Prepayments & Accrual Schedules
Instead of using spreadsheets, it would be very handy for Xero to have prepayment & accruals schedules built-in that act similar to the Fixed Asset function.
For example, when you allocated a new invoice to the prepayment nominal, Xero would detect that transaction and add it to the schedule. At the end of the month, you access the Prepayment & Accruals screen, go to drafts, and fill out a form giving it the period with su[plier, start date, end date and number of days/weeks/months it lasts (this would determine how often a journal is created when ran). I’d like you to know your idea's been carefully reviewed by our product team. They appreciate and understand the need for tracking revenue and expenditure related to prepayments and accruals, however at this time with other initiatives in the roadmap such as improving the bill creation and payment processes there are currently no plans for this in the pipeline.
We’re keeping a close account of the support in this here, and will continue to review this opportunity within future planning. If there’s any progress made I’ll be sure to share with you all, here.

Invoicing - Allow Item and Description-only lines, with no Qty or Unit Price
When choosing item code and description, I want the ability to leave the rest of the fields blank. Classic invoicing had no problems with it. The new invoicing wants to populate QTY, UNIT PRICE and AMOUNT. Makes the invoice look unappealing.

536 votesHi community, we appreciate the continued traction this idea's received, and do want to provide clarity and set expectation.
Your feedback has been valuable in understanding the needs of using description only lines to; add subheadings, provide context for grouped charges, and ensure your invoices are easy for your clients to read and understand.
To reconfirm, atm - You can add one-off description only lines as you enter an invoice. However, if you add detail to any other field the line will be treated as a 'financial' line and you'll need to include Qty, Unit price, Account and Tax rate.
- We know some users have set up and saved inventory items for description only lines they commonly use, however as the item code field is used for inventory items the line of the invoice is treated as 'financial' meaning you'll then need to include Qty, Unit price, Account and Tax…

Navigation - Freeze bar at the top of the page to save scrolling
Can the main pull down bar (Dashboard, Business, Accounting, Projects, Contacts) be fixed at the top of the page? When viewing a screen that has 100 or more lines, it would be a lot more convenient to have immediate access to this than having to scroll all the way back up.

Batch payments - Ability to include credit notes
Allow the inclusion of Credit Notes in Batch Payments where the total to be paid to a supplier is still positive. This would allow a single batch for a Supplier to match their Statement, particularly where credit notes are not related to specific Bills.
855 votesHi everyone, our product teams are continuously reviewing and reprioritising their roadmaps for future work and although we don’t have any plans to change the credit application process this year, this is something we will investigate more closely in 2026.
As we begin to explore work for enabling credit notes in the bill payments flow, we’ll reach out for input to help us shape the design and approach so we cater for the widest possible requirements. Thank you all, and we’ll be back to share when exploration starts.

Sales invoice - Add Notes that are visible to the customer
Currently you can put titles and notes etc on quotes and invoices etc. However the client does not see any of this. This is critical to be able to add notes etc that don't belong on a line item
66 votesHi team, thank you for your support and ongoing engagement in this idea. We understand the benefits some customers would find in being able to add notes or a free text field to invoices so you can add additional detail for your customers.
Being open, this isn't something we have in our roadmap atm, but will continue to consider for future enhancements.
For the time being, a couple of options that may be useful;
- Using only the description field of a line item to add additional details
- For more static messaging you could add the details to the payment advice of a standard template, or
- Add static text with an advanced template editing the template with DOCX
We appreciate this is not the complete solution and will continue to keep a close watch on this idea and share if there are any updates, here.

Lock dates - Ability to add password protection
Dear Xero product team,
Please could we have an option to Password protect Lock Dates.
Where certain user can only unlok Lock dates i.e. Accountants or Subscriber
At the moment anyone can unlock the Lock dates which defeats the purpose of the Lock Dates.
154 votesThank you for your engagement and feedback on this idea. We’ve seen some great suggestions in this thread on how a password-protected lock date could work. The current lock date feature prevents new transactions from being entered and can only be removed by Advisor level users, but we recognise that some users would benefit from introducing password protection.
As part of our new Xero Product Idea process, we have recently reviewed the idea and shifted this to “Accepted”. This reflects that this is an idea we’d like to develop, but that this isn’t currently on the roadmap. We'll be back with another update as soon as we have more to share.

Reconciliation - Xero subscription invoice to be added automatically to xero for reconciliation
This should be automatically added to your account, rather than having to save to Xero manually each month
633 votesHi team, wanting to provide an update to you here, we want you to know we understand the efficiency more users would like to have in being able to automate the creation of the Xero subscription invoice inside their Xero org.
To highlight from my last update for UK users this is possible with eInvoicing through the online invoice (My Bills page).
This is still something we're interested in developing in more regions however isn't planned in our roadmap just yet.

Bills - Pay Bill electronically from within Xero

Purpose: To make it easier to pay bills, rather than having to jump between two different platforms.

eInvoicing: Support for repeating eInvoices

Sales Invoices - Bulk remove/void
It is all too easy to accidentally upload a batch of sales invoices to Xero from the wrong period. It can then take absolutely hours to delete these as Xero does not have the functionality to remove these en masse.

Right now in Xero, invoices with a Draft status can be deleted in bulk from the list view - simply select the invoices and you’ll see an option to Delete at the top of the list.
We understand that for many in the thread here you’re referring to the ability to bulk remove invoices that have an approved status(bulk void) and I have just updated the title of this idea to better reflect this.
This isn’t a feature we have planned at this stage, but maybe something we explore longer term as a possible enhancement to the list view. For the time being, while not within the product for those with more technical resources there’s capability via our API that you may like to consider.

Account transaction report - Remove 'overall total of all accounts' when run for a single account
New Account transaction report - remove the totals when generating the report for a single account.
The new report adds a report total at the end of the selected accounts which is a total of the debit or credit transactions for 'all' accounts selected.
When only one account is selected it still shows a total - this is in addition to the total for the transactions on the account itself so it shows total of transactions, closing balance and then total of transactions of all accounts selected. Navigation - Return to previous screen after viewing/editing a transaction
Ability to return to the previous screen after the user edited a transaction.
Purpose: To make users easily continue working on the previous page rather than having to navigate from the different page again.
111 votesHi everyone, thanks for all your support and feedback of how changes in navigation could help your use of Xero. While not across all areas of the product there are some updates in Bills that we wanted to share and may help the needs of some in the idea here.
We've launched Bills quick view where there's now an eye icon within the line of the bills list. From here you'll find more ease in viewing, and more recently being able to edit bills from this view without having to leave the list, meaning you can simply make adjustments and move from one bill to the next.
We'll continue to explore and develop solutions like this to help our customers get more out of Xero on the go. I'll keep you informed of other updates that could enhance your experience, here.

Dashboard - Show Current/Actual VAT liability
Similar to other "snapshots" available on the Dashboard, for any VAT registered business it is important to know liabilities at the click of a button. Please can Xero support look into an "add-on" for VAT liability total shown on the dashboard

After our last post, priorities for the team did pivot and work for showing current VAT liability was put on hold.
While not actively underway atm, we have intentions of surfacing an organisation's VAT liability total on the dashboard on our longer terms roadmap. While we'll move this idea to Accepted for now, as soon as there is movement we'll be back to update you again. Thanks

Credit notes- bulk allocation
Option to apply invoice or bill credits in bulk to invoices

We understand that manually applying credit notes one by one can be time-consuming, and we appreciate wanting a a faster, more streamlined solution.
Currently, while we know it won't be the flow that suits all, it's possible to apply credit notes to multiple invoices for a single contact by opening the credit note and selecting the invoices to apply it to.
Atm, we're in the process of releasing a new experience for Sales Credit Notes. This work will enable us to develop changes like you're asking here longer term. However, the initial release is focused on developing existing features into the new Credit Notes experience. Once this is fully rolled out the team will have more capacity to consider enhancements like bulk allocations, however we want to be upfront that this isn't planned for the short term.

Manual Journal - Ability to set default for 'Show journal on cash basis reports'
Ability to set as default whether the "Show journal on cash basis reports" should be ticked or un-ticked on manual journals
Purpose: Because accountants that does the annual journals for clients who do their own GST we don't usually want these journals to show the late GST claims
230 votesHi team! We've been following the conversation here and appreciate you taking the time to explain the need for this feature.
We understand you’re looking for a way to change the default setting for the ‘Show journal on cash basis reports’ checkbox in manual journals, so that it’s unticked, and that having this box ticked by default can create inaccurate cash basis reports, which is particularly challenging when you’re correcting entries or dealing with a high volume of journals.
We may look into this with a finer lens further down the line, but want to share that there's no immediate works planned to enable changing the default for whether a journal is Cash basis.
As many of you have noted, right now you'll need to manually untick the box for each journal entry.
If any change is planned for this we'll be sure to share with you all, here.

Files - Bulk export/print attached files
Ability to export and print files from Xero in bulk.
Purpose: To have backup files and audit purposes.
655 votesThank community, we appreciate all your involvement on this idea. We understand the ability to bulk export or print attached files would be a huge time-saver, especially for year-end audits, client communication, and general record-keeping.
We’ve evaluated the complexity of this feature against other priorities on our roadmap. Atm, this isn't in our plans however we'd like to explore bulk downloading of files from Xero in the longer term. I'll share an update when we're able to give more attention to this, here.
For the meantime if this is essential for you right now, you may like to explore third-party integrations through our Xero app store which could meet your needs here.

Inventory - Add default tracking options to items
Adding default tracking option for inventory items in Xero.
Purpose: To make users don't have to think about or forget to add the correct tracking.

At this stage there’s no set plans to develop tracking in Xero inventory.
This is something we may consider in the longer term and we’ll continue to monitor votes and your feedback. We’ll update here if there’s any progress.

Xero Mail - Send as @company-name.com not message-service@post.xero.com
Ability to make an email sent from Xero appear as @company-name.com instead of message-service@post.xero.com, when users send an email to their client/customer.
Purpose: To provide more validity when sending communications from Xero out to clients/customers and avoid items ending up in Spam/Junk mail.

I can confirm this idea has been continually reviewed by our product teams, and being able to send from your own company email is on their radar. Currently there are other priorities, and platform work that requires their attention, before they can consider this more deeply.

1,040 votesHi everyone, a year on from my last engagement we wanted to provide an update for you all here.
As many will be across we're in the midst of making a lot of iterations and improvements to new invoicing leading up to the retirement of classic invoicing in September (2024).
We have a fair amount of work lined up in the teams schedule over the coming months and to give an indication there isn't any committed plans around a function to add interest to invoices.
That said, we do have a team that have picked up and are considering how we might solve this with the technology in new invoicing - It's early days on this yet, but I'll share if there's any progress on this for you all here.
In the meantime, as has been shared by others over time there are a few ways you could accomplish this…

221 votesHi everyone, thank you for your continued passion, and sharing how having the ability to group or combine line items within an invoice would give you the control to present information to your clients in the best way for your business.
In lieu of a direct feature, while I appreciate it won’t fit all needs here, the inbuilt calculator may help in some cases to combine costs of multiple lines to one, and we appreciate there are some customers that have explored third-party apps with more extensive functionality for the time being to full-fill their needs.
We’re updating the status of this idea to Accepted - While this isn’t on our roadmap atm, we see the value in this suggestion and it’ll be considered as we plan our future roadmap. We’ll update this thread if we have any more news to share.
