AU Payroll - Restrict which earnings rate an employee can select in timesheets
Ability to restrict which pay items an employee can view in Xero Me to only those that apply to that employee. Without this ability employees sometimes choose pay items that do not apply to them. Most often this is picked up at the authorisation stage but why allow the possibility for error in the first place.
Thanks everyone. We appreciate the thinking behind wanting to restrict which earnings rates employees can choose when they fill out a timesheet.
Since this idea was first raised we’ve made a small update - You can now assign earnings rates to employees and these'll appear first in the Xero Me app when an employee enters a timesheet. Just a heads-up that any other earnings rates will still show underneath and can still be selected.
As we continue to develop Xero Payroll in Australia this is something our product team have been keeping a close eye on. We’re planning work that’d let employees select only the earnings types in their Pay Template or the default rate from their employee record.
When this work moves forward I’ll come back here and share an update with you all. 🙂

I’ve worked out that instead of naming the earnings as ‘award rate level $X’ or whatever you assign to each employee, you can change the name of the earnings so for example ‘Bob - ordinary hours’, then you can have the option to show what you would like it to display as on their actual pay slip which is where you put there award rate level etc or whatever you used to have in the earnings name. But the earnings name is all the employees will see in their Xero Me app and not the in info you have put into the display name. Essentially this hides what award you have your employees on so each one of them, won’t be able to see it. Only what is on their individual payslip when they receive it. You just need to make sure on their pay template that you have selected their correct earnings name that you have assigned them to, then it all flows on from there! Hope this helps many people as it took quite a bit of playing around to work this out!

Absolutely ridiculous to have rates able to be selected that don't relate to those set up for an employee. I have had to create codes just for privacy reasons. Need to hide rates that are not available to employees.

Disappointed to see this is still an ongoing issue since at least 2023. Huge breach of privacy for staff to see separate earnings rates for other employees.
The option to attach an earnings rate to a particular day of the week would be a great feature. eg attach base rate to Monday - Friday, Saturday Rate to Saturday and Sunday Rate to Sunday.

I've only just discovered this is happening too. I naturally assumed the employee only saw the rate attached to them. There would be privacy issues around this surely. To have multiple generic options of eg "ordinary time" leads to all sorts of issues - employees could select the incorrect one, would have to manually keep double-checking the correct rate has come through if an error slipped through to a processed pay it would be a nightmare to fix Surely there is a way by permission to only see the rate applicable to them - I agree @Xero please fix urgently -- I'm from NZ so needs to reflect here too :-)

This seems like a basic necessity for timesheets. When setting up an employee, I should be able to nominate from the list of all pay items that they are allowed to select from when doing their timesheet.

There is the ability in Xero to create pay templates for each employee so why does this not reflect in XeroMe. They should only be able to see their own pay rates!
This is huge and breaches privacy for every employee. This should be high on the list of fixes.
If anyone knows how to action this, please lmk?

I have multiple pay roll categories and different levels for each employee. Even though this is set up correctly in Xero, in XeroMe, the employee can select any category or level. I not only have to check that hours are correct, but they have selected their own payroll level.
This is very confusing for staff and makes payroll harder for me.
Each employee only has their level setup in their Pay template in Xero, why can't this be reflected in XeroMe? -

I think it is absolutely essential that when using Xero Me employees are only able to view their own individual pay items. Being able to view the pay items of other employees in the organisation is a huge breach of privacy, and could cause a myriad of problems within employee groups. This needs to be fixed as an absolute priority.

I believe this is critical. I gave a pay rise to one of my staff members as he has more responsibility, unfortunately every one of my other staff members can see, that he has a payrise.
I did not know 1 of my other staff members clicked on the wrong pay rate and has been paying the pay rise. -

I don't understand why this is not locked, it makes no sense, causes confusion, potential for errors and considers how different everyone's rates are. I realise in the timesheet they can't see the rate but it feels close to breaching ethical privacy considerations.

Fix this ASAP. It would be a minor coding correction in Xero Me.
Limit the visible pay rates to what is on an employees pay template - SIMPLE.It has caused major issues in our business with employees questioning each others rates of pay.

This fix is urgently needed. Organisations that use award rates need to update those award rates in one place in payroll each year. You can only adjust rates across multiple employees by setting up extra Ordinary Hours earnings pay items, but then all these pay items show up as options on every timesheet, giving employees visibility across the organsation as to which award rates are being used in payroll. Completely unacceptable breach of privacy for a payroll system. Fix immediately.

I agree. Employees having access to all "earning rates" makes more work for me as the payroll officer as I have to double check all the staff have entered their correct earnings rate.

When entering timesheets for an employee, it would be great if the pay item defaulted to the employees pay template. When there are different departments and therefore different Pay Items setup, these are attached to the pay template for each employee, but when entering timesheet, you have to choose which one to use, as it defaults to the first one on the complete pay items list, which half the time is not right.
