  1. Our business currently uses ApprovalMax to have bills and purchase orders approved. It would be great if Xero could offer the API function for expenses also so that expenses can be automatically sent to approvers.

  2. I would like to know if the below three supplier enterprises in South Africa is supported to outomatic import the invoices into Xero. These are big enterprises with a lot of customers and transactions.

    Xero has an open API which means anyone can develop an integration without providing us documentation or consulting Xero.

    Because of this, we don't collect suggestions for new integrations here on Product Ideas. We'd encourage you to reach out to these organisations directly, to chat about developing a Xero integration.

  3. It would be really helpful to be able to assign an existing Contact to a new Client. For example we receive multiple projects from Architects or Builders with different Clients. Each time we add the contact into a new Client's project, we make a duplicate Contact entry. It would be great to have the ability to assign an existing Contact to a new Client, and merge the duplicate Contacts.

  4. Webhooks are currently limited to contacts and invoices only - greatly limiting their use. Please expand out the available options for webhooks to include projects, quotes and purchase orders, etc.

  5. I just had a query about where should we upload each supplier's EOM Statement?
    It is great that you can upload a copy of a supplier's invoice to each individual bill entry, but what happens at the end of the month when we receive Statements from the suppliers.
    Do we upload them into the Contact card section?
    Or should there be a separate area in the Contact card for EOM Statements to be uploaded?
    Because as more and more businesses go paperless we need to file these Statements somewhere.

    Hi Bridie, this is really up to the business to decide but as you've suggested at present an end of month statement from  your Supplier could be attached as a file to their Contact record - this way you can keep track and compare the previous months statement to the next. 

    Alternatively, you could look at creating a folder in the Files inbox that you could upload all Supplier end of month statements too. Really depends on your needs. 

    @Elle, in the opposite flow to what you're asking here. From a Contacts record you'll see that you can currently +Add from file library so it's possible to attach files that you have uploaded to your library to a contacts record.

    Hi Nitin, is there a specific reason you'd rather pay on account than match with the invoices a payment relates? 

    Contact accounts are connected to the Accounts Receivable in Xero, and to ensure these balance the accounts receivable is only impacted when an invoice is created, payment applied or credit raised for a customer. 

    Being a fundamental way in how Xero is designed and works I want to be open that we don't have plans for changing this.

    Hi Shane, while we have a selection of specific payment service integrators we don't intend to build and develop integrations with all providers. 

    Instead, there is an option to add a payment service with a custom URL which would allow you to set up the payment service with a custom URL provided by your payment service(Klarna) - See more on this here

  8. I would like to see the integration with Gmail (and other emails) to the Contacts back. Not sure why this has been removed, but it was very useful

    Hi Des, after careful consideration and investigation, this feature no longer provides the product experience that meets our standards at Xero. As part of a bigger project to enhance and improve the contacts overview page later on in 2023 this feature to connect Gmail and Office365  to contact in Xero will be removed - We have an article that shares more detail about this on Xero Central.

    If you'd like to save a file to a contact record, you can continue to do so by downloading  the document from your  Gmail or Office365 account and uploading this in the 'Related files' in the top right of the Contacts overview page.

  9. It would be useful to be able to make a payment on account for suppliers, so that clients do not end up creating spend money transactions and bills which duplicates expenses.
    It's also better to be able to see if you are in credit with the supplier on the aged creditors reports, in the same way Sage Line 50 works.

    Hi Suki, to ensure your accounts continually balance payments do need to be matched to transactions entered in your org. It would be possible to create an Overpayment or Prepayment to reconcile a payment in your bank account prior to a bill being entered. Then once the transaction is raised it can be matched with the credit from the Prepayment or Overpayment. As you raise a bill for a supplier where there is credit outstanding you should be prompted to see if you'd like to allocate this.

  11. Can you please add the option to include or exclude opening balances for balance sheet items on the trial balance. It is often necessary to only use current year movements for tax planning, budgeting and other accounting functions.

    Appreciate the thought, Christiaan. With so many different ways customers would like to view, filter and group items in reports our teams are constantly thinking where these features sit best in the framework of reports. 


    We don't have plans for adding the open and closing balance to the Trial Balance report itself. We'd recommend making use of the option within the new General Ledger reports.

    Hi Elizabeth, while we appreciate you engaging with the community through Product Ideas here. Ideas for changing or expensing on an integration with applications outside Xero are best raised with the connected applications support. 

    We'd recommend reaching out to MailChimp who designed and built their integration with Xero themselves to see if this is something they'd consider.

  14. Our Xero is integrated with Zettle and the interface works fine.
    However, it would be great if sales could be posted to Xero nominals by Zettle category.
    Some of the items we "sell" are not actually sales and need to be posted to a balance sheet nominal. At present I'm having to manually adjust these.
    Automation is the way to go.

    Appreciate you engaging community on the idea, Keith. Many integrations with Xero and built and developed by the applications themselves, and they would be best approached for any request to change or expand their integration. 

    I'd recommend raising this idea with Zettle, as it's not something we'd do from our end.

Improvement needed for Invoice, to enable the invoice word format, spacing and size to be changed & add extra location to upload barcode (other than upload logo, provide more place for us to upload JPG file), add more functions to standard invoice features as we are not IT related field it is hard for us to customised own invoices styling. If use customised invoices, it very hard for us to amend for example to included or excluded tax.

  17. Is there anyway to retain the old report formats for P&L and Balance sheets post June 2023?
    I find the new format not very easy on the eye and less user friendly. Can we retain the old format moving forward.

    Hi everyone, appreciate the interest and feedback on the style of Xero's new reports. Being quite open, older style reports will be retired on 31 July this year (2023) and there will be no ability to retain and continue using the older report formats beyond this date. 

    We do want to hear if there are specific differences in the older styles that you'd like to see in the new and welcome you to start ideas for these individuals changes that we can gather support on and could be developed and reflected in the newer versions, but to be upfront here we'll move this idea to Not Planned. 

  18. Could you move the navigation buttons in the Financial Statements format (or any format with multiple pages) to the sticky bar at the bottom so you don't have to scroll to the top of the page to move between pages. some format pages are extremely long and it is a waste of precious time

    Atm, if you're quite far down the page you could use the home button on your keyboard to quickly navigate back to the top. 

  19. We regularly have to upload our invoices into client finance systems, Tradex by Causeway being the most common. It would save a lot of double handing being able to post invoices directly into their systems. There us a UK standard format developed by BASDA that would seem flexible enough to allow wide use. https://www.causeway.com/products/tradex/connections

  20. Coupa integration would be great. I'm working with a company who is transitioning to Coupa where estimates, invoices, and payment notifications are handled through Coupa.
