  1. When processing backpay for employees where they have a Termination Date currently involves either an Unscheduled Pay run for a period the employee was employed or undo the Termination date, and run a payrun, then Terminate again.
    Both of these are very time consuming, particularly when there are some 40 employees over an 18 month period that need to be included who have a Termination date.
    It would be useful to have a function in a payrun to "include terminated employees" which keeps all the previous data, but includes them for the backpay without having to manual update each, just…

  3. I love the fact that our girls can do their timesheets with start and finish times and leave a comment. However, I need to see this when approving the timesheets for payroll.

    If their could be a way for the approved payroll person who approves the timesheets to see the start, finish, comments and total hours would be perfect. Otherwise I will have to keep using the old system of excel spreadsheet.

    Hi everyone, as you might have seen, earlier this year we added in start and end times as well as notes in time entries to Xero Timesheets.

    I’m pleased to let you know that we’ve added a bit of extra functionality to these two updates, for the manager view. If you’re authorised to approve timesheets you now have the ability to view start and finish times, any comments added, as well as total hours in both the web and Mobile app 🎉

  4. I need a report that simply lists all sales invoices by date, customer and total amount. It would look very similar to the invoice data that shows up when you go from the dashboard to Business - Invoices. The only way to export this data is limited to 500 transactions. Thats no good to me as Ive got 1000+ sales items a month. This would be one of the most easiest reports for Xero to create and give more joy to your users than you can imagine. But I cant see that its ever been created. Please help. Call it…

Be able to pull off an annual statement showing each monthly CIS return by sub-contractor for them to pass to their accountants/bookkeepers at the year end, rather than them coming back to you with a list of missing months that you know you sent out in the batch but they have lost or went into their junk mail

    Hi everyone, coming back round to your idea - this is now possible with the CIS Contractor report and entering a custom date range.

    Go to the All CIS transactions tab, and in the date picker you'll be able to select 'Custom' and then run the report for the year. 

    All functionality that was included in the CIS Payment and Deduction Statements report is now in the CIS Contractor (Monthly Return, Online Filing and Statements) report, including the ability to generate statements for custom date ranges. 🙂

    Hi Owen, this is already possible. If you're using an Android device you can click the 3 dots to edit the Invoice #, reference, branding, files attached, or currency.

    If you're on iOS you'll want to select 'Optional details' within the invoice - see our article here.

  7. Whilst reconciling bank transactions it is often useful to look at the account transactions tab. When doing so it would be really nice to see the files link as an entry so you can easily see the transactions associated with a bank transaction

    Hi everyone, I wanted to share that the file icon will show against all Account Transactions that have been created with an attachment 📂. Clicking on this icon will allow you to quickly preview the attachments. Invoice/Bill payment transactions will show the file icon when files have been attached to the payment transaction. As this is an Account Transactions list only, to see if the individual invoices/bills have attachments, you can head to the invoice/bills lists.

    A separate idea has been raised for the Account Transactions Report to Show Files icon & number attached which you can add your vote to if that’s something else you’d like to see.

    Hi everyone, this is actually already possible through the use of the Payable and Receivable Invoice Summary and detail reports. 


    You can adjust the filters of the report to only select Overpayment, Prepayment and Credit note Source items, as well as set the Status so you only view Draft and Approved items. 

    Once set up Save as custom, so you can easily access this view anytime. 🙂

  12. In the old reports there is a P&L report where you can show at any point in the year the actual monthly figures that have past and then the budgeted monthly figures going forward. I dont think there is currently a way of doing this in the new reports and this is something that clients like to see to show them if they keep going at the budgeted figures what the expected profit or loss will be for the year.

    We've made a recent change to the way you can view Tracking in the newer Profit & Loss! We appreciate the efficiency users found in being able to compare tracking across categories with the older reports and have uplifted this in the newer version.

    You'll now see the option to ‘Compare by tracking categories’ on the screen when you open the new Profit & Loss.

    When selecting tracking categories, if there has not been any activity within your selected report dates you will not see a column for this shown in the results when the report is run - This is part of the releases mentioned last month in “A sneak peek into what’s next for reports in Xero

  14. UK Payroll: Leave / Sick Days
    Xero payroll nearly always miscalculates sick pay and absence deductions if staff are paid an annual salary for two reasons;
    1) It works on average number of days in a month when month vary in working days every month and recalculates an inaccurate hourly rate from which it deducts absence (sometimes this is in favour of the employee but more commonly isn't) meaning that it often deducts too much from them and has to be manually recalculated.
    2) It does not have the capability to deal with part-timers so if you have someone who…

    Hi everyone, I wanted to confirm with the release of working patterns this is now possible 😊

    Working pattern templates create default work schedules for employees to ensure they are paid and accrue leave correctly, as part of their salary and wages settings.

    You can now; 

    • Create or select from working pattern templates
    • Add working patterns manually or using the template
    • Setup multiple weeks of a working pattern

  15. Allow another user in your organisation to enter and submit expense claims on behalf of another user... "so you can focus on other important things" in Xero parlance.

    For example: company director can delegate the expense claims to the company secretary to submit expenses on the director's behalf.

  16. Xero Me tracking feature in app.
    Please make it optional to complete the tracking function to submit a timesheet. Not all business have employees that use tracking categories. This means many employees are unable to submit a timesheet . Making timesheet tracking optional allows all to use the app

    Hey Tim,  Totally understand that not all business will use tracking categories for their employees.   You can turn off timesheet tracking for an organisation by setting timesheet categories to 'None' in your Payroll Settings. Employees will then no longer be asked to select a category when submitting timesheets.

  17. Payable Invoice Detail reports - Ability to Filter VAT Rate Name and VAT Rate (as one can in Receivables)

    In the Receivable Invoice Detail Report, the filters include both the "VAT Rate Name" and "VAT Rate". These are not currently available in the Payable Invoice Detail Report, but would greatly assist anyone trying to reconcile the figures in this report with those shown on the VAT Return. As such it is essential to ensure that the figures submitted in Box 7 of the VAT Return are accurate.

  18. With in the Invoice Only User - Sales (Quoting & Invoicing) the user can still view all of your suppliers and the amounts you owe them via the contacts tab. If you want to give someone access to raise and sent sales invoices then they shouldn't be able to see all of your suppliers and especially shouldn't be able to see what you owe each of them!

    Hi team, we've made the change and this is now live. Now, what's visible for a user with an Invoice Only role will be dependent on their level of access.  Invoice Only Draft will no longer see the I Owe and They Owe columns, Invoice Only (Sales) will only see They Owe, and Invoice Only (Purchases) will only see You Owe. This change applies to sorting on the page as well.

  19. If you already have bank accounts setup then you wish to add a bank feed, the bank feed will only create another bank account. It is not possible to merge data or start feeding the data into an existing bank account. The support team has suggested other manual workaround instead.

    Please consider adding appropriate functions so for those who have transitioned from other accounting systems and have existing bank accounts or for those who didn't start bank feed right away and would want to do it now to have a much seamless adoption of the function.

    Hi team, if you've set up a bank account and decide to connect a bank feed later on this is possible without having to set up a new bank account in your organisation. 


    If you've set up a bank account that there is a feed available for, you'll see a 'Get bank feeds' option in the widget on your Dashboard. 

    If this does not appear you may need to Edit Account Details to make sure these have been entered correctly. 

    Should you have any troubles through the process, you can raise a case with our team of specialists to check in an confirm the process for your bank account. 

  20. Search for inactive contacts eg. not used for 2 yrs, then archive them as a group.
    Many customers use our services once, then never again. Since Hubdoc is sooooo slow to search, & one of the recommendations to counter this is archive unused contacts I have been looking into this. But when there are lots of contacts it is not possible to go through contacts individually.
    Result - Hubdoc works poorly in this area but the recommended workaround is impossible to implement. PLEASE FIX HUBDOC!!
