Ability to attached files to a pay run and employees
Hi everyone, thank you for your continued support and for sharing how valuable it is to keep employee documents in one place within Xero Payroll.
We’re pleased to share that this feature is now rolling out in Xero Payroll for all AU customers.
We'll be allowing Payroll Admins to upload files directly to an employee profile, securely store them against the relevant employee, and organise them into folders. They’ll also be able to view, rename, move, sort and delete files, with access restricted to Payroll Admins.
Expanding the feature to NZ and the UK isn’t on the roadmap just yet, but it’s something we’ll continue to consider as part of longer-term improvements. We’ve created separate ideas for these regions and added relevant voters from the idea here.
We’ll return to share another update once the Australian release is complete. 😊

This is great! Can this please also be available as part of the onboarding process, so that we can provide documents for signature/completion/upload to Files?

I was thinking more specifically about the Payroll section for each employee. It would be helpful if we could attach emails and any supporting documents provided by employees, such as updated employee details or new documents they send through.
This would allow us to keep all payroll-related employee documents together in their profile and upload a new version whenever an employee provides updated information.

Notes Section-Would it be possible to add an attachment option to the Notes section, rather than only being able to add a written note? This would be useful for keeping supporting documents together with the relevant notes

the comment versus status are confusing, it "in development" meaning Xero is developing the feature or rolling out to me means the feature is developed and been made available to Xero organisations.
If it's the second option is there a way we can see how that works? I checked the Demo file and there was no trace of document options there.

This is a long overdue improvement to the payroll module of Xero and will make life a lot easier for being able access all employee documents in one place

I would like the opportunity to add files/documents to employees in Xero for things such as leave approvals (where it is the payroll administrator applying for leave and someone else approves it) and pay review results

Hi what is the timeline to have ability to upload employees documents. Also it does not capture employees nationality information.

Employee details forms and TFN form etc, annual leave requests etc need to be able to upload to employees file. Otherwise they have to be saved externally to Xero which is not ideal. Thanks

I agree, my company is trying to go completely paperless, so the ability to add documents to an employee profile would be great and good support for audit purposes. I'm in the UK but believe this would be a good global addition.

Having just migrated to Xero from another payroll system, not having this functionality is greatly lacking. Especially as we are not able to store TFN and Super declarations in the employee record

Ability to upload attachments to employee files. Information that is recorded elsewhere by necessity (incident/injury reports, medical certs, employment contracts, contract amendments training records etc) are required to be kept on file. This is a very necessary function

I have Sales staff that earn commissions. I would like to upload their commissions report to their payslip (or payrun). The commissions report is an external system report.

Let's see how long it takes to get implemented.
If you need to manage licences, etc in the construction industry, I would suggest looking at an addon called Canyou which I was looking into for online onboarding before Xero brought that in. It's an additional cost and I see now they have increased their pricing to min $49pm (was $30pm) but does the reminders and management of licences. I was also looking for subcontractor info management such as insurance but it doesn't really do that

That is great news — this is a critical function. Being able to attach and store employee documents within their file is essential.
In the construction industry, it is particularly important to keep current licences, tickets, and certifications on file for compliance, insurance, and site requirements. Having everything centrally stored and easily accessible within Xero would significantly improve efficiency and reduce risk.
It would also be beneficial to include:
-Expiry tracking and reminders for licences and tickets
-A birthday reminder for employees
-An option to send a message directly from Xero (e.g. for birthdays or general communication)These additions would make the employee records feature far more practical and valuable for day-to-day business operations.

This will be fantastic!! It will be great to keep any documents associated to an employee just like you can a contact!!
Medical certificates, workers comp info, everything in one place instead of spread out over mulitple filing systems!!

Would be great if within the Payroll, we could upload staffs individual employment contracts. Would keep everything in one place.

Be able to add PDF documents (like files) to employee contact - i.e. employment letters or agreements.
