This would be a useful functionality to have in Xero!

This would be very useful, highly recommend.

It would be useful to be able to download all PDF documents from Xero at the point you stop using Xero for any reason. Especially at the point a company is in liquidation so you maintain the records.

Not impressed! Received an email to say my suggestion about bulk downloading files had been added to a previous suggestion. This made me think that it was something Xero were progressing only to sign on here to find the suggestion has been disregarded as too complicated?!

Reading the comments there are quite a lot of people that think this response is unacceptable?

I would like to be able to bulk download files from the directory. Currently you need to open each file and download individually. I would like to see an option where you can select all files in a folder and download them all with a single click.

Abe, can I ask whether its possible to do the export from 2021? When I try to use your app it only lets me select 2022 and later.

Could it be that what's interwoven is the wish to make it as hard and expensive for people to leave when their needs are continuously and consistently ignored? Just a thought.

Kelly - understand your comment around how interwoven this might be if it was incorporated directly into Xero. AS an alternative could you develop a Xero plug-in for this functionality? There's obviously appeal given the level of votes on this.

Honestly, this is mind boggling that this option is not available. Xero is expecting us to trust them with our receipts in their cloud based system, yet, when we want access to download as bulk for whatever reason, we have to download them one by one ? makes zero sense !

Honestly, Xero, i think it's time i change platform. The added value you claim, is mostly BS. The cost no longer matches the value.

There should be a way to download or save multiple pdf files attached to bills at once by selection of a customer or bills. Doing this one by one is very time consuming and should be available when it is audit requirement for payments.

We addressed the issues some of the people were having here and stuck on some monitoring to see if any errors occur during any sessions to see exactly what problems to solve. Any feedback would be appreciated!

The file libary isn't detailed enough for it to be used properly, so I'm now in a situation where I want to take all the files out and stop using the files on Xero but I am stuck with them in Xero as I can't export them!

This will become more important as Xero gets older, since there will be business that will naturally come to their end of life, with a need to archive all the data and close the Xero account. I am in that situation now.

Numerint exports files associated with any type in Xero that support attaching files:
accounts, bank transactions, bank transfers, contacts, credit notes, invoices, manual journals, over payments, pre payments, purchase orders, quotes and repeating invoices.

The export can scale to any number of attachments and it is not uncommon for customers to export tens of thousands of files that might take several weeks (Xero has throttling to limit the rate). It can export dozens of your companies simultaneously and all run in the background. No need to leave your computer on.

You can do a full export or use filters to choose specific date ranges or only certain Xero types e.g. all Invoices (supplier bills and customer invoices) for a single financial quarter. You can also perform differential exports to retrieve all the files since your last export.

The export comes with a comprehensive data file that carries a lot of data about the exported files. E.g. the contact name, the date, the amounts, the line items, tracking codes.

Customers use it for backing up, supporting an audit as well as migrating to another accounting platform. For example we've had customers with dozens of Xero subscriptions all being migrated needing tens of thousands of files to be moved. For larger jobs it is easier to contact Numerint directly to create a single invoice or tackle any custom requirements.

Hope all is well here, I have some updates for the bills feature, looks like I've been able to fix the issue of timing out when downloading many files. So far I've clocked that it takes around1.2 seconds per attachment (which is very close to the 60 requests per minute limitation)! and keeping in mind that the maximum number of requests a user can make per 24 hours is 5000. So it may be that there needs to be something done on my end to arrange a long running task some point in the future.

I noticed a couple of things will stifle it at the moment, if you have a weirdly named file like ".png.pdf" which may confuse the compute to wonder about the actual format of the file. I'll report more on the other potential ways later, but fingers crossed it works for most of you 🤞

Apologies for the late reply as I have to log in after work.

Quick note before I reply, the site https://x-extentions.vercel.app/ will be moved to a more permanent home, for now I'm just testing the reception of this idea.

I do have some good news in that I have attached error logging/monitoring now, so I should be able to see what errors users are seeing, and based on what I have been experimenting with larger numbers of attachments to download, it seems that the server I was hosting this app on was configured to time out after 10 seconds. However with your case it's slightly a different thing, it seems I may not have configured the request timing properly, and therefore Xero may have just said "nope, too many requests" and thrown it back.

Thanks for reading through the long windedness! I will be working on it for sure, I also attached a screen shot on the new version that shows you how many attachments will be downloaded, to give a rough estimate on how long it could take.

I'll keep updating this thread in the meantime with how I'm getting on with this fix, thanks again for using it!

I also want to know more about how I can alleviate your security concerns as well, so the more information the merrier!

ps: remember that the authentication is configured to last only half an hour for security measures, so if you see requests failing after half an hour then refresh and you should be able to see that you need to connect it again.
