Invoices - Allow temporary client invoices without creating permanent contacts
In working with a client who uses Xero as their invoicing system, we’ve identified a practical workflow gap that may affect many small manufacturers and custom-service businesses.
The business does not operate a traditional point-of-sale system. Instead, they produce custom, made-to-order items such as signage and magnets for walk-in customers.

Sales invoices - Option to delete invoices <6 years past
Under GDPR, customer data can only be kept for a reasonable period of time.
In the UK, businesses must keep tax records for at least five years from 31 January following the end of the relevant tax year. In practice, this means records need to be retained for 5 years and 10 months.
Your GDPR policy can therefore state that records will be kept for 5 years and 10 months. After this period, continuing to store invoices (for example, in Xero) could put you in breach of GDPR.

Repeating Manual Journals - Provide more frequency options
Once upon a time when we used TAS for our bookkeeping services, they had a very useful feature when processing recurring journals. We could choose separately months to correspond to the days clients being charged for. For example, we would pick January, March, May, July, August, October, December to process invoices for 31 days; February for 28 days; and April, June, September, November for 30 days. Once you have that set up initially, you don't have to think about adjusting recurring journals every month. At the moment, it takes me about half a day just to update over a hundred…

Credit notes - Preview before saving as Draft.
We would like the ability to preview the Credit Note BEFORE saving it as a Draft.
Currently, the only option to preview a Credit Note is to save it as a Draft and then use the "Print PDF" option to open a preview.
Instead, we would like an option where we're able to view a preview when creating the Credit Note.
Purpose: To be review the Credit Note for mistakes before officially saving it.

Sales Overview - Add a Branding Theme column
A problem I have each month is when preparing sales invoices - I use several branding themes, one of which is for the AdFin integration.
It would be ideal to be able to see on the invoice list (in Sales > Invoices) which theme was attached to each invoice, it would be further beneficial to be able to select a bunch of invoices and bulk change the theme where required.

Sales | Invoice list - Show scheduled invoices
On sales overview (invoices), it would be really good to have "scheduled" in the "sent" column - where an invoice had been scheduled to be sent by email, but not yet been sent. A column showing the date they are due to be sent would be even better.
If not as above, it would be really handy if you could click on a tab for "scheduled" so you get a list of invoices that are scheduled, and the date they are due to be sent (like the 'scheduled' folder in Gmail).

Being a new feature that's still being rolled out to customers working this feature into other areas like the invoice lists view hasn't been planned just yet, however it would be good to get a sense of the wider interest in this here.

Invoice - Reference default set to contact account number
I would like to be able to check an option that automatically adds the accout number to the reference field on invoices. This would save a lot of time.
I'm sure there would be options that people would like ot autofill this field so make ot part of the settings4 votesAppreciate the feedback and how this would be useful when your reference is driven off the contact's account number.

Invoicing - Fields for Job dates
invoices need dates adding , date of work carried out / on hire - off hire dates , the invoices currently only show the invoice date with no other dates added unless doing manually . we have had to stop sending our invoices from xero as customers need dates to match jobs so have had to revert to our old system just for invoicing , surely this could be added

We understand that only showing the invoice date can create extra manual work, especially when your customers need to see the date work was carried out, or on-hire and off-hire dates that match the job. Having to add these dates manually, or use a separate system just for invoicing, adds unnecessary time and complexity.
We’ve reviewed this idea and moved it to Gaining Support so other customers can vote and add their comments.
We’ll continue to monitor the support this idea receives and update the thread if there’s any progress to share.

Invoice - Quick edit option (like bills)

Can we have a function in invoicing to record a payment the same as the new 'eye' function on bills (screenshot attached)? Would make life a lot easier as adding multiple payments to an invoice currently involves way too many clicks!7 votesHi team, returning to the idea here I wanted to share an update. While we don't have quick edit for in voices atm, we have made an update to the Make a payment section of the invoice which will reduce a couple of extra clicks here. Rather than clicking a button on the invoice to open the payment section, you'll find that each invoice now has the make a payment section directly beneath an approved invoice.
We appreciate this doesn't fully resole this idea and will continue to keep a watchful eye on the interest, and share if there is any news of this here. Thanks

Invoice Import - Display warning for new contacts being created
Our practice makes use of Xero's ability to import invoices to do monthly utility billing and have found Xero's feedback notice / confirm import page to be VERY useful.
On this page Xero notifies us if
- any invoices will not be imported due to errors
- invoice number already exists
- any item descriptions and/or prices differ from the Xero org's listed products and servicesUnfortunately, it does not notify the user if any new contacts will be created on confirmation, as imported invoices automatically create a new contact if a matching one does not exist.

Invoicing - Ability to set a negative integer for default due dates
Allow negative values in default due date options.
We set our due dates 7 days prior to the invoice date, currently Xero only allows default due date settings to be set after the invoice date.
Allowing negative numbers would make our workflow much quicker!

Invoicing - Insurance / Surcharge Line at Bottom of Invoice
Summary:
Allow users to add a dedicated surcharge (e.g. insurance, card fee, handling) that appears as a distinct line below the subtotal on invoices, rather than as a regular line item.

Contacts - Ability to turn off initial icon
Can you please get rid of that annoying image that appears when I'm typing in a new contact on a sales invoice. As I'm typing the image is flashing away on each keystroke and giving me a headache!

Invoices - Add custom fields to display the billing term or service duration
The ability to add custom fields to invoices based on the industry would be a fantastic feature. I have a SaaS client who bills annually that has customers reaching out about adding the invoicing term(number of months) to their invoices. Seems like there have been other ideas submitted based on specific industry requirements.

Having dedicated fields for service start and end dates could also support businesses managing ongoing contracts, retainers, or deferred revenue workflows.

Invoicing - Create a Credit Note from a Paid invoice
We raise an invoice to a client.
They pay it.
Then for some reason, something changes.
We need to raise a credit note against that invoice!I know I can create a new one from scratch but I want the history with this particular invoice and all the other details that I have already typed into it.
What I DON'T want - is to delete the payment, create the credit note, delete the allocation of the credit to the invoice, then reapply the original payment.
It is not an option within Xero to 'copy to draft' and create a negative…

Malaysia E-Invoicing - Embed Validated QR code on invoice PDF
1st) I suggest on embedding the Validated QR code to the normal PDF invoice so that we can print multiple invoices at one go and our normal PDF invoice also consists of banking details and credit terms whereas the Validated E-Invoicing has none of these.
2nd) I suggest on putting "Send to MyInvois" button instead of copy and paste the e-mail MyInvois@invoi.ci for every invoice. This is too troublesome.
3rd) Regarding the Invoice interface on the Sent Column, perhaps can Xero make it into two instead? One is for the Validated E-Invoicing & the other one is for customer. The…

Multi-currency Invoice - Do not update exchange rate on invoice after due date has been changed
Currently, when you raise an invoice in a foreign currency it will take the exchange rate as of that hour. If you later change the due date of the invoice, the exchange rate used to convert will change from the hour you raised the invoice, to the closing exchange rate on that day. This causes an issue for reporting where we have reported a revenue figure for a previous month. The invoice on a due date has been changed and therefore the revenue recognised in a previous month has changed. This makes our reports incorrect and could cause issues if…

Bills & Invoices - Option to change calendar picker to start on Sunday
When recording a payment in "Bills" please set the calendar to run Sunday - Saturday.

At the moment, the calendar picker follows a fixed layout and there isn’t a setting to change the start day. We appreciate that even small layout changes can make a difference when you’re entering lots of transactions and moving quickly through your workflow.

Recurring Invoices - Display a history log with dates and numbers of all invoices generated from a Recurring Invoice template
We have many recurring invoices set up in Xero. When we want to see how many have been issued, say using one particular recurring invoice template, we have to look at the activity or search for the amount. Could this date and invoice number be added as a Note under the core recurring template?
1 voteHi Bruce, thanks for submitting this idea. We understand that having a clear history of invoices generated from repeating templates could make it easier to review billing activity and respond to customer queries.
The suggestion here is to add a history log within repeating templates, showing invoices created, dates, and amounts linked to each template.
For now, you can use filters in the Invoices screen to search by contact, date, or invoice details to review transactions created from a repeating template.

Reports - Add options to show both Gross and Net amount columns on the Account Transactions report
I'd like to see both the VAT inclusive and exclusive values listed in the transactions list shown in a clients account. Some clients discuss VAT exclusive figures and others inclusive, so it would be much easier to have the selection to show both values side by side, especially if you're looking for something by value.

The good news is this is already available in the Account Transactions report. You can customise the report columns by opening the Columns dropdown and selecting the fields you need, including Gross, Net, and VAT. You can also save the layout as a custom report for future use. Alternatively, you can also run the Receivable Invoice Detail report.
