Smart document capture - Use contact defaults when creating bills
Allow bills created from the files inbox to use a default VAT rate which could be set in the supplier record, this will massivley speed review of these bill, or where the category is picked up by Xero, use the default VAT rate for that category.
At the moment it takes longer to process bills through the inbox, than the old way as draft bills, although more information is recorded, I'm not sure of the benefit of a slower process
5 votesHi team, we'd like to share an update of a recent improvement we have released for Draft bills.
Regardless, of where a bill is created (e.g upload, smart document capture, third party app) once it is saved as Draft, when the bill is next opened from the Bills list Contact defaults will be applied automatically.
As requested here you can save the bill created through smart document capture, then open it within Bills and you should see you contact defaults automatically applied. 🙂
We appreciate hearing how this change would help save time and improve efficiency in creating and paying your bills.

Smart Document Capture - add credit note to drop down for document type
We often receive individual tax adjustment notes/credit notes from suppliers and I forward these to my inbox. If there was the option to select the document type as credit note from the Smart Document Capture pane, it would save me having to navigate to bills, new credit note and manually attaching the file to the transaction. This feature would streamline the processing of files within my inbox.

The ability to create supplier credit notes directly from uploaded files in Smart Document Capture has now been completed and is available globally.
Customers can upload a supplier credit note to Files, review the extracted details, and create a draft credit note in Bills — helping reduce manual data entry and keeping the supporting document attached to the transaction.
This release supports supplier (Accounts Payable) credit notes. Customer credit notes aren’t included at this stage.

Smart document capture bills
It would be great if the new smart document capture could link the bill that's being created to a purchase order. At the moment the only way to do this is to copy the purchase order to the bill. All our bills have to be linked to the PO's so not being able to do this in the new document capture tool makes it useless.

You'll find you can now drop down to select Bills as a document type to create from an analysed file. 😁

After uploading a file, one must select account and what it is (bill, invoice, expense, spend money)etc, before you see what it is. I should be able to open file, add all the details, while viewing the image/document
3 votesHi Tonya, it's currently possible to view a file you've uploaded to the library before having to add it to a transaction. Just click on the file name.

file library to dashboard
I would find it helpful to be able to add 'file library' to my dashboard. I have to upload receipts for on account purchases through the month in preparation for the end of month statement and it would speed things up to be able to open file library from dashboard
1 voteHi Sandra, while there isn't a button directly on the dashboard you can easily navigate to the Files library from anywhere in Xero using the keyboard shortcut '/f'. 🙂

when creating bills & uploaded invoices receipts via app need to show on the desktop in account transaction screen
when reconciling & uploading attached invoices/ receipts via app they don't show on xero desktop application in accounts transaction screen. It currently shows items as reconciled but with no uploaded documents icon.
1 voteHi Dean, from what you've described in behaviour it sounds like the files you've uploaded are attached to the invoice or bill directly.
If you've attached a file to a Receive or Spend money or Payment directly when reconciling on the Xero Accounting app you'll see a file icon next to the transaction on the Account Transactions list when viewing the bank account on the desktop that you can click and will open a preview modal of the files attached.
If you have attached files directly to your invoices or bills you'll be able to view the file icon next to these transactions from the relevant Sales or Bill list screens on your desktop.
