Introduce a Sales Order function
Xero Feature Request: Sales Order Management
Objective: Introduce a Sales Order function that allows users to convert quotations into sales orders, manage outstanding orders, and progressively invoice customers as goods or services are delivered.
- Convert Quote to Sales Order
Introduce a simple “Convert to Sales Order” option within an existing quotation.
Convert an accepted quotation into a sales order.
Automatically transfer customer details, line items, quantities and pricing.
Allow users to assign an expected delivery/due date.
Track the sales order independently of the original quotation.
- Partial Sales Order Conversion
For customers who only order selected items or quantities from a quotation:
Select specific quotation lines to convert into a sales order.
Adjust quantities where customers order fewer units than quoted.
Retain the original quotation for reference.
Allow remaining quoted quantities to be converted into additional sales orders if required.
- Partial Invoicing Against Sales Orders
Introduce functionality similar to Xero's existing partial receiving process for purchase orders and bills.
Generate invoices directly from a sales order.
Invoice selected line items or partial quantities.
Automatically deduct invoiced quantities from the outstanding sales order.
Allow multiple invoices against a single sales order.
Automatically close the sales order once all quantities have been invoiced.
Example: A customer orders 100 units. The supplier delivers and invoices 30 units, followed by 40 units and finally 30 units. Xero automatically tracks the remaining outstanding quantities throughout the process.
- Outstanding Sales Order Reporting
Introduce a dedicated Outstanding Sales Orders Report showing:
Sales order number and customer.
Original order value.
Invoiced value.
Outstanding order value.
Outstanding quantities per line item.
Expected delivery/due date.
Order status: Open, Partially Invoiced, Completed or Overdue.
Business Benefits
This functionality would bridge the gap between quotations and invoicing, providing businesses with better order management, delivery tracking, sales forecasting and visibility of outstanding customer commitments.
The key advantage is that Xero could introduce this functionality using a workflow very similar to its existing Purchase Order → Bill process, reducing complexity while adding significant value to businesses that supply products over multiple deliveries.
