"Created by" for Invoices, Quotes & PO
"Created by" to be added to the filter in Invoices, Quotes & PO sections
1 voteIt's possible to see who created a transaction from the History & Notes section beneath the transaction.
Alternatively, you could also run the History & notes report, select the type of transactions you want to see and search for 'created' to view all documents created by users in the org.

New Invoicing - Ability to apply overpayment to invoices
Why do we have to switch back to classic to apply and over payment - This feature needs to be in the New Invoicing System. It creates a massive amount of clicking to get all the features needed.
39 votesHi everyone, we have now released this within new invoicing 🎉
You'll now see that when you apply a payment within new invoicing, if the amount entered exceeds the invoice total Xero will note this and offer the option to create an Overpayment.
Thank you to everyone that voted on this idea and shared the importance of this in your workflow.

Resend an invoice
Resend a "Repeating Invoice"
A repeating invoice contained an error, which we have already corrected, but I don't see any way/opc to resend the email with the corrected rep invoice. What worked for me was switching to classic mode, where I was able to modify and resend that invoice.
I think it's important that you add those options to your new look before you change it, because they are necessary in my opinion.
2 votesHi Chris, you can resend an invoice that has been created from a repeating template by opening the invoice in the Awaiting Payment tab and clicking the 3 dots in the top right above the invoice where you'll see an option to Email.

Edit invoice reminder email
I need to edit the email text, or select an alternative email template, to be used when an overdue invoice reminder email is sent.
1 voteHi Paul, if you're not using all your invoice reminders atm, you could set up a separate Invoice Reminder for Invoices overdue versus those due by - You can use up to 5 Invoice reminders.
When you set up an invoice reminder you'll be able to set the email template that is used to send that reminder and it will only be used when that reminder is triggered.

New Invoicing - highlight issue date when tabbing across
Old invoicing you used to select your "to" contact, then tab across to the date where the date would be highlighted so you could start typing a new date straight away. New invoicing no longer selects the date & takes longer if you want to manually type a date rather than having to use the mouse.
1 voteHi Shannon, we made some changes toward end of 2024 to improve the entry and selection of dates in new invoicing. Having just done a test I can see that when you tab from the To field it'll move across to the Issue date field with the date highlighted and you can easily start typing the date you need just like you've mentioned.

New Invoicing - Due Dates drop down add Tomorrow
In the new invoicing, invoice date, drop down has tomorrow as an option, but in the drop down for due date this is not an option and have to go in to manually select the date which is time consuming this is something we use for most of our invoices.
3 votesHi team, returning to the idea here we're going to shift this to delivered with the existing ability to enter the keyboard shortcut 'T+1' that'll auto select Tomorrows date in the Due Date field.

Invoicing - Due Date to default to invoice date.
Invoice and bill due dates to default to issue date.
As above. Basically when you enter the initial date of an invoice or a bill, the due date defaults to the date you have entered. This will save additional data entry if your dates are the same.
In the case of a franchise where Remits are sent via a supporting booking software, the invoice/bill due date is always the same as the issue date.
Please default the due date to the invoice date once selected. but still obviously give the option to change the due date to a user specified…
2 votesHi Adam, there are a couple of options here including the suggestion that Geoff's provided. 🙂
Right now, within Invoice Settings you can set a default for the Due Date, this could be based on the invoice issue date if you choose.
It's also possible to set a due date for an individual contact within their contact record.

New invoicing - Tab through date field
When you are entering in date ranges, you used to be able to press tab once and it would jump from the first date to the second date. Now it takes like 7-8 times. This is an inefficiency that seems to have only started a few days ago.
4 votesHi all, the team did make some changes to the tabbing of fields in new invoicing. You should find that when using Tab you only need to press this once to move from the Invoice Date to Due Date, then cross to Invoice #.
If you're not finding this behaviour, it'd be good if you could raise a case with our team of specialists so we can look into this further.

New Invoicing - Applying customer credit to invoice
In the new invoicing it is possible to add a customers credit onto their invoice from the bottom of the screen however the old version would have a pop up asking if you would like to apply the credit.
Can we change new invoicing so that it pops up asking for confirmation as this is easily missed.
7 votesHi everyone, as shared a little earlier here when you start entering an invoice for a customer that has credit you'll receive a notification in the bottom right.
Once you approve the invoice you'll receive a prompt to let you know that you have credit for the contact and would you like to apply it.
If you're not receiving this prompt this would be unexpected behaviour. We'd still like to help you with this, but it's best for our specialists at Xero Support to get more information 1-on-1 and investigate this with you. You can reach out to them through the Contact Xero Support option throughout Xero Central (bottom of the page).

New Invoicing - Invoice Contact Groups
Update new Invoicing to allow sending invoices to contact groups as you can in the classic invoicing. It's ridiculous that something so useful has been left behind in the switch to the new style. I need to be able to amend the invoices I send out based on the individual needs of the group. It saves so much time to be able to create a default set of drafts that I can amend rather than having to go to each individual and create an individual invoice within that group. Please guys, piull this across!
52 votesThanks for getting involved and sharing your interest for contact group invoicing, everyone. Our latest updated for new invoicing means you can now create a new invoice for a contact group! 😊
If you've still be using classic invoicing, switch to the new version first through the banner at the top, or link at the bottom of any invoice.
Next time, you create an invoice for a Contact group you'll be taken to enter the details for your group invoice, in new invoicing. We appreciate all your input and feedback through the idea here.

New Invoicing
Not all businesses want to set up credit card payments. We actually use another system to generate our invoices as they are complex. I have been repeatedly asked to set up stripe and an authenticator with every step when keying in new invoices - I do not want to do this. I started to investigate and have now been charged $59.99 for an authenticator I do not need. I am incredibly frustrated and want my money back. I have contact the app company however it was xero's repeated badgering that caused the error. please remove the call to action
2 votesThanks for the screenshot, Nicole. Appreciate if you're not intending to set up credit card payments that this continuous pop up would be frustrating. This indicates that the Stripe payment service setup was entered into at some point but hasn't been completed. You should be able to stop this from appearing by removing Stripe as a payment service from your organisation. We have some help on doing this, here.

New invoicing - More Address Lines when adding contact details
When sending an invoice to a new customer using the new invoicing you can only add one address line before the Town/City field. With the old invoicing you could add multiple address lines before the Town/City field (as you can also do with their Contact page and clicking edit).
With new invoicing this is difficult. Every time you need to add an address to a new invoice going to a new contact within the invoice screen then you only have one address line above the town/city field.
To add more address lines above the town/city field you need to amend…8 votesHi team, we’ve made and released some recent enhancements to the ‘Contact’ field and contact card within new invoicing.
Hearing your feedback here, we added more address lines to the contact card within new invoicing so you can add your full customer’s delivery or billing address on the fly. You’ll also see you can quickly look up and select addresses for your contact, as well as edit or add the Attention to without needing to go to the contact record. Thanks for your interest with us here.

New Invoicing - Add last items
New Invoicing - Add last items
The new invoicing interface currently being rolled out does not include this feature. This feature is fundamental to my use of Xero for invoicing.
1 voteHi Keith, if this option isn't appearing where you'd expect I'd recommend raising a case with our specialists through Xero Central so we can take a deeper look into things with you.
If you have previously entered an invoice for the same contact, you should see this option appear not long after adding the Contact. I've attached an example

Sales Invoice - Ability to add Web link or QR code to Invoice or Receipt for Google review
It would be fantastic to have the ability to add a web link or QR code to a Googe review page or other external link (website, facebook etc).
When an invoice or receipt of payment is sent it would be great to follow this up asking for client to give feedback on service provided or to have them follow along on social media etc.2 votesThis is possible for sales invoices with the use of an advanced branding theme. You could download the docx template and insert an image (QR code) or statis text (a link) where you'd like within the template that customers could reference and use to review your business.
There is no template for receipts atm, but we have a slightly different idea for this that you may like to add your vote to.

Retain the edit, copy and void features for bills and invoices. These are used all the time in our organisations
Accountants need to to be able to amend the account to which an invoice or one of the lines on it is allocated, as we can with the edit function in Classic Invoicing. We also need to be able to edit the Tracking Category of an invoice or line on the invoice. This is vital for our organisation and likely to be so for others businesses where invoices and bills are booked by financial staff and checked by Accountants. The ability to copy a previous invoice is also used all the time and saves a huge amount of time. Also…
2 votesAppreciate your idea here, Michael. While it won't be possible to retain Classic invoicing, it is possible to Edit, Copy and Void in New Invoicing.
That said, a couple of the Copy to options (to a purchase order or bill) are planned for new invoicing but aren't there quite yet. You can stay updated on these through the ideas I've linked.

Invoice Branding - More Customisation and font options
I think the invoice customisation in Xero needs a major overhaul. Many of my clients have spent considerable amounts on graphic design, but the customisation process (downloading a Word doc, editing, and uploading) is a nightmare. The standard Xero invoices are really dated (such as the Mastercard or Visa logos, the payment slip footer, font choices etc), which means the better option is to upload a customised invoice. The problem I have is that most of the fonts I've tried seem to be unavailable once uploaded to Xero, with most reverting to Times New Roman, and that's an issue that…
85 votesThanks to everyone who asked for easier, more flexible invoice branding. Our new Invoice template editor is now available in all regions, so you can customise invoices in Xero without Word uploads.
You can adjust your logo and colours, rename columns, choose which business and customer details appear, add notes and payment information, and preview changes as you work. This helps you create on-brand invoices for your workflow. 🙂
While fonts in this new editor are limited atm, we're interested to know if there are specific fonts our customers would like to see added - See my recent update and please share on this idea if there is one that would be most helpful for your business.
If there are other aspects of your invoices that you'd like to be able to customise, please do start new ideas for these that we can consider for future enhancements. Thanks

New invoicing - Enter key decimal point
The old version we used to be able to hit the Enter button whilst we are keying in the number keys to the right of our keyboard. In the new version we have come to realise that the Enter Button makes the decimal points pop up... instead of just being able to put in 50 for fifty dollars. I have been using the Enter key over near those numbers on the right since xero began and I am really hoping this is fixed ASAP if that is ok please
1 voteThanks for raising this with us in product ideas, Leanne. Appreciate it's been a few months since you first started this, however just coming back across and testing with the current experience it appears this is now working as you'd like to see here - When entering data in fields of a row in the invoice, if you press enter you'll move across to the next field. Also within an amount field like Qty or Price when you type in a figure and press enter this will move fields and round the amount to the nearest whole number, unless you have inserted a decimal point.
Let me know if there's anything you feel I'm missing within your idea here. Thanks!

Invoice Should Remain in the Same Format Once Sent
When an invoice is approved it must stay in the shape of an original table where the ledger account column and the tracking category columns are present, (presenting this information in a line with a small font is ridiculous).
2 votesHi Melissa, coming across your idea here you may have already noticed that a couple of weeks ago we released an update to the view of an invoice so all details are now shown in separate columns (similar to classic). 😊
Thanks for your feedback and sharing how we could improve things for you, here.

Invoices - Change Column widths on invoice template
On the invoice template there is a lot of 'white space', particularly to the right of the Product Description, which frequently wraps to a second line. The Product Item code also wraps to a second line on occasions. The Quantity, Unit Price, Discount and VAT columns could be reduced in width to allow for the increase in Item and Description fields.
11 votesHi community, thanks for your feedback here. While we won't be providing the ability to manually adjust column widths our product team recently released a new line item grid that with other improvements, optimises the padding, text size and column width so it is more compact and you can see more detail without the need to scroll.
All fields will also now wrap, so you'll be able to see all information of your account, tax rate and tracking without having to click into the field.

Xero Accounting app - Support US Auto Sales Tax
Including the AUTO lookup feature for sales tax in the Mobile App would make the product usability much better in states such as Colorado. To create invoices at "pop-up" events in various tax jurisdictions is crucial so you don't have to remember to continuously load new rates for complex destination /home-room rule situations. The "usability" of the app would be increased rather than being tethered to a computer to manage.
7 votesHi team, happy to share an update that we've made so now auto sales tax invoices are now available via the mobile app! 😁
We appreciate hearing how you make use of the Xero Accounting app and hope this change helps with your experience and invoicing on the go. Thanks
