Hi community, thanks for all your inputs here and apologies we've not engaged here before now.
As we continue to explore ways to improve efficiencies for our customers this is an idea our team are aware of and will consider in future improvements.
We have recently introduced Smart Document Capture, powered by AI that extracts data from files uploaded to your Inbox to help you create transactions in your organisation.
Coupled with this, we've also released the ability to upload multiple documents from your mobile. Meaning you can take photos of invoices you've received via email and easily upload these through your mobile, which Xero will then analyse and help you create transactions from.
We appreciate this isn't a direct solve for this idea but may bridge the gap for some here.

Thanks for raising this with us, this was great Feedback. We are continually enhancing Xero and specifically the new Smart Doc Capture feature, so its great to hear what our customers want to see. The option for a search function in Files is something that our Product team is currently developing and we will round back to this idea and update you when this is is released.

Hi Tracey! We're in the process of releasing a new feature via our Xero Accounting app that will enable you to upload as separate or a single document that can be processed with Smart Document capture once uploaded to your org. 😊
We expect to have this live to all users soon so I'll round back to confirm when it's out to 100%.

✨ Thanks so much for taking the time to share this idea — we can definitely see why this would make a real difference.
Being able to create a Spend Money transaction directly from the Files page is a helpful improvement, but if there’s no way to adjust the VAT amount to match the receipt exactly, it does create a gap in the workflow. Even a small difference of a penny means the transaction can’t be completed there and the user has to abandon the process and enter it another way, which reduces the value of the feature.
We agree this would make the experience more practical and complete, so we’re moving your idea to Gaining Support. That helps us better track interest in this improvement and show the team the impact it’s having for customers using this workflow.

Hi everyone, appreciate all the engagement here by far.
We understand you’re looking for a way to apply tracking categories directly while reviewing documents uploaded into Xero, so transactions can be coded completely.
Having tracking options available earlier in the workflow could help reduce extra steps when managing expenses across different teams, projects, or locations.
We’ll continue to monitor the conversation and gather feedback from the community as this idea gains support.

Hi Jake, thanks for sharing this idea. We can see why having the ability to split PDF files directly within Xero Files could be useful, particularly when processing multi-page documents that contain multiple invoices, receipts, or other records. Being able to separate pages without downloading the file and using an external tool could help reduce manual handling and make document processing more efficient.

Thanks for all the engagement within the community so far. The feedback here makes it clear that automatically picking up the tax rate from uploaded documents could be a useful improvement to the invoicing workflow.

This is so needed! This current sending to drafts just interupts workflow and adds a completely unnecessary step to the process. This is one of the reasons I am reluctant to swap over to this. I also don't know why we have "Files" and Smart Document Capture" why isn't it called the same, this just confuses things, so I have cliets uploading straight to draft bills instead of via files on the app because again it is not clear which is correct, this means most of the automation process is missed. The whole system needs to be called the same thing and follow a logical path.

Thanks for sharing this suggestion, Ross. Giving Invoice Only users access to the File Library could make it easier for accounts staff to manage and attach documents without needing broader user permissions.
I’ve moved this post to Gaining Support so we can continue gathering feedback. If this were available, what File Library tasks would you want Invoice Only users to be able to perform?

This is vital to allow this user to upload, manage, code and approve bills using smart document capture, this is what their role involves! I agree this must be an oversight? This needs to be looked at urgently please.

We do not raise invoices from Xero but we approve and send statements from Xero and we need reminders. Reminders are not sent for invoices that are not marked as sent, so we need an option to turn on automatic marked as sent, or at least be part of the approval process, we can not go back in to every invoice just to tick this box.

In the meantime, it is possible to bulk Approve invoices from the Draft tab. Once this is done, you'll get a message where you can click 'View invoices' and select them all to then Email.

Thanks for highlighting this improvement, Kirsty. Having invoices with deposits automatically marked as Sent to trigger payment reminders could reduce the need for manual work.

Same sort of thing but I need all invoices to be automatically marked as sent so reminders can go out, we invoice from an external invoicing system and so invoices are never sent from Xero and neither system has a setting for automatically mark as sent, I can't continually manually go and tick boxes on our invoices...alternatively please have an option to send reminders regardless if the invoice has been sent?

To be able to add notes, to explain why Xero has imported an amount to the feed with a different date to the actual bank statement for example. I have to be able to explain to our accountant why the Xero bak balance is different to the bank statement. It shouldn't do this anyway but it does and I have no way of logging this date error. And add attachments (ie actual bank statements) to a published bank reconciliation, you can upload docs to any transaction but not the actual reconciliation??

Hey everyone, thanks for engaging with this idea about being able to attach PDF bank or credit card statements directly to reconciliation reports in Xero. We know this can help simplify the cross-check process.
Right now there is the ability to upload statements into the Files inbox where you could create a dedicated folder for these type of files. However we understand the limitation in that this doesn't link them to report as you'd like here.
Our product team are looking into possible ways to attach files within the banking space and how we might fit it into the reconciliation workflow. It’s early days, and we’ll share an update when there's more news.

Hi everyone, thanks for your continued engagement and support for the idea of making tracking categories mandatory in Xero. We really appreciate you sharing your insights on the benefits that adding this feature would bring to your financial reporting and month-end processes.
Right now, you could use find and recode to assign a tracking option to any transaction lines that are currently unassigned.
Regarding the future of this idea, we've carefully reviewed all your feedback and the critical need you've expressed for this feature. While we understand the value and time-saving potential this improvement would bring, we want to be transparent that making tracking categories mandatory across all relevant transactions isn't on our roadmap for development. If our position of this changes in time, we'll share an update for everyone, here.
