Bills - Automatically go to the next draft bill after approving bills to pay
When looking at Bills to Pay that are in Draft, we review the bill and approve. We then end up on the approved/awaiting payment bill screen. To get back to the next Draft bill to pay, we need to select "Bills to Pay" from the breadcrumb nav, then select back onto the Draft tab and finaly select the next bill.
It would be good to have an option of "Approve" where we can directly go to the next draft bill to manage.

Now when you're reviewing a Draft bill, you can click the drop-down next to Approve, and select 'Approve & view next', to take you to the next bill instead of returning to the list. Screenshot attached for reference. Enjoy! 😊

Bills to Pay list view - Show Tracking options
We use a lot of tracking options on our bills and invoices, sometimes we need to refer back to a particular bill in that tracking option for VAT treatment as an example, but the only way I have found to do that aside from opening each bill individually through the list to find the right category, is to run a tracking summary report, select the particular one and check the expenses - it would be much simpler to be able to see the tracking category alongside the bills to pay screen so you can easily open a bill for the…

By clicking on the eye icon from the list you'll see your bill shown on the right side of the screen and can use the arrows to quickly move through each bill and view the contents including any tracking that you've assigned within your bill.

Bills list view - Flag to make credit notes stand out better
The changes made to the new bills view is inefficient when when viewing a column, if it is a credit note or had a credit note applied to it the icon creates an indent thus making it harder to follow with the eye. In addition the previous easy to locate yellow icon that did not create an indent has been replaced with a blue icon that blends with other Xero Coloring.
4 votesHi Fiona, appreciate not way you'd envisaged here, however there has been an update that will help you easily locate your Credit Notes when in Bills.
You'll find under the Filter option you now have the ability to filter by Credit Note, Overpayment and or Prepayments which helps quickly narrow down your view to just these documents types.

Block users from posting duplicate bills
Would it be possible to create a setting where users can be blocked from processing an invoice with duplicate reference numbers. There is currently a message displayed but some users click past it therefore creating duplicate invoices/bills. Perhaps the message can be made more prominent and displayed in Red to alert users.

We have a bit of detail on how this works in Xero central. Just to confirm outside of the Actions column If you need to view or edit a bill you'll need to return to the bills list to open the bill from here and make changes.
Our team are considering future enhancements in this space to enable you the ability to access bills from this screen. 😊

Bills - Previous/next button to go straight to the next bill/invoice
being able to use a next/previous button to toggle through bills and invoices without using the main bill or invoice to find the next document. Be able to amend bill/invoices without missing any.
14 votesGood news team, quick view is out and this is now available to everyone. As you'll see from the bills list view there is now an eye icon that shows a right side preview of your bill when clicked. To simply move from one bill to the next use the arrows above your bill view. This makes it even simpler to take bulk action on multiple bills at once without having to open and review each individually.

Bills - Filter to show credit notes
The ability to search bills and filter specifically for a credit notes would be helpful.

Bills - Auto-populate fields when Files is used to create the bill
A number of bills are received via supplier portals rather than by email. The simplest entry point into Xero is therefore to drag and drop the pdf into the "Files" area of Xero and then create the bill. However using this method doesn't auto-populate any of the information for the draft bill like when using the email to Xero method.
I'm sure all the functionality is there for this suggestion : It would be great if files could be dropped into a specific "Bills" folder from which then Xero a) automatically created draft bills and b) auto-populated fields on these…
27 votesHi team, sorry it took us a while to round back to this idea! I am pleased to confirm that Upload bill is now available to all organisations which will automatically populate some fields of your bill based on what it can extract from your uploaded file.
More recently we have made this feature more prominent by uplifting in the New bill menu 😊
Appreciate there are some users in this idea that would like a Contact defaults to be applied to bills created through this flow and we have a separate idea you can join around this for any updates. Thanks!

Bills - Manually adjust VAT for each line
Ability to edit VAT line by line on bills in order to agree balances to supplier invoices (Due to rounding issues)

Tax adjustment functionality varies by region, as this idea was raised relating to adjusting VAT in the UK I'm popping in to switch it across to delivered!
To adjust the tax amount for a line item when creating a bill:
- Select the Tax exclusive option in the Amounts are field
- Click the + symbol next to the Tax Rate heading to show the Tax amount field.
- Edit the amount shown in the Tax Amount box.
Our Adjust the VAT amount on unpaid transactions support article provides further information on this process.
We have ideas for this similar option in the AU version here, and another for NZ here that you can follow for updates. For other regions, you’re welcome to create a new idea so we can gauge user need for this.

Bills to pay - Filters to apply when editing bills (e.g Approve & view next)
In the new bills to pay draft screen even though I search for a particular supplier or filter alphabetically so I can find a certain supplier when I go into the first one and approve & view next instead of giving me the next one of that supplier (the filter I have on) it goes to the next date. I need to approve a lot of invoices and it is much quicker to do by supplier and be able to go straight to the next one. I could do this in the old bills to pay drafts but can't in…

With quick view you can easily filter for a supplier, then view each draft bill for that contact before bulk approving all bills at once. Simply click the downward arrow above the bill in the side view to move onto the next. 🥳

Bills - Approve when importing bills
While importing bills from QB in bulk, it would be a great time-saver if Xero could automatically Approve the bills while being imported. Currently they go to the Draft folder.
2 votesHi team, coming back across this idea, and with quite some time since it's last interaction we're going to, move the idea to delivered with the previous option suggested the best options here.
Xero Partner's have access to a Conversion toolbox when setting up a client orgs which'll allows them to import invoices and bills as any status.
However if you're not a Xero Partner, while bills import as draft, it's quite easy to bulk approve imported draft bills from the list view of the Draft tab - Just select all the bills you'd like and click the Approve option

Bills - Edit contact details (name, email, BSB, Account no.) when creating a bill
At the moment when entering a bill from a new supplier I can only enter the name of the supplier in the bill, then go into contacts to add their details.
It would be more convenient if there was a button to add contact as new, and have a pop-up page where I can add more details of those suppliers from bill page.
Sometimes when working through many invoices from new suppliers it's hard to remember which contacts need to be revisited to add details especially contact details and bank details for batch payments.

We’ve introduced two key enhancements to the Quick view within Bills, with the first solving for what you're after here 😊
- Ability to edit a contact including the contact details (Name, Email, Phone, Delivery Address)
- Provided a direct link to "Edit purchase defaults" under the contact name so you can quickly set up or adjust default settings (like account codes) in a new tab which will be applied to future bills

Bills - Duplicate all fields when copying a bill
There is presently a feature that enables copying a bill and transferring its details to a new bill. However, I have observed that this functionality omits the "Permit Number," necessitating manual duplication. It would be advantageous if this copying function could accurately duplicate the specified bill in its entirety, without any omissions.

Ability to export an existing bill to excel & import as a new bill - convenient for repeating bills of large line item volume

You can search and export specific bills from the list view, and from the New bill drop down select Import from CSV and drag & drop the file that was downloaded. 😊

Bills - Bulk code lines
It would save so much time if there was an option to bulk code multiple lines on one bill, rather than selecting the account code for each line individually.
10 votesHi team, with little interaction on this idea in sometime and based on the existing options that have been shared we are going to move this idea to delivered.
To reiterate the options - you can set defaults for accounts, items and contacts to fill fields and save time when entering bills, alternatively depending on your workflow you may also find importing bills from CSV where you can bulk populate account codes for multiple lines on one bill handy.

Bills: Ability to search by Created Date
Extend the search function under bills to pay to include creation date to help elevate duplication when exporting data to csv file.
I want to export invoices from Xero to import into a CRM platform to use as a job cost analysis as this is not a function Xero currently has.
All invoices dated the 01.09.22 will not be input on the same date so there is no way to ensure you have exported all the invoices for the 01.09.22 unless you delay the export. This is not a practical solution for me as I want to assess the profit…
4 votesHi team, returning to the idea I wanted to highlight that you can currently run the History & notes report which could be filtered for Type = Bill, and type 'created' in the search bar.
Relating to the ability to identify duplicates - our team are currently working on aa duplicate detector that'll further help with this process, so you'll be able to review bills that have been identified as duplicates and take needed action before exporting - You can stay up to date with work for this on this idea. Just add your vote to receive updates 🙂

Bill Screen - Simpler preview of attachments
Preview PDF on Bill Screen. Currently viewing a PDF has to many clicks

then click in my browser to open the downloaded fileCan we not just have it preview the PDF in the browser, if there is only one file attached a preview button without having to drop down first would also be good. So you can view the attached invoice in one click instead of three.
8 votesThanks for all contributing to the idea here! With our new Bills quick view feature, previewing your files has been become much simpler.
From the list view you'll be able to see the # of files uploaded to a bill, and by clicking on the file icon you can get a quick side by side preview (without having to leave the list view).
You'll also find you can use the arrows in the bottom right corner to switch from one file to the next where you've uploaded multiple. 😉

Bill | Payment fields - Allow price pasting with commas and dollar $ signs
On bills awaiting payment and payment batches having a way to copy the amount that is not formatted so that it can be pasted directly into bank payment amount fields. At the moment the value is formatted with commas "1,200" which cannot be copied directly to a bank payment page.

You'll find in both batch payment and within an individual bill payment you can copy and paste amounts. Currency symbols will be stripped but the formatting of the amount itself should be pasted.

Bills - Attachment files in overview instead of opening bills
We enter bulk bills into the system and can only attached a copy of the invoice after authorised. To upload these signed invoices are time consuming having to open each bill and then drag or attached the copy invoice.
It would save us so much time if these invoices could be attached directly to the bills in purchase overview instead of having to open every bill.4 votesHi team, appreciate it's been a while since this was first raised here. You'll find by clicking on the eye icon in the list it'll open up a side view of the bill where you can also add attachments 😊
