    Hi all, just updating the status of this idea to Accepted here, to align with our new statuses for Xero Product ideas. You can read more about this on our blog.

    We're also pleased to see in your comments here that CAF have introduced QFX file types for downloading transactions - this'll make manually importing more streamlined until a bank feed is made available.

    As per our last update, we appreciate all the interest a feed for CAF has gained and we want you to know this has definitely got attention from our product team, and something they hope to explore in the future however we can't provide any timeframes at this time. I'll be sure to keep you updated of any progress that moves this along. Thanks

  2. The periodical message that highlights "duplicate bills" and invariably just list recurring monthly bills from suppliers is incredibly annoying and simply wastes time.

    There should be an option to disable it. If users genuinely find it useful they could then of course utilise it, but for those of us who don't the ability to switch off would be beneficial.

    Hi community, we appreciate the continued traction this idea's received, and do want to provide clarity and set expectation.

    Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.

    To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.

    • We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…
  4. Suggest the ability to apply work patterns to part time employees. For example, we have a part time employee who works 7 hours on Mon, 6 hours on Tues and 6 hours on Wed.
    At the moment, if a Public Holiday falls on a Monday, it does not correctly work out hours worked.
    The same happens if Annual Leave is taken; incorrect hours are calculated which affects AL accruals.
    Hours worked have to be calculated and added manually.

    Hey everyone 👋 Thanks so much for all the detailed feedback on applying work patterns for part-time employees. We’ve been following the conversation and understand that manually adjusting pay runs for pro-rata entitlements can be a real challenge. It’s clear that having this automated could save time and give you greater peace of mind.

    I’m pleased to let you know our product team has reviewed this idea and we’re updating the status to ‘Accepted’. This means that while it’s not on our immediate roadmap, it’s something we see real value in and want to bring into Xero when we can prioritise the work.

    In the meantime, the workarounds shared here, like manually adjusting hours in each pay run, remain the best approach. We really appreciate you taking the time to share your thoughts, as your feedback plays a crucial role in shaping Xero. We’ll keep you updated on any developments…

  5. Can the main pull down bar (Dashboard, Business, Accounting, Projects, Contacts) be fixed at the top of the page? When viewing a screen that has 100 or more lines, it would be a lot more convenient to have immediate access to this than having to scroll all the way back up.

With our reimagined navigation this is something our product teams considered closely, however there is a bit of work involved to achieve what's being asked and we want to be open it's not in the roadmap right now.     Hello everyone, while you can currently export reports to compare pay runs, we understand the value of having this capability built directly into Xero and have been following this idea closely.

    For now, AU and UK organisations can use the Payroll Activity Details report for one employee at a time by selecting the relevant date range for the pay periods. To help prevent errors, we recommend checking that employee pay templates are set up correctly, ensuring future pay runs are consistent and accurate.

    Although this isn’t on our roadmap at present, we recognise the impact it'd have for customers and will continue to consider it as we plan future payroll enhancements. We’ll share any updates related to payroll comparatives here.

  7. Ability to change our PAYG Withholding period to weekly. Only options are None, Monthly or Quarterly. The ATO requires we lodge and pay PAYGW weekly now and this is not possible in Xero. We have to change our PAYGW period to None so that it does not show on the BAS and manually calculate, lodge and pay this weekly.

    Hello everyone, we appreciate you engaging with us about this topic. To clarify, we acknowledge support in this idea has arisen from a new requirement from the ATO that means large orgs that withhold over $1M annually to submit PAYGW weekly via STP.

    While we appreciate why you'd like to automate this flow of information from Payroll to BAS within Xero there are two current options;

    • Within Payroll settings you could untick “Reportable as W1 on Activity Statement” so your payroll data is not included in BAS, or
    • Manually remove the W1 and W2 figures from your Activity Statement to lodge activity statements for clients that are submitting weekly PAYGW.

    This idea is on our product teams radar, however we want to be upfront that at this stage we don't have any plans for developing an automation of these fields.

    Hi community, we acknowledge the strong feelings in this idea and why you need a feature to flag bills directly within Xero. We really appreciate all your feedback and the detailed explanations of how this would help streamline your accounts payable.

    We are dedicated to providing a solution for this over the longer term, but this will take some time requiring changes that sit beneath the face of bills.

    In lieu of a direct feature for this we wanted to highlight some of the options discussed by the community here:

    • Add a note to the bill: A detailed note on the bill itself can serve as a clear internal reminder of the dispute.
    • Utilise tracking categories: Creating a specific tracking category like "Disputed Bills" can help you filter and report on these items.

  9. The print date that now appears at the bottom of reports is useful for some reports and circumstances, and I understand this date is now turned off for Published Reports.

    However we do not 'publish' our financial statements - we send our financial statements to clients in a practical and informative pack instead. This is a more efficient, professional and streamlined approach for us.

    Hi community, thanks for the strong support in being able to attach files within Xero Payroll, both for employee records and pay runs. We really appreciate you sharing the value and efficiency this could create for you when working with Xero. It's evident that being able to store important documents like licenses, sick notes, and onboarding papers directly in Xero would remove the need for external storing systems or manual processes.

    We acknowledge it's not the end goal but wanted to highlight the use of apps, as some have shared like Dext, to help bridge this gap in the meantime.

    I want to assure you that enabling attachments in payroll is part of our long-term intentions. However, to deliver this functionality effectively and reliably, we first need to develop some foundational elements within our payroll platform.

    Thank you for all your support on this idea and for sharing how the option to adjust the column width on your reports would be beneficial. We understand that in some reports the inability to adjust the column size could result in extra white space or longer entries not being fully displayed.

    This idea has been reviewed by the Product team and has been moved to the ‘Accepted’ status. This reflects that this idea is not currently on our roadmap but it is a suggestion we will continue to monitor when looking at how we develop our reports.

    Thank you for the engagement on this idea. We’ve listened closely, and know that being able to export full customer credit information including credit limits and associated credit terms would be a highly beneficial feature for you all that've voted.

    As mentioned in our previous update the Aged Receivables Summary report does provide some of the information requested, however we understand that this may not fully meet all your needs.

    Our Product team has reviewed this idea and we're updating the status to ‘Accepted’. This is an idea we’d like to develop, but isn’t currently on the roadmap. Please continue to add your comments and votes and if anything changes, we’ll make sure to post an update here.

  14. Would love to see the option to assign an expense approver to multiple expense submitters or even an 'Approvalmax' approver matrix function added to Xero Expenses. Currently using Xero Expenses to administer over 100 employees expenses and need stronger controls than central finance approving all. Happy to help design/ test!

    Hi everyone, we appreciate the number of users that'd like to see more mechanisms to assign and control who approves specific employee's claims.

    Our product teams have a close eye on this idea, and while this feature is not in the roadmap atm, they'll keep reviewing this as they continue to plan and prioritise work for Expenses. So, if there us any shift in status we'll share an update to keep you all informed on the idea, here.

    Hi team, thank you for your support and ongoing engagement in this idea. We understand the benefits some customers would find in being able to add notes or a free text field to invoices so you can add additional detail for your customers.

    Being open, this isn't something we have in our roadmap atm, but will continue to consider for future enhancements.

    For the time being, a couple of options that may be useful;

    • Using only the description field of a line item to add additional details
    • For more static messaging you could add the details to the payment advice of a standard template, or
    • Add static text with an advanced template editing the template with DOCX

    We appreciate this is not the complete solution and will continue to keep a close watch on this idea and share if there are any updates, here.

    Hi everyone, thanks for the engagement and support on this idea. We recognise that having the option to display accounts in GL account number order when editing a reports layout would reduce the need to manually adjust the order of accounts.

    We've reviewed your feedback, including the specific issues with grouping, and are moving this idea to Accepted. This reflects that the idea has not been included in our current roadmap but that this is an idea that we will continue to monitor.

    Please could we have an option to Password protect Lock Dates.

    Where certain user can only unlok Lock dates i.e. Accountants or Subscriber

    At the moment anyone can unlock the Lock dates which defeats the purpose of the Lock Dates.

    Thank you for your engagement and feedback on this idea. We’ve seen some great suggestions in this thread on how a password-protected lock date could work. The current lock date feature prevents new transactions from being entered and can only be removed by Advisor level users, but we recognise that some users would benefit from introducing password protection.


    As part of our new Xero Product Idea process, we have recently reviewed the idea and shifted this to “Accepted”. This reflects that this is an idea we’d like to develop, but that this isn’t currently on the roadmap. We'll be back with another update as soon as we have more to share.

    Hi team, wanting to provide an update to you here, we want you to know we understand the efficiency more users would like to have in being able to automate the creation of the Xero subscription invoice inside their Xero org.

    To highlight from my last update for UK users this is possible with eInvoicing through the online invoice (My Bills page).

    This is still something we're interested in developing in more regions however isn't planned in our roadmap just yet.

    When resource opens up for us to be able to pick this work up we will share an update with you all on this here. Thanks for staying engaged and supporting in this idea.

    For our UK customers we've made paying overseas suppliers easier with international bill payments.

    Using open banking, you can now securely send money to 180+ countries including Europe (EUR), America (USD) and Australia (AUD). So you don't have to juggle multiple platforms or hidden fees. Whether you're paying a single bill or multiple bills at once, authorise payments prepared by your team and easily track which suppliers have been paid.

    We've also launched bill payments in Xero for customers in the US, powered by BILL.

  20. When I approve my own expense claims, don't generate a notification for me that my expense is approved. I already know because I just did it. It wastes my time and attention marking those notifications as read.

    Hey team, we began releasing updates to expense notification which included the change mentioned in my last update here. However, with some of the other changes that were bundled with this one we quickly found that there were some customers receiving many more notifications than before.

    Unfortunately we've needed to turn this off and will look longer term and how we can develop controls for notification preferences.

    For the time being I'm going to move this back to Accepted and when we can bring more attention and resource to developing controls for notifications we'll share an update with you all.
