Hubdoc - Convert bank statement to csv file
We would like Hubdoc to convert an uploaded Bank statement into a csv file.

We understand this request is especially important for customers and advisors who are working with PDF statements when a direct bank feed isn’t available, when a bank doesn’t offer a usable CSV export, or when manually converting and cleaning statement data adds extra time and effort.
When we last updated this idea, we shared that PDF bank statement conversion had been introduced in limited regions. Since then, we’ve continued to look closely at where we can best improve the document capture and data entry experience across Xero.
Hubdoc remains a core part of our offering, however to be transparent we’re currently focused on delivering more efficiencies through Xero directly - such as with our new Smart Document Capture within Xero Files.

Hubdoc - Ability to also flag duplicates when the invoice number is the same
Currently Hubdoc only flags an invoice as a duplicate if the supplier, invoice date AND invoice amount exactly match. This means if any of these are adjusted or Hubdoc doesn't pick up the exact correct details, the invoice wouldn't be flagged as a duplicate and could be double booked or worse double paid.
Hubdoc should flag an invoice as a duplicate if the invoice number is the same too. Yes there are rare scenarios where two suppliers issue an invoice such as '001', but it's much better for this to be flagged as a duplicate and reviewed, than actual duplicate…

Allow upload of Excel (.xls .xlsx) document.

Contacts - Set default settings when adding new contacts
Have the ability to set default settings for every new Contact you add to Xero.
Our default tax will always be Tax Exclusive for example. We should be able to set this as the default to all new contacts added, as well as:
Default account
Currency
Invoice Theme

Contact Record - Add Description column to Activity page
Ability to add "description" column on the individual contacts page. We often need to look through a supplier/customer to quickly see what types of purchases/sales we make, so having descriptions on this page is needed. Currently we have to run a report which is an unnecessary long way around.

Hubdoc - Increase GST Rounding for accuracy
Hubdoc uses a different method of rounding in the "Transaction Details" section compared to the "Destination Section" which causes a "Line item tax amounts do not total to document tax amount' error

It is due to a calculation error of rounding on the multiple split lines. The two values I have on an invoice are $20 and $3.70 including GST. Therefore 1.818182 and 0.336364 GST, if you sum these up it equals 2.154545. When rounded it equals 2.15 which is what my store receipt says and also what is within the…

Xero Files - Show email subject in Xero Files
Show the email subject line in Xero files.
It's simple enough to forward emails with invoices to my xero mailbox, but I don't have control over the filename. It would be great if Xero can show the subject line. That way I could change the subject line when I forward the email. It would look like a note on the invoice in Xero Files.
7 votesHi everyone, thanks for sharing and supporting this idea. The file name shown in Xero Files is taken from the name on the attachments. As a workaround these could be renamed before the emails are forwarded to Xero or renamed from within Xero files.

Hubdoc - Full integration with Xero files
I can email my receipts to Xero, when will Xero be integrating the same sort, file, and account application features that Hubdoc has so that I don't have to use Hubdoc at all?

Under the Doc window on the left, default setting should be REVIEW after you logon, as most Uses are not interested in items that have already been processed.

Hubdoc - Extract tax amount from the invoice
Extract tax amount from the invoice. This is required for compliance with VAT amount recorded in accounts must match what is on the invoice
Extracted Amount requires a manual entry of VAT amount. This is misleading as "extracted" suggests the amount has been extracted from the invoice.
20% on expenses option calculates from the NET AMOUNT or backwards from the GROSS AMOUNT, this is incorrect as the may not match VAT amount on invoice specifically where there are non or zero vat amounts

Contact | List - View 'new' contact and contact group allocation
Currently there is very limited information on the contacts main page. All it has is the name and if they owe or we owe. It would be so useful to see if they are allocated to a Contact Group and what date they were added, and perhaps the last transaction (so we can quickly bulk archive contacts that have not been used for a while). This would make contact management so much easier, as currently we need to click into each contact one-by-one which is just not feasalbe, therefore resulting in a contact system which is very unorganised.

As shared in our last update - our team has been progressing the next phase of work needed to bring this more meaningfully into invoicing.
We know many of you are looking for clearer timing, and while I’m not able to confirm a release date at this stage, I do want to reassure you this remains an active area of work for our product teams.

Hubdoc - Enable reconciliation to Xero when allocating to 0% tax account
Hubdoc's integration with Xero can be great when it enables automatic reconciliation of an invoice with accounts in Xero. However, if any portion of an invoice is allocated to an account in Xero that has a 0% tax rate, Publishing to Xero fails with the error message "Validation Err. Line item tax amounts do not total to document tax amount".
An example of where this occurs is where 50% of a transaction is deemed a business expense, while 50% of the transaction has a private use component, where the private use component is treated as personal drawings, e.g., the business…

Files - Ability to have sub files
Files is a great feature to use, to make it even more user-friendly it would be really useful to have a high level folder e.g. for the current FY, with the info sitting in sub-folders under it. that way you hold multiple years worth of info there, keeping it well-organised, easy to find and manageable.

Over the past year our team has been doing a lot of behind the scenes work for Files in Xero. We've released a new experience to our Files inbox, and while sub folders/files haven't made their way into the new experience just yet, I want to assure you our product team are aware of the vested interest here and how this could enhance your ability to organise and work with Files in Xero.
This continues to be a feature our product team are interested to explore longer term. While we'll move the idea to Accepted for now, we'll make sure to share any work and updates that could add benefit to your workflows with you all, here.

For manually uploaded receipts, the ability to edit the vendor and category in bulk would be be a big time saver.

Hubdoc - Publish receipt to existing Xero bill
Allow Hubdoc to publish a receipt to an existing 'BILL' in Xero without creating and new transaction and duplicating the amount. Failure to do this forces the user to upload the receipt directly into Xero files instead or opt not to use the BILL feature in Xero and publish transitions in real time from Hubdoc instead. For those wishing to have all their receipts in a magical shoe box in the cloud (Hubdoc) it appears that this would be a way forward.

Hubdoc - Extract all line item details including inventory items
Extract not only basic information like dates, names, etc., but also line items for less manual entry or having to find outside apps to do it.

We see how extracting more detail could help cut down manual data entry, and it's worth highlighting that since this idea was started we've added a few enhancements that may have solved the needs for some in this idea;
- Upload in Bills - you can now drag & drop or upload bills directly to your Xero organisation which could save you an extra step not having to publish
- Credit note detection - Hubdoc can now detect when publishing a Credit Note and will get you to review the document
- Improved the accuracy of the supplier
