Reporting - Edit file name when exporting
Ability to change the file name when exporting reports
When exporting reports, it defaults to Company name_Report Name.pdf. We have a format of naming files in our business which does not match the default format. It would be simpler to be able to change the default file exporting system so that it more closely fits our standards, saving time. This could be added into the company settings. Options include: Report should say: Text [placeholder] Text [placeholder], and "include or exclude underscore".
Options for placeholders include date printed, company name, report name, etc.

Need to rename files. We use the RCTI process which used the Purchased order function to create a RCTI and then concert it to a bill. The RCTI we sent has the file name as Purchase Order PO00001.pdf. We need to be able to change the file name to RCTI to avoid confusion. I cant see how this is done, unless im missing something?

I just want to take out the REALLY REALLY annoying underscores. That never used to be a feature and now I have to waste so much time renaming the reports each time. I've been thinking of switching our 10 companies over to Quickbooks for some time now and this and the new invoicing reports are tipping me in favor of doing just that

This would hugely useful.
My ideal format of invoices would be:
{Invoice Date: as YYYY-MM-DD} - {My Company} - {Client Name} - Invoice {Number:XXXX}.pdf
Should be a doable as some text tokens in a template field...

This is critical for Quotes when I want to send a document via Quotes that is not called QUOTES

Is there any update to this request at all? I too find it frustrating having to rename every invoice manually each time. Cheers

Every invoice should be sent in a way that your client (us) requires it to be sent to their clients. The file name inv 0012 is not professional and doesn't really help the user.
It would be great to see the ability to say have the file name added on the same as the reference box which would actually be an easy fix. I can understand that this would be limited but I could work with that.
Be good to get a response from Xero on this. -

Would love to see the underscore removed. We spend time on every job manually renaming our exported reports from Xero. This would be a really quick win with accountants - kinda like that time when you added running totals in GL reports. We know how you Xero's love your "woop woops" at the Roadshows ;-)

Even as a student I've already found it really odd that this feature doesn't exist; especially since it's pretty standard to most every other application that produces documents or media.

It would be great if the document descriptions when downloading reports from Xero would be more descriptive. For example, I have clients with multiple bank accounts and I down load bank reconciliations for each of these accounts. but when I want to include them in my reporting pack, I first have to open each pdf and add more details to the description. Currently the report name only includes the Company name and bank reconciliation...for example ABS Printers_-_Bank_Reconciliation. This description is very limited. My idea is to include the Bank account Name and the reconciliation date... example ABS Printers_National Bank USD_- Bank reconcilliation_30_April_2024.pdf. This might look like a very long file name but when you have 10 bank accounts to down load and rename, these extra details will really help. And with other reports, adding the date of the selected report at the end of the report will also help. Example, ABS Printers_-_Balance_Sheet_30_April_2024

It's a really annoying bug and looks so unprofessional. Please fix this!

This should not be difficult as they've done it at least with Activity Statements. I don't understand how they can't standardize this when it's been a feature asked for for years.

Wild that something so simple but so impactful for a more polished customer experience has just never had any clear response from the Xero team as to whether they will ever prioritise it.
My desire is for having my business name at the front of my invoice file names without also having to change the naming convention of my invoice prefixes and also not having a short character limit getting in the way. The basics matter, Xero!

This is a critical option. We are spending time to make Xero reports have a more professional look for our clients
I am not sure why Xero changed back to under scores in report names it is very old -

The ability to have a customisable invoice naming convention is also a recurring request we get from clients.
-
Jo Dickson commented
This is a must. Flexible naming conventions are a basic requirement that should have been rolled out years ago.

Any movement on this ?
This is one feature that is really needed.

Dana Unkovich commented
Please review this feature. Would be great to have flexibility to include the REFERENCE field somehow in the name of the invoice pdf also.

this feature is needed. As many people have pointed out. some people use estimates and not quotes which you cannot change.
It basically does not look very professional. especially coming from professional paid-for accountancy software.
Much like the custom "mail-merge" within custom DOCX files. I think usings "mail-merge" and maybe - dash and _ underscore. You could create much better file names and actually look professional.
Im currently still wasting valuable time renaming the files produced.
«InvoiceTitle»-«InvoiceNumber»-«QuoteTitle»-«InvoiceDate»
That would be a start.
More options and more text options would be even better.

Would love this feature - let's make it easy for our customers to save our invoices.

I was asking about this in December 2020. It would be a very helpful and simple to implement feature.
