Difference of Invoice template between Preview and PDF format
I have discovered that the invoices as they appear in the Preview button of an invoice only gives a preview of how the online invoice will display. This is therefore different from the PDF version of the invoice when it is downloaded as a PDF or sent to my clients. The PDF version looks a lot messier and looks far less professional. It was informed that, it is currently not possible to make the PDF version appear like the Preview version, or vice versa. I would like to know if anyone else has some ideas of how to align the…
20 votesHi everyone, recently we made a change to the Preview option in new invoicing. Now, when you select to 'Preview' in new invoicing this'll open a new browser tab with a view of the PDF of the invoice. This means you can also see how your invoice will look to the customer with a docx / advanced branding theme applied.
Our team are also doing more to look into how preview works and how your invoices look. We'll update again if there's more development to share.

Invoices - Create new repeating invoices from draft invoices
There is an issue with the new GUI for invoices in xero. My work flow requires making multiplke repeating invoices from a standard invoice. At present this can be done by creating a draft, and then converting the draft invoice to a repeating invoice. The draft stays put in the drafts folder and can be converted into a new repeating invoice. Once I have set up all the repeating invoices I require, I can delete the draft.
The option to create repeating invoices from drafts in the new GUI has been removed. Where is it?3 votesHi community, we have just gone live with the ability to create a new Repeat template from a Draft invoice 🎉

Create a payables report in Xero accounting software that shows all future committments due within a date range that includes supplier credit notes
1 voteHi Lea, this is already possible with the Payables Invoice Details or Summary reports. It's based on the date range set for the report. So if you set a date in the future you'll be able to see all activity that has been entered with a date in that period.

Reconciliation Report Pack - Automate process similar to older version
The Reconciliation Report pack is a critical part of our working papers and gives us multiple reports in one pack with one click. This report is being retired in July with no replacement in sight. Creating our own seems like a step backwards and from what I understand about creating report packs (which admittedly is not great), it will be difficult to add multiple bank account rec reports to a customised pack, not to mention that each business has a different number of bank accounts. BAS - Notification when Activity Statement is due
Xero should show at the top of the screen or show a notification if you have an activity statement to submit (otherwise you have to specifically go into "Activity Statement" under "Accounting" to check).
3 votesHi June, we've made a recent improvement for Activity Statements to surface the payment due date for any lodged statements. You'll find this from the list of Activity statements within the Completed section, and when you open a Statement you'll see the payment dude date shown at the top of the statement along with payment options to help simplify the process. 😊

New profit and loss report - Common format for tracking over 100 options
The new P&L report should allow a common format to compare all jobs automatically regardless of the number of options in a tracking category. Understand this is capped at 100 options. The old P&L report allowed this.

We've now updated the report and if using Tracking in your organisation you'll now see a new field in the new Profit & Loss for 'Compare tracking categories' from which you can select up to 200 options across your categories!
If you have needs beyond the 200 limitation, one way to set this up would be to save multiple custom reports which would enable you to switch between views quickly from the left side panel.

Direct Bill Payment - Report showing the payment charges
Xero to create a function that allows you to see a total of Direct Bill Payment charges through a specified time period (similar to running a report on a specific account type). It is a direct cost and therefore it should be very simple to obtain the information. At the moment there is no real visualization, you can only obtain the information by multiplying the amount of payments made in a certain period by £0.24. 1 voteHey Theresa, thank you for raising this suggestion. Whilst there isn't a report dedicated to showing the Direct Bill payment fees, you can use the Account Transactions report to see the fees for a specified time period.
The payment fees are recorded as spend money transactions to the 'Payment Fee' account. Running the Account Transactions report on this account will show you the fees paid.

BAS - Undo a failed Activity Statement lodgement
There needs to be the ability to undo/unlock a submitted ATO Activity Statement when lodgement has failed with the ATO and it has been rejected. When submitting an Activity Statement with a variation, they are often rejected by the ATO as the ATO recaclulates its own amounts and the submitted AS is rejected. This results in an AS that is listed as "Failed" un the Needs attention section of the Activity Statement page. There is currently no way for an end user to undo the failed AS to correct any issues for resubmission.

Now, if your statement has failed to lodge with the ATO, you'll find an option to "Revert to draft" in the 3 dot menu icon next to the failed statement. When selected, the statement will be reverted to Draft status allowing you to correct it and re-lodge to the ATO.

Live Hyperlinks on Quotes, Invoices & POs
We issue quotes / invoices to customers, and POs to our vendors that include links to more detailed instructions / specifications on our Sharepoint server. The links don't appear live on the PDF documents so folks have to copy and paste them to view the additional content. It would be great if URLs could generate live hyperlinks so that additional information can be linked in the body of a quote / invoice / PO

I just tested adding a URL in the Description field on a standard invoice template and when viewing the invoice as a PDF, the hyperlink to the URL does work if you mouse-over the first line of the URL.
Alternatively, if there are common links you want to direct your customers to, you could add them to other areas of your invoices, quotes or PO by using an advanced template. For example you could create an invoice template for a certain type of scenario with the relevant links you need to share, and add them just below the line items and total amounts on the invoice. Then when you need to send these links you just select that invoice branding theme.

New Aged debtors report - Full monthly aging periods
The 'old version' Aged Debtors report 'aged' the figures into months (as it should).
The new 'Aged Debtors' report does not.
If you run it at month end 'such as June' then the 'current' period' picks up 30th June, then the next period picks up 1st to 29th June.
It was reported to Xero support and their suggestion was......

Good news! Recently, we rolled out an update to all our ‘as-at’ type reports.
Now, you’ll notice that the report runs as at the end of the current month by default, and all of the invoices for the month will appear in the column you expect them to. The Current column will still contain any future dated invoices when ageing by Due Date, but will always be empty now when ageing by Invoice Date - See our before and afters

Reporting - Ability to 'Save' to same draft file (not Save as)
Reporting - ability to "save" a draft management report rather than "save as".
Being forced to "save as" every time you want to save your progress means you end up with dozens of versions.
As you can so easily navigate away from a report without saving, we have to save progress regularly when say adding notes and comments to a report. We then have to go back and delete old copies so that the lists of REAL draft reports are manageable.

Aged payables summary invoice date
Aged Payables Summary - Invoices already paid showing + Print size
The old version report is far much easier and correct than this new one.
Old version would automatically show you invoices due for payment minus those already paid.This new version of the summary shows all invoices regardless if they have already been paid.
The print is also smaller, need a magnifying glass to see.
I've tried running the report in the aged payable details, time consuming entering all filters and hiding columns to basically print the summary that the old version automatically gives you.
Not sure why this…
6 votesHi team, a coupe of steps to set up and you'll be able to get what you're asking here - Run the Aged Payables Detail report, selecting the Date range for 'Ageing periods' and 'Invoice date' for 'Ageing by' before Updating the report.
Once it's set if you save as custom you'll find you can get to this view quite easily when you need, and if it's a view you'll run often save it as a favourite to make it easily selectable from the Accounting drop down menu.

Aged Receivables report - Include credit control notes
we would like a one line aged receivables report which shows the notes in a column next to each client, eg so we can see at a glance where credit control is up to at a glance looking at all the clients rather than having to go into each one.

Thanks for sharing this suggestion! I can confirm it’s already possible in Xero to see, at a glance, credit control information in the Aged Receivables report.
You’ll need to either add the ‘Credit Limit’ and ‘Available Credit’ columns to your Aged Receivables report, or use the ‘Customer credit limits’ Common Format, to surface this information.
I’ve attached a screenshot as an example, and you can read more about this in our 'Show customer credit limits' article on Xero Central.

Reporting | Excel Export - Remove formatting
Please remove font size formatting and merged cells from excel exporting and open the exported spreadsheet at 100%.
18 votesHi team, rounding back to confirm that the changes shared last week have now been rolled out and you'll find the next time you export a report from Xero to Excel that the formatting will be a little different. To recap the updates we've made;
- The report will now default to 100% zoom (rather than 150%),
- we've adjusted the size of title and currency fonts for ease of reading, and
- made slight changes to the formatting of cells in rows for consistency across the report

Account Transactions Report | Paid or Unpaid Bills / Invoices
I wish to see if invoices are paid on unpaid when pulling account transaction reports.
Accounting - Account Transaction Report - Columns - (add if we can see if bill/invoice paid or unpaid)
There is no way currently when pulling this report to see if the bills are paid or not.

To view paid or unpaid invoices or bills you'll want to run the Receivable or Payable Invoice Detail reports. This is a slightly different report to what you're looking at and can be found in the Payables and Receivables section of the reports centre.

Bank Reconciliation report - Default to show decimal places
Can we please have the bank reconciliation reports default to show decimal places. I've never seen a bank rec that rounds off the decimals until Xero introduced it.

Earlier this year we rolled out a change to the Bank Reconciliation report, it now defaults to including decimal places. This can be changed by deselecting 'Decimals' from the 'More' menu. I've attached a screenshot as an example 😊
