gather feedback and support for and have sprung up a new idea for the ability to default include files attached to an invoice when sending from Xero - If this is what you're after please do join and add your support there too.

A somewhat similar but slightly different need bought up by some is the ability to auto include specific files when sending from Xero - For example Terms & conditions that have been created as a separate file.

You'll find this has been created by

The links don't appear live on the PDF documents so folks have to copy and paste them to view the additional content. It would be great if URLs could generate live hyperlinks so that additional information can be linked in the body of a quote / invoice / PO

    Hi Vanessa,

I just tested adding a URL in the Description field on a standard invoice template and when viewing the invoice as a PDF, the hyperlink to the URL does work if you mouse-over the first line of the URL.

Alternatively, if there are common links you want to direct your customers to, you could add them to other areas of your invoices, quotes or PO by using an advanced template.  For example you could create an invoice template for a certain type of scenario with the relevant links you need to share, and add them just below the line items and total amounts on the invoice. Then when you need to send these links you just select that invoice branding theme.

  10. Currently the various tabs on the Bills overview have a column for paid value and a column for due value. It would be useful to have a total column so that I can quickly see the value of each bill.

This would be especially useful where bills are part paid, as to find the bill total currently I would have to either add up the paid and due columns or look at the bill itself.

Hey community - we're delivering this idea 🎉

The team have enabled customisable columns in the Bills area, with the ability to show the Total amount on the following tabs: All, Draft, Awaiting approval, Awaiting payment, and Paid.

They've also added a new column on the All tab to show Paid date, as well as a new Credited column on the All, Awaiting payment, and Paid tabs.

Insurance Company ABC $200.00 for PIPL insurance, which goes to my GL account for PIPL Insurance and 2. Insurance Company ABC $ 130.00 for Business Insurance which goes…

    Hey Andrew,

Thanks for sharing your product idea! Find & Match in Xero already includes logic to suggest a matching transaction by comparing the amounts. It sounds like there may be some other logic set up in your reconciliation that’s suggesting the wrong transactions in error.

Since this is already available in Xero, I’ve marked your idea as delivered. I’d really encourage you to chat to our support team on this one, they’ll be able to assist with understanding why your transactions are being reconciled in this way 😊

The new 'Aged Debtors' report does not.

Thanks for all your feedback on this one, community 🙂

Good news! Recently, we rolled out an update to all our ‘as-at’ type reports.

Now, you’ll notice that the report runs as at the end of the current month by default, and all of the invoices for the month will appear in the column you expect them to. The Current column will still contain any future dated invoices when ageing by Due Date, but will always be empty now when ageing by Invoice Date - See our before and afters

  13. Reporting - ability to "save" a draft management report rather than "save as".

Being forced to "save as" every time you want to save your progress means you end up with dozens of versions.
As you can so easily navigate away from a report without saving, we have to save progress regularly when say adding notes and comments to a report. We then have to go back and delete old copies so that the lists of REAL draft reports are manageable.
We really need a "save and continue updating" option.

Hey community, just popping in with a quick update: this has been delivered 🎉
If you customise a report and save it, you’ll now be taken straight to the custom report.

If you then modify the report and re-save, it’ll update the custom report, rather than creating a new one!

Thanks again for all your feedback around this idea 😊

  14. Add an option when uploading receipts to scan in the receipt. This can then take all relevant information from he receipt and give you the option to match this expenses with similar information or to create a new spend money transaction.

Much quicker and simpler than manually adding this information every time you buy from a new supplier, and will be quicker to match to transactions.

  15. If you aren't using a mouse, files in the inbox can only be acted upon by using the checkbox and then tabbing to the buttons at the top of the inbox. You can open the kebab button to the right, but then you can't action any of the options on the pop up menu using spacebar or enter, which are the usual button-press keys.

  16. Aged Payables Summary - Invoices already paid showing + Print size

The old version report is far much easier and correct than this new one.
Old version would automatically show you invoices due for payment minus those already paid.

This new version of the summary shows all invoices regardless if they have already been paid.

The print is also smaller, need a magnifying glass to see.

I've tried running the report in the aged payable details, time consuming entering all filters and hiding columns to basically print the summary that the old version automatically gives you.

    Not sure why this…

Hi team, a coupe of steps to set up and you'll be able to get what you're asking here - Run the Aged Payables Detail report, selecting the Date range for 'Ageing periods' and 'Invoice date' for 'Ageing by' before Updating the report.

Once it's set if you save as custom you'll find you can get to this view quite easily when you need, and if it's a view you'll run often save it as a favourite to make it easily selectable from the Accounting drop down menu.

  17. INVOICING - in the field 'Unit Price', it would be great to be able to have this default to the hourly rate we charge (and to override if necessary). We send our invoices to our clients at the end of each month, and therefore there are several entries for the daily activities charged throughout the month, hence having to input the hourly rate several times for each invoice.

We’re excited to announce that we’ve now added the ability to search the Contact list by phone numbers. You’ll find you can search by all phone number types including phone, direct dial, mobile or fax number, from the contacts list to view all contacts with the associated detail. We hope this enhancement improves your ability to locate and quickly access contacts you’re doing business with.

Whilst we also appreciate the feedback in relation to searching phone numbers via Xero’s global search in the navigation bar, this specific idea is around the ability to search phone numbers saved against a contact record - If you'd like to see changes for search in relation to other fields we’d recommend creating specific idea threads for these separately so that we can gain support and consider each of these changes individually. Thanks

  20. we would like a one line aged receivables report which shows the notes in a column next to each client, eg so we can see at a glance where credit control is up to at a glance looking at all the clients rather than having to go into each one.
If not possible can we tailor a report e.g how would we show the credit limit on the aged receivable report in another column?

    Hey Kate,

Thanks for sharing this suggestion! I can confirm it’s already possible in Xero to see, at a glance, credit control information in the Aged Receivables report.

You’ll need to either add the ‘Credit Limit’ and ‘Available Credit’ columns to your Aged Receivables report, or use the ‘Customer credit limits’ Common Format, to surface this information.

I’ve attached a screenshot as an example, and you can read more about this in our 'Show customer credit limits' article on Xero Central.
