  1. I raise invoices for clients who provide services to government departments and have project managers involved. This requires me to send an invoice to the accounts department who may have einvoicing and to the project manager who does not have access to the financial software and therefore requires a copy of the invoice which also confirms to them that the invoice has been submitted to accounts. Would it be possible to have another option when preparing an invoice to Approve, Send (as an e-invoice) and Email all in one process?

    Interesting to here your feedback here, and would be good to get a wider sense of customers that have similar scenario here. We don't have any plans for adding this option atm, but we'll update you here if anything changes. Thanks

  3. Repeating Monthly Invoices:

    Can we have a feature where monthly invoices have the ability to automatically calculate the days in that month based on the date in the "next invoice date". Therefore it doesn't need to be manually changed. Eg Monthly repeating invoice. next Invoice date - 1 November 2024. Qty - 30

  4. It would be great to be able to show two payment services on the invoice template. Currently you can only select one option from the drop down. We offer POLi payments and credit card payments via Stripe but cannot currently display both options using the invoice template. We have to manually select both options on each invoice & this is quite time consuming when issuing a large number of invoices.

    Thanks for sharing, Julie - It's good to hear you're aware of the ability to provide this on an invoice by invoice basis. It's not something we have plans for extending to Invoice templates/branding for the time being, but we'll track the interest from your idea here and share if any plans are made. 🙂

  5. A feature that allows an email to be sent for a voided invoice to the client so they have confirmation the invoice is voided as verification.
    This can be as simple as taking the invoice template / previously generated pdf and branding "VOIDED" or "CANCELLED" on top of it.

    Hi everyone, thanks for all the context you’ve shared on how this impacts your workflows. We understand how a simple in-product setting for showing delivery address on an invoice would improve efficiencies for you all here.

    Currently, the best option remains to insert the ContactPhysicalAddress merge field/s with the use of an advanced invoice template.

    However as part of a larger piece of work we’re doing to develop multiple addresses per contact within invoices, this is an idea we’ll be solving for.

    We can’t provide definite timeframes but will shift to In development and share further news as it progresses with you all here!

  7. Can you add a "Add payment and send invoice" button on the payment option, if the customer has paid straight away, I have to add the payment, it then exits the screen, you have the option to send a receipt (but no invoice?) and you have to go back into the transaction to send a paid invoice to the customer

    Hey Olga, thanks for your engagement and for sharing this great idea with the community.

    We've reviewed your suggestion to add an "Add payment and send invoice" button. We can see how this would streamline the process when a customer pays straight away, saving you the current hassle of adding the payment and then having to go back into the transaction to send the paid invoice.

    Your idea is now open to gain support from other community members. Along with votes, others can now comment to share how this improved workflow could enhance their own experience with Xero. 🙂

  8. There is a significant design flaw in the new Files UI:
    1. The delete button will remove an attachment on a single click, rather than prompting a confirmation.
    2. The 'View' file button is directly next to the delete button increasing the chance of accidentally clicking delete instead. Given the point above there's no way of recovering the attachment as clicking it will instantly remove that file.

    In the old invoicing you could simply click the file name to view rather than clicking a 'View' button. The delete button was under a cog and initiated a second click to confirm…

  9. Why does the Supplier ABN not appear on the online invoice view? We now have to download the invoice as a PDF to see the ABN. This was not an issue with the Classic view.

  10. Create an undo or revert option for edits made to invoices. We can already see the history of changes made to an invoice, so why can't there be a option to undo or revert to a previous revision of the invoice?

I'm invoicing for June, and I'm clicking "add last items" so that I can copy and paste the descriptions, and it added the items from the last paid invoice and not the last invoice - I know because the last invoice had line items for May, and it added the line items from April. The May invoice for the client I'm invoicing is still open but the April one is paid and closed.

    I just want the thing to do what it says on the box.

  12. There are new options now under 'Approve' on the new Sales Invoice. The majority of my invoices are created post-purchase, so I create the invoice, approve the invoice, then usually need to go back to the Invoices overview. I want to see added 'Approve and return' or 'Approve and close'. Currently it takes me three clicks to get back to the invoices, because I need to click on Approve, then 'Invoices' from the breadcrumb, then to 'All' since it defaults back to Awaiting Payment. (Why doesn't clicking 'Invoices' from the breadcrumb take you back to the All tab?? Surely that…

    Hi Trudi, while the Business menu option I mentioned in my last update remains the best flow for what you're after here currently.

    I thought it may be useful to share that we've recently released some keyboard shortcuts for common actions in new invoicing that may help improve your efficiency when invoicing. Our product team have added small prompts to highlight these in the product while our customers familiarise, and if you’d like to view the full list of options you can see them all on Xero Central

    We'll continue to track the interest in an approve & close option here, and share if there are any changes planned that may impact this.

  13. New Invoicing - currently wont allow me to send an invoice (as a reminder for payment) if it is in a locked period. Which i don't understand as it is not affecting the accounts in any way.
    It is very time consuming having to download and then email from google, rather than straight from Xero as before.

  14. New Invoicing My issue is that when an Invoice has been amended after it has been sent. I have found that currently the tick is still in the box as Sent . I think it should not be ticked until the amended invoice has been emailed again. I sent it twice to a customer Also The History and Notes on that Invoice Show it was updated but not emailed straight after I edited it. Anyone else having issues with this?? Maybe I should log a support call for it. If so let me know

    Thanks for your idea and feedback, Maria. I'm just checking in with the team on the history for the send in the second part of your post here.

    In terms of the sent box being ticked. This is automatically ticked when the invoice is initially sent and does not change when an invoice is subsequently edited. Appreciate this might be something that would help your processes and I've slightly amended the title of the idea for this.

    While we don't have any plans for this right now, we'll begin to get a sense of the interest in this, here.

  15. At present, using Xero's Invoicing templates, you cannot send a "Receipt" from the Invoice -> Email screen. It prints as "Tax Invoice" with a zero balance. You have to click into the payment applied and send a "Receipt" from there.

    If Xero labelled a paid Invoice as a 'Receipt', then surely we could use 'Receipt' templates - as you cannot unless using an advanced docx template with custom coding.

    Secondary to that, Email templates - not being able to have a 'Receipt' template means that our "Receipts" go out with Xero's "View Full Invoice and Pay" message at the bottom…

  16. In the iOS app: Create an Invoice. When you are selecting the customer to invoice: Who is it for?

    Once you tap this field, a search window appears and you start typing customer name to find.

    Below the search field it would be nice to have a list of the top 5-10 customers you have create invoices for.

  17. Ability or setting to default include files attached to an invoice when sending from Xero

    Purpose | Steps are currently involved to include files that are on an invoice when sending the invoice to a customer, an option like this would ease the process of including files that a customer needs to have access to and see when they received their invoice

    Thanks so much for sharing your feedback on this idea, community. We appreciate that having to manually select attachments on every invoice can feel a little fiddly. We get that you want a smoother workflow, that saves you time.

    As noted by others in the idea, one option for now would be to add standard files, like your terms and conditions, directly to your invoice template. That way, they'll be included automatically when you send out your invoices.

    To confirm how this functionality currently works - this is based on the user and driven by the last invoice that was sent. Where you have files attached, and you had selected to include files as an attachment when emailing the invoice, the next invoice you send with file attachments should have this selected by default.

    A caveat to this is when you are working in incognito mode, or refresh your browser…

  18. Cancel a Draft Invoice from Invoice Screen (rather than delete which loses the invoice number). Another user made this same suggestion and the Xero response was to hit the delete button and they then closed down the comments/voting option. However, her point was that if you cancel out of the invoice then the invoice number you cancelled out of is still usable, whereas hitting delete means the invoice number is no longer usable. Why has the cancel button been completely removed and only the delete function is now there.

    Appreciate you raising this again, Tom. While it's possible to Delete a draft invoice as new invoicing has autosave built in it's not possible to just cancel out without saving once a contact has been entered.

    We'll keep track of the specific interest for this here, and I have merged the original idea that was created around this in with this one.

  19. Sales Overview Improvement Request: Add "Send Date"

    To enhance our efficiency and reduce time spent looking up invoice details, it would be beneficial to add the "Send Date" to the Sales Overview page.

    Reason for the Request:

    Clients sometimes claim they have not received an invoice and ask when it was sent. Currently, to answer this, we must navigate into each individual invoice and check the history, which is time-consuming.
    Our team members occasionally inquire about the send date of invoices as well, and without this information readily visible, they too have to go into the invoice history.

  20. New invoicing forces you to populate fields in order and I cannot set the tracking code until the description / amount et al are filled.
