Hi team, thanks for staying engaged with us here. From your feedback our product teams clearly understand there are legitimate use cases and scenarios in which you’d like to be able to simply unapprove a bill.
While seemingly simple there is a bit of underlying work that needs to be done within Bills to enable us to build this functionality - As you’ll have experienced within the Bills list view - we’re in the process of uplifting the pages in Bills with updated technology that’ll unlock our ability to develop features like unapprove.
So, while it’s not in our roadmap atm, we’re tuned in here and will continue to assess how we may solve this as we plan our future roadmap. I’ll make sure to share any progress with everyone here.

It is imperative that Users entering payments for customer and suppliers have access to the very least an ageing analysis report to be able to chase any that are falling due soon or overdue.
I don't see why giving access to this report for those on the invoice only role is a problem. They are only viewing the information that they have entered and processed in Xero anyway. There is no need for bank account access for this one.

Definitely need more customisation with the User permissions and accessing reports.
Sensitive financial data needs to be secure with restricted access. Other data such as daily sales and purchasing data should be available to access for certain roles as a customisable option/tick box.
Access to reports should necessarily mean access to the bank and associated aspects of the business.

Hi community, thanks for your interest in this idea. Just wanted to pop in here to share, for those who aren't already aware, that you can export the Receivable Invoice Summary report. The report has a 'Last Payment Date' column that you can add to it which is useful for finding customers who habitually pay late so that you can take appropriate action.
To be transparent, building a feature to show the average days to pay by customer isn't on our roadmap at this time, but we'll be sure to update this idea if that changes in future.

This is a standard accounting report that is required.
I'm astounded that we have to use a workaround because the accounting software doesn't provide this. We have to export data to Excel and add a formula to calculate this average days to pay figure for us.
The Business Snapshop gives a snippet of average days to pay but it is not based on each customer invoice, it is across everything that you have outstanding in accounts receivable:
'How we calculate the average days
(Average accounts receivable / Sales) x Days in period'
This is a very generic piece of information and doesn't empower you to target any customers for persistently paying 'x' number of days past the invoice due date

Hi community, we acknowledge the strong feelings in this idea and why you need a feature to flag bills directly within Xero. We really appreciate all your feedback and the detailed explanations of how this would help streamline your accounts payable.
We are dedicated to providing a solution for this over the longer term, but this will take some time requiring changes that sit beneath the face of bills.
In lieu of a direct feature for this we wanted to highlight some of the options discussed by the community here:
- Add a note to the bill: A detailed note on the bill itself can serve as a clear internal reminder of the dispute.
- Utilise tracking categories: Creating a specific tracking category like "Disputed Bills" can help you filter and report on these items.
- Adjust the due date: Temporarily extending the due date can prevent accidental payment while the dispute is…

What is stopping Xero from being able to do this?
In real world scenarios, sometimes supplier bills cannot be approved because they are incorrect. Sometimes suppliers make genuine mistakes and charge the incorrect price. We then have to dispute this with them and somehow have to track it to ensure that the wrong amount isn't paid.
Why shouldn't we expect that our accounting software can do this? That's where the bills awaiting payment are generated from.
It just makes a lot of common sense that this should have been a feature a long time ago.

Yes, that's similar to what we do for a visual aid since Xero don't have a status and associated tab for disputed.
Also, like Debbie said if you don't approve the invoice then they don't appear in any ledgers. Doing it this way at least gives you correct ledger figures including the disputed amounts too.
Odd that this hasn't been thought about, although maybe Xero only work on textbook situations where an invoice never needs to be disputed!

Thanks for everyone's support in this idea. We understand the strong feelings expressed in your comments, where an invoice can be accidentally approved when still needing to go through a review or remain in a draft status.
As suggested by some users in this thread, if this has already occurred an option for now would be to add a note to the history of the invoice so other users are aware of the action and what needs to be done, or alternatively Void the invoice and copy to a new Draft invoice (consider if you need to change the invoice # before voiding the approved one, so you can use this on the new draft invoice).
While not a resolution for this idea, to avoid mistakenly approving an invoice an option could be to make use of the keyboard shortcuts that are now available in invoicing such as Save &…

We use Invoice only permissions for sales and purchasing for the staff entering the transactions.
Unsure why related reports aren't available already since other accounts systems offer limited reporting functionality.
For example access to a proper age analysis report for debtors and creditors rather than an awkward workaround using a contact smartlist.
Standard permissions provides far too much access to confidential data, and yet restricted access is far to restrictive.
The permissions need to be more customisable for each role rather than one types fits everyone.

We changed over to Xero in April 2022 and discovered that this was also a major problem for us too.
Over the past year we have discovered there are so many 'missing' aspects from Xero that are fundamental to accounting roles and functions.
It is so time consuming having to generate reports for the staff that are processing the sales and purchase invoices because we can't give them their own access - unless we want them to have access the bank accounts (which is ridiculous).
I don't understand why Xero haven't realised this already. It's such an obvious and basic need for staff to be able to carry out their role fully.
If only Xero had done some research to find out if this is a requirement for the majority of businesses.
At 109 votes it seems pretty important, but how many votes are needed before it is seriously considered by Xero?
The fundamentals desperately need improving in Xero and seem to keep getting ignored whereas the cosmetic improvements that are not needed are being deployed freely - confusing?!
