  1. Xero Me - change of address - employee can lodge a notification through Xero Me to payroll for your change of address. The change could be approved by the payroll administrator and it immediately updates Xero, then an email would be sent to the employee to say the change of address has occurred. This would reduce administration time, spelling errors in address and encourage employees to keep their details up to date.

    Hi everyone, back to announce that employee profile updates have now been rolled out across NZ, UK and AU 😊

    With the updates employees can now view more fields within their employee profile, and update details that don't require admin approval, including;

    • Contact number & email address
    • Residential address (excluding State/Country)
    • Emergency contact information

  2. UK HMRC often carry out routine checks on compliance with PAYE and National Minimum Wage. In one NMW check we have been asked to provide them with a list of the names and NINOs of all staff employed by us between two specified dates. To make it easy they dont use tax years but calendar dates

    We need a standard payroll report that allows us to export a list with the employees name and NINO. The only way to create this at the moment is by a manual trawl

    Currently you can generate a Pension Contribution Report which includes the employees name and NINO 🙂 When creating the report - under Columns select the fields you'd like to include in the report as well as the date range. Once created, you can export it in PDF, Excel or Google Sheets. 

  3. Currently if a duplicate Bill to Pay is entered this only highlights/flags as duplicate when you are first creating the Bill or are editing the bill at a later date. Once it has been approved, it no longer highlights/flags this as a potential duplicate.

    It would be great if Xero could flag that this could be a duplicate in 2 places:
    1) on the bills to pay screen, somewhere out to the side (like the attachments) or perhaps the whole row in a different colour to identify that there are 2 bills for the same supplier with the same invoice…

    Hi team, as TJ noticed our duplicate detection service has now been released to all users 😁

    From the Bills list you'll now see a banner if there are duplicate bills to review and you can also access this option from the 3 dot drop down menu in the top left of the bills list. We've shared a bit more info on how this all works on Xero central.

    Right now you'll be able to take action on Draft or Awaiting payment bills from the Action column, however to view or edit a bill you'll need to return to the list page to open this.

    We're looking at possible improvements so you can view and manage ills within this page, too.

  4. I really don't want the details of the invoice to be in the body of the email. It looks ridiculous and some of it could be private. Please change it back or tell me how to change it. I really hate it in it's current format.

    Hi Teresa, this is actually possible already. 

    From the Email Settings you can select the Sales invoice template and you'l just want to deselect the 'Include action to online invoice and detail summary' then Save. 

    I do want to note, this does strip back the email formatting so you might like to send yourself a copy to see what this then looks like once the option has been disabled. Thanks

  5. As an organisation we want to sign up to cyber essentials. It will reduce our insurance liabilities as well as provide us with greater digital security. Currently Xero does not mandate the use of MFA authentication. I would like it to. Primarily for active users but ultimately for staff accessing payslips only as well.

  6. Offering a simple update to the Xero system which would dramatically improve one grey area:

    I had a discussion with my team and it's a common topic that keeps coming up - we find it very awkward having the 'Time Off' allowance displayed in 'Hours'.

    Just like some other tracking systems, they allow you to see your 'Time Off' as 'Days' which is much easier to glance at - instead of having to continuously calculate hours, which takes time and can cause confusion on some occasions.

    We would all very much appreciate it if you at least give the option…

    Hi team, we're happy to share that we've recently released a couple of updates to solve for the needs here!

    • Payroll admins can now view employee leaves balance in weeks, days and hours where the employee has a consistent working pattern set up.
    • On the employee front, you'll be able to view leave balances in hours and (days) within the Xero Me app.

    We'd like to say a big thank you to everyone for contributing here and being engaged with our product team to deliver functionality that's most impactful for our customers.

    We have more enhancements coming to the Xero Me app soon, stay in the know through the Long and Short of it, and releases on Xero Central.

  7. Sales tax code for Products & Services SKUs "Item Name"

    When you export the list of items from Products & Services you get a CSV with the fields:
    ItemCode ItemName SalesUnitPrice SalesAccount SalesTaxRate InventoryAssetAccount CostOfGoodsSoldAccount

    However, there is no field for "Sales tax code" which is used when you're leveraging AutoTax lookup integration with Avalara. Therefore, as we're converting to using AutoTax, we have ~700 SKUs here that we have to manually update ONE BY ONE!!!!

    This is insane. Why is this field not able to be edited in bulk like every other field?

  8. When a sales invoice is created, there should be a place where i can see what is the gross profit. If not, I would have to go back and forth between the inventory module and the sales invoice module to maunally calculate.

  9. The new invoicing will not allow e-invoicing without an ABN attached which defeats the purpose . Bring back the classic invoicing.

  10. Immediately after creating an invoice, you approve it, then a series of boxes appears at the bottom of the screen allowing you to receive the payment. Once payment is applied you can send the receipt to the customer. This is ESSENTIAL for accepting cash payments or any payment made at the time of delivery but before sending the invoice. Please add this feature from OLD invoicing to New invoicing.

    Hi Fiona, it's not necessary to send an invoice before adding a payment. Once an invoice is created in new invoicing the default option is 'approve and send' but 'approve' can be selected instead. A payment can then be added and receipt sent, with a similar workflow to classic invoicing.

    Atm there's no way to set the default approve option for an invoice. However, this has been raised as an idea across here if you'd like to add your vote. 🙂

  11. When emailing an invoice to a customer there is an option to insert a link to the invoice. However the link is always placed at the end of the message and I have to cut and paste it where I want it in the message.

    Could the link not be inserted where the active cursor is instead? Saving the user the hassle of moving the link.

    Hi community, with the improved send experience in new invoicing you'll find this is now possible. 

    When you add the Online Invoice link through placeholders, you'll see it is automatically inserted wherever the cursor is placed in the email on the left and you can get an instant visual of what this looks like to your customer on the right. 😊

  12. Classic invoicing feature missing from new invoicing format

    Some of our clients like to prepay so there are often credits to use. Upon approving an invoice, the classic used to say there was a credit available on that contact, click here to use it. There is no such feature on the new invoicing to indicate there is a credit available you have to go and manually check. As well as not informing you of an available credit, if you look at the new approved invoice there is no way apply an existing credit (only to create and apply a new…

    Hi Claire, when you approve an invoice for a customer that has available credit, you'll receive a prompt. If you choose to 'Skip for now', you should see an option to 'Apply credit' on the approved invoice. I've attached a screenshot of these in new invoicing. 

    If you're not seeing either of these options, I'd suggest double checking the name of the contact the credit note has been created for, and raising a case with our specialists at support to take a deeper look into things with you. 

  13. Ability to close and lock a period for accounting and reporting purposes to ensure that, once figures are reported and published, those figures do not change. Any necessary changes (VAT rates, corrections etc) to source documents could be made but the impact should fall in the current, open period.

    Hi team, returning to the idea here there are a few separate asks being raised. As mentioned in my last update on the idea here - currently for reporting purposes you can Publish report to keep a record of accounts at an as at date in the system. Alternatively to stop transactions being raised in past periods there are the existing lock date options.

    We have separate ideas for the recording a posting versus invoice date and another for setting separate tax and accounting period lock dates that I'd recommend adding your votes for if this is more what you're after.

  14. Please allow a customers unique name and number pasted into the "to" box, be the only customer information required to continue filling out the invoice.
    My continued use of Xero depends on this action to stay as it is.
    Some users will not want to use Xero invoicing other than to use it as a debtors ledger and GST etc manager.
    In our case, we paste the name and number in the TO field, the only " item " we sell is one invoice worth our invoice total. The invoice number and reference holds our real invoice number.

    Hi everyone, to confirm for anyone coming across the idea here. In new invoicing the contact card will open so you can add more details of a new contact. However, the name is the only field required, so you can simply enter the name and then click Save to continue on. 🙂

  16. In the classic invoicing history, we can see the date and timestamp, this is not available in the new invoicing - see attached screenshots.

    We use this time stamp a lot for trouble shooting - like what time or XPM and what time was the invoice approved. This helps if there is an integration problem or double up, or payment query.

    Well that was quick! 😉 It turns out along with an entry when an invoice is sent, our product team also managed to release time stamps 🎉

    In history & notes of new invoicing, next to the date you'll now see a time stamp of when an entry occurred. Thank you all who voted and shared with us on the idea, here.

    Hiya Simona, sorry for not updating you on this sooner.

    Shortly after the release of the new report our team made a change based on feedback, so the report now shows Employee name and Date as separate columns, and the columns will be included when running the report by default.

  19. In the same way that we have 'Approve & View Next' for invoices in the draft and awaiting approval sections, it would be useful to have a 'Skip to Next' function in the event that you are missing information or unable to approve at that time. This would certainly save several clicks and make the process more fluid.

    Hi team! Our new quick view feature in bills allows you to simply view your bill and it's details without having to leave the list view.

    Move from one bill to the next using the arrow options and once you've reviewed make bulk actions by selecting multiple bills and using the list bulk action options like Batch pay, Approve, Add planned date, Print or Void 🥳

  20. Why does the Project record not cross-reference the invoice number when the project is invoiced?
    And why do they not have dates that they were created or invoices?

    Just rounding back, we'll shift this idea to delivered. For anyone coming across the idea here - Currently within a Project you can click on the Quotes & invoices tab to view Invoices that have been raised with the Project assigned and this will also show the Invoice and Due dates. 😊
