  1. As a retail company with many hundreds of transactions each day it is a massive task to properly account for VAT. All our products are VATable inside the UK but we receive many orders from outside the UK which are non-VATable, or from other EU countries where we must charge a different VAT rate for our IOSS return.

PayPal holds details of the VAT that was collected as part of the transaction, but as Xero imports all these hundreds of transactions from PayPal it currently does not import those VAT details. That means we have to look at our other…

  2. Recent changes to the report layouts when comparing categories means that categories without data no-longer show. It would be great for the user to have the ability to choose whether to include/exclude.
This is particularly relevant when reporting is exported to Excel for customised reports that cannot be developed within Xero. The exported data out of Xero needs to have same column headings so that lookups in Excel continue to work.
The recent change has meant that reports we have already developed within Excel that rely on Xero data no-longer work. And is time consuming to add back in columns…

Appreciate the feedback, Julie. This has generally been to help keep the report clean.

There aren't any direct plans for adding non used categories back into view but it'd be good to be able to share if there are any specific reports you're commonly using that you'd find this view useful in.

  3. There should be an option to enter a prepayment to/from a Contact as such, that is a prepayment. For now, it has to be entered as an invoice. Creating an invoice also creates HST due/credit and it does not follow tax/HST rules because a prepayment is not a sale.

  4. The need to have an occassional tax point date that is different from that of the invoice date has arisen, usually found in the retail sector, and there is not currently an ability to add the field to the sales invoice form. Can there be the ability to have this feature added, albeit a hidden one? Currently the work around is to create an invoice outside of Xero and send that version to the client, causing additional workload. We have been seeing this from vendors for years but the workaround there is entering in the tax point as the invoice…

  5. The VAT reconciliation report is still listed in the menu of reports, however there should be a comment somewhere in the report that says that it doesn't integrate with VAT returns filed under MTD.
This will avoid staff who are unaware of this, trying to make sense of it.
    Maybe just completely remove it.

Thanks for the feedback, Andrew. This is something that's noted within the help for this report but appreciate wanting to see this more predominantly in the product.

No changes at present but we'll let you know if there are any made, here.

  6. Xero allows invoices to be created in a foreign currency (with the premium subscription plan) but when clients make these payments (which get converted to the base currency) they are not able to be reconciled in the Xero app as both the currency and amount are different so they don’t match.

On the web, there is an option that can be unchecked to show foreign currency items, which then allows the payment to be reconciled. In my case it is ‘show NZD items only’.

A similar item would ideally be added to the Xero app so those paid in a…

  7. Hubdoc uses a different method of rounding in the "Transaction Details" section compared to the "Destination Section" which causes a "Line item tax amounts do not total to document tax amount' error

It is detailed in full within this post https://central.xero.com/s/question/0D53m00007FW4dwCAD/validation-error-in-hubdoc

It is due to a calculation error of rounding on the multiple split lines. The two values I have on an invoice are $20 and $3.70 including GST. Therefore 1.818182 and 0.336364 GST, if you sum these up it equals 2.154545. When rounded it equals 2.15 which is what my store receipt says and also what is within the…

  8. "Compare Tracking Category" in the Old Format P&L Report includes columns for all Tracking Category Values USED in the date range; irrespective of whether the value is ACTIVE or ARCHIVED.

"Compare Tracking Category" in the New Format P&L Report is different: it includes columns for ACTIVE Tracking Category Values. This represents an incomplete view because ARCHIVED Tracking Category Values USED in the date range are not included.

Please can you enable reporting of USED Tracking Category Values in the New Format P&L Report before you remove Old Format Reports in July 2023.

Custom reports don't provide a viable solution due…

  9. I have successfully managed to create a custom report.

I now want to add on rows which give me the opening and closing balance each month to get a 12 month cashflow. Is there a way I can do this from the statement of cash flows (using the cash and cash equivalents at beginning and end of period)

When I try to add rows to my custom report it doesn't seem to offer to add, but only to group item is this something that could be considered.

I work for several charities and this report showing money in bank at…

  11. I would like to suggest creating quotes in multiple currencies should be the same as setting the exchange rate. As currently when we choose another currency when creating a quote, while the exchange rate still appears as the custom rate, the exchange rate that appears on the PDF is the default rate. We should all be on the same page.

  13. The new Account Summary Report needs the Account Code in the drop down list. Currently it only has the names of the accounts. There is no option to show or hide the Account Code. Sometimes I work with the account codes and not names. I need the ability to type the code in as well.

  14. Could the VAT transactions report in the VAT return include the invoice number as well as or instead of the reference?

This would make the review to see if there are any missing invoice numbers much simpler. Our invoices are created in another software package by a number of people who sometimes include text as well as the invoice number and it makes sorting by numerical order time consuming. Having the invoice number as a field would make it very easy to sort in numerical order and identify missing numbers.

  15. Tracking codes cannot be defined for "Minor adjustments", normally used when an invoice payment is incorrect by a small amount. These minor adjustments should be recorded against a P&L "rounding" account, but then when running a P&L across different Tracking Codes there are then always "unassigned" entries.
To that end an ability to define a tracking code at point of creating the minor adjustment, or to edit one in from the "rounding" account.

  16. WorkflowMax has no understanding of foreign currencies. We now have WFM clients that are being invoiced in either Australian or US dollars as opposed to the standard NZ dollars.

Before sending the invoice from WFM, we set up the contact in Xero to have the following information:
Under Financial Details: Currency = US Dollar
Under Sales Defaults: Sales GST = Zero Rated and Branding Theme - US Invoice
Please see two attachments showing the settings.

When we send the invoice (Approved) from WFM to Xero, the GST and Branding Theme are correctly picked up but the Currency setting in Xero…

  17. I am having some difficulty with "Blank Reports". I designed a small divisional report which included only a small percentage of my P&L accounts. I tried to select a date range which is offered but doesn't work - the only date range that works is the current financial year. If you want to look at last month, last quarter etc - no luck.

When I brought this to the attention of Xero, their response was that feature isn't available - then why is it a report option. Their suggestion was to modify the P&L format which has date options that…

  18. I would like to put fixed asset categories (plant and machinery, motor vehicles etc) as the columns, and have Cost, Depreciation, NBV - bfwds and cfwds etc in the rows underneath. See attached.

As far as I was aware it was standard to have the fixed asset note in this format so was surprised this was not already a functionality,

  20. We integrate with Stripe for payments and we reconcile our Stripe payments every day to invoices that we generate automatically via a script. On average, we reconcile 50 to 100 invoices each day to Stripe payments. The issue we have with Xero is that the Xero algorithm looks at the amount, the name (customer), OR reference (invoice, order, etc) to match payments with invoices. Like many businesses, our sales price is the same across many accounts and we sell many of the same products over and over to the same customers so this renders the Xero algorithm useless for an…
