AU Payroll - Edit posted pay runs
You should be able to edit any payrun that hasn't been 'filed' regardless if it was the last one or not. I enter several unscheduled payruns and I've noticed an error in one but I can't fix it because it wasn't the last payrun posted. The "work-around" Xero recommends is to File it and then re-post a counter fix. This feels redundant and unnessary extra work. Essentially its saying I can post an inverse of the original to cancel it out which isn't a tidy way of doing work.
1 voteHi Jamie, just coming back across your idea here. In Xero Payroll as of right now if you've a posted pay run that you need to make adjustments to, you can revert this to draft and make the required changes.
The only time we wouldn't recommend doing this is if the pay run's been filed with the ATO.
Once it's been filed we'd recommend using unscheduled pay runs to make any changes. This is because reverting a filed pay run to draft will cause issues in the reporting to the ATO.

User Roles: Invoice Only users are able to view paid invoices under contacts tab
Currently it is not possible for a user with the Invoice Only access to view paid invoices under the contacts tab. It doesn't make a lot of sense that they can view all of the invoices however when in contacts can only view invoices that are unpaid.
10 votesSorry for not updating you sooner here, team. We've just released an update for Invoice Only roles in Contacts. What you can see will now be dependent on the level of access the user has.
- Invoice Only Draft will no longer see the I Owe and They Owe columns,
- Invoice Only (Sales) will only see They Owe, and
- Invoice Only (Purchases) will only see You Owe.
This change applies to sorting on the page as well.
Thanks everyone.

Profit & Loss - Show Invoice Numbers
Currently there is no functionality in Xero to populate the invoice number in the Profit and Loss report while the reference field is filled out. Would like to have the invoice number to be shown as well for easy reference and checking.
3 votesHi team, as noted in my last update you can click on the figure in the Profit & Loss which drills down to the Account Transactions report.
You'll find that you can adjust the report settings to add 'Invoice Number' as a column so you can see both pieces of information on the report.

UK Payroll - Change holiday to hours
When booking more than one days holiday Xero does not allow you to edit the hours taken. Xero assumes everyone works a 5 day week. So if a part time employee who works 5 hours a day 3 days a week totalling 15 hours books two days holiday Xero assumes they will be taking just 6 hours when it should be 10. There is not an option to amend the hours taken like there is if you just book 1 day.
12 votesHi community, with the recent change in UK Payroll to introduce working pattern templates so now you can now create default work schedules for employees, ensuring their pay and leave are calculated correctly. You can have up to 100 templates with up to 13 weeks of entries.
Working patterns provide visibility around earnings rate calculations and will eliminate the need to amend miscalculations manually.
We appreciate your interest in this here. Thanks

AU Payroll - Include terminated employees in pay runs for backpay
When processing backpay for employees where they have a Termination Date currently involves either an Unscheduled Pay run for a period the employee was employed or undo the Termination date, and run a payrun, then Terminate again.
Both of these are very time consuming, particularly when there are some 40 employees over an 18 month period that need to be included who have a Termination date.
It would be useful to have a function in a payrun to "include terminated employees" which keeps all the previous data, but includes them for the backpay without having to manual update each, just…3 votesHi everyone, it's currently possible to have terminated employees included in unscheduled pay runs, that are prior to their termination date.

Banking | Account transactions - Show attached files
Whilst reconciling bank transactions it is often useful to look at the account transactions tab. When doing so it would be really nice to see the files link as an entry so you can easily see the transactions associated with a bank transaction
16 votesHi everyone, I wanted to share that the file icon will show against all Account Transactions that have been created with an attachment 📂. Clicking on this icon will allow you to quickly preview the attachments. Invoice/Bill payment transactions will show the file icon when files have been attached to the payment transaction. As this is an Account Transactions list only, to see if the individual invoices/bills have attachments, you can head to the invoice/bills lists.
A separate idea has been raised for the Account Transactions Report to Show Files icon & number attached which you can add your vote to if that’s something else you’d like to see.

UK Payroll - Calculate hourly for leave/sick days
UK Payroll: Leave / Sick Days
Xero payroll nearly always miscalculates sick pay and absence deductions if staff are paid an annual salary for two reasons;
1) It works on average number of days in a month when month vary in working days every month and recalculates an inaccurate hourly rate from which it deducts absence (sometimes this is in favour of the employee but more commonly isn't) meaning that it often deducts too much from them and has to be manually recalculated.
2) It does not have the capability to deal with part-timers so if you have someone who…11 votesHi everyone, I wanted to confirm with the release of working patterns this is now possible 😊
Working pattern templates create default work schedules for employees to ensure they are paid and accrue leave correctly, as part of their salary and wages settings.
You can now;
- Create or select from working pattern templates
- Add working patterns manually or using the template
- Setup multiple weeks of a working pattern
Thank you for your support and contribution through the idea here.

User roles - Hide supplier balances from users with 'Invoice Only User Sales (Quoting & Invoicing)' permissions
With in the Invoice Only User - Sales (Quoting & Invoicing) the user can still view all of your suppliers and the amounts you owe them via the contacts tab. If you want to give someone access to raise and sent sales invoices then they shouldn't be able to see all of your suppliers and especially shouldn't be able to see what you owe each of them!
1 voteHi team, we've made the change and this is now live. Now, what's visible for a user with an Invoice Only role will be dependent on their level of access. Invoice Only Draft will no longer see the I Owe and They Owe columns, Invoice Only (Sales) will only see They Owe, and Invoice Only (Purchases) will only see You Owe. This change applies to sorting on the page as well.

Report templates - Annual accounts templates up to do date and in line with legislation
The Trust - Annual Accounts Xero SPFR template for trusts > Notes to the Financial Statements > 1. Reporting Entity states "Legal or Trading Name is a trust established by a trust deed dated [insert field: trust deed date], and subject to the Trustees Act 1956." this is incorrect as the Trusts Act 2019 passed on 30 July 2019 has replaced the Trustee Act 1956. Xero have advised "While the team is aware the templates may need updating given current focus being on the expiration of old reports they do not have the capacity to give it a priority at…
2 votesHi team, templates have now been updated to refer to the new legislation. Thanks for your contribution and sharing in product ideas, here.

AU Payroll | Payroll Activity Detail Report - Export all data to Excel, not just PDF
Currently, when the Payroll Activity Detail report downloads to PDF, it includes deductions (including those that are not salary-sacrificed super) and reimbursements. However, when the Excel report is downloaded, those lines are missing. Please include everything that's in the PDF version in the Excel version.
2 votesHi all, as previously shared both reimbursements and deduction pay items will appear on the PDF and CSV exports of the Payroll Activity Detail report.
If these pay items are visible in the pay run, but aren't pulling through to your reports, please reach out to our support team for some troubleshooting. 😊

Inventory - Report for item rentals
We are a meadery that often sells mead in kegs. This idea would also apply to breweries.
I use a "Keg" inventory item to track the physical keg shells. I use a separate item for the product inside the keg. So an invoice for one keg will show two items: the mead itself and the keg. This helps me keep track of our physical kegs on hand, weather they are full or empty.
When a client returns a keg, they receive a credit note for returning the keg. In addition to getting their deposit back, this keeps my inventory correct.
…
1 voteHi Kent, I know it's sometime since you started your idea here. However, coming back across it now it sounds like you could use customer Smart Lists or the Inventory Item Details report to view customers that you have sold specific items too within a period.

AU Payroll: Differentiate leave loading on payroll reports
Could you please change the name on the Payroll Activity Details for Leave Loading Please. Not sure why you call it Annual Leave. It seems to be in the background and I can't change it. See picture attached.
4 votesHey community, 👋 thanks for your support on this idea, I'm popping in to switch it across to delivered!
The Payroll Activity Details report now shows a breakdown of Annual Leave - Leave Loading separate from Annual Leave.
Thanks again for your feedback.

Sales invoice - Show the total net separated by vat rates
Creating a summary at the bottom of a sales invoice showing the total net brokendown by vat rates to give the customer a clear view of what they are purchasing
1 voteHi Alex, you'll find this is now possible. The different VAT rates used in the invoice will be shown as subtotals beneath the total invoice amount. With the updates that our team have made to the send experience your customers will also be able to see a quick view breakdown of this in the email they receive 🙂

Bills - Export to Excel
Ability to export an existing bill to excel & import as a new bill - convenient for repeating bills of large line item volume
2 votesHi team, while not an Excel file type this is already possible through the Export, Import features in bills.
You can search and export specific bills from the list view, and from the New bill drop down select Import from CSV and drag & drop the file that was downloaded. 😊

AU Payroll - Do not update historical payslips when new leave balances are added
We recently had an employee which had a leave type reinstated after a period of over 12 months of it not being used. There was a balance sitting in there for the duration of time that it wasn’t active, and therefore not showing on any payslips that were provided to the employee or filed. We are now in a position that we had to reactive this leave type to be in line with STP requirements and showing leave loading on a separate line. When we reactivated this leave type, ALL payslips for the period of over 12 months were updated…
2 votesHey Amy, I know it's been a little while since you started your idea here. Taking another read through the situation you described, there are a couple of options which depend on whether you need a record of the adjustment.
- If you do need a record of the adjustment you'd want to post an unscheduled pay run to reverse out the leave balance for the pay period in which it should have been paid out.
- In the case you don't need a record, you could simply adjust the opening balance for the leave type within the employee's record.
We have help for both of these processes detailed in this article on Xero Central.

Invoices: Set due date as from receipt of invoice instead of from creation
Ability to select a date that says payment is due upon receipt of this invoice. This is "due date" is used just as much as net terms of 30 days.
5 votesHi community, returning to the idea right now you could enter a Due Date that's the same as the Invoice Date (or set it to whatever the date is when the invoice is being approved and emailed).
Additionally if you'd like to specify the text that appears (such as 'This invoice is due upon receipt') you could either:
- Add this into the ' Terms & Payment Advice (Invoice and Statement)' on a Standard invoice template, or
- Add this text into the Footer of the invoice template on a Advanced branding theme

Sales Invoice - Add Primary person and email when adding new contact
When generating a sales invoice for new contact to have the ability to add the primary contact name and email so that email can be emailed to primary contact name without editing the contact first.
11 votesHi community, sorry we've not looped into this idea sooner. You'll now find with new invoicing that you can add a new contact and their details, or edit a contacts details without having to leave the page.
When you add a new contact, this'll open the modal for the Contact card and from here you can add the Contact name, Email, Billing and Delivery addresses, and or phone number.

Invoice - Add company logo in invoice reminders email
Add Company Logo in invoice reminders email
Purpose : Invoice reminder email would not be treated as spam with company logo in the email
17 votesHi everyone, super quick turn around here 😁I'm happy to share that the changes for invoice reminders have been pushed live and you should now find invoice reminder emails will include your company logo. This is pulled from the organisation settings, so if you'd like to revise your logo you can do this through the organisations settings page.
