    Hi Jane, appreciate the feedback here. We understand that payment confirmation is an important part of the customer experience.

    Extending SMS functionality to include “Paid” invoice notifications or receipts could provide a quick, mobile-friendly way to confirm transactions. We’ve updated this to Gaining Support so we can track interest and share it with the product team.

  2. When using the invoicing system in Xero, there is no ability to move columns around. It would make my workflow much easier if I could enter quantity first, followed by product code, as this matches the standard ordering format in our industry. When customers place orders, they typically specify the quantity first and then the product size or code.

    In our previous system, we were able to click and drag columns into any order (similar to how line items can currently be rearranged in Xero). However, with the current fixed column layout in Xero, I often find myself writing phone…

  3. We do very detailed quotations that are done from our quote / costing sheets. These are then sent as a PDF to clients. It would be really helpful if these PDF could be uploaded like a bill to Xero quotes and invoices.

  4. A simple solution for those that want to format their text when emailing would be to allow formatting that WhatsApp uses, where you simply add * either side of word or sentence that you wish to format as bold, for example.

    Thanks Eamonn for the feedback here. We hear that having a quicker way to format text in invoices and emails would help improve clarity and workflow efficiency.

    Being able to apply simple Markdown-style formatting while typing could make it easier to emphasise important information like due dates or payment terms. This has been moved to Gaining Support so we can continue tracking interest and share it with the product team.

  6. Please have a default bank account in the add payment function. Have to manually enter the number or search for the bank account through your whole chart of accounts. Old invoicing had bank accounts automatically in this box.

    Thanks for your feedback, Jacqueline. We don't have immediate plans for being able to set a default bank account for payment on an invoice, but we'll start to track this here and I'll share if there's any plans made.

  7. Under the old invoicing, when an invoice was emailed to a client for the first time, the email address used for that first invoice automatically populated the Contact card's email address at the time the invoice was sent.
    This meant that if the invoice was unpaid, the reminder would be able to go to the same person who received the invoice.
    However the new invoicing doesn't automatically populate the Contact's email address.
    This means an extra step is needed to ensure the Contact card is updated.
    If this step isn't taken, then the automated reminders don't go out.

    Thanks for sharing your thoughts and adding your vote to this idea! We totally get how important it is to keep your customer contact info accurate and up to date. An automatic update feature through invoicing sounds like a great way to save you some valuable time.

    Right now, if you send an invoice to an email that’s not already linked to a contact, you’ll need to add that email manually in Xero. The current setup is designed to be flexible so you can send invoices to multiple emails without changing the contact record. But we can definitely see how this feature would speed things up for you.

  8. It would be an easy fix to stop automatically sending reminders for "unpaid" invoices when the business has not done their reconciliation for the relevant period. We find it stressful and time consuming to check all the time. I think sending a payment demand with the proviso to "ignore it if it has already been paid" is a waste of resources. It would be way less stressful and more efficient if reminders could be pending and only be sent automatically once the reconciliation covering the due date has been completed.

    Interesting idea, Marc. This would add another layer of complexity to reminders, but it would be great to understand the interest around this from your idea here for our product team to consider. We'll share if there are any updates.

  9. Add Payments Screen on Invoicing
    We are still having to use mouse to enter the BANK ACCOUNT details. You can tab to the BANK ACCOUNT, but once there you have to USE MOUSE to enter bank account. We still have the whole chart of accounts listed in this field, Kelly has said this was fixed so I have lodged a case for that, but still not able to just tab and type enabled.

    Hey Jacqueline, we appreciate you raising this as an Idea, however the functionality of tabbing through the different accounts you can use as payments accounts is not in the Pipeline. The option to search for the desired account is available as the field is a down arrow select option. The tabbing option is to just get you to the next field. You can, however, hit the space bar to open the selection and then you can start typing or use the up/down arrows on the keyboard to navigate the options.

  10. I run a service-only business that does not track, collect, or manage sales tax. Yet Xero currently forces tax references throughout the interface and on invoices, which creates confusion and looks unprofessional when tax is always 0.00. As such, I respectfully request the following improvements:

    Account-level tax toggle – Add a setting for non–sales-tax businesses to disable all tax references across the interface when tax is not used.

    Hide tax on invoices when not applicable – Allow users to remove the tax column/line item from invoices entirely when tax is not applied, instead of displaying a tax amount of 0.00.

  11. We need the desktop app to support a bill approval workflow. Ideally, I’d be able to submit an invoice for approval, with it then routing automatically to different approvers depending on the nominal code. Once approved, it should post straight through to the ledger.

  12. We have a customer that is billed for direct expenses incurred for travel to their site.

    We code the sale to offset the expense, but the tax code doesn't use the default as set against the customer (zero rated income), instead, because we have selected an expense account, it uses the expense account tax rate (zero rated expense, or 20% VAT on expense).

    Left as it is, it is in the wrong box on the VAT return (our external accountants have picked this up recently).

    The only way to correct this at the moment is by using 'find and recode'…

  13. Ability to send e-invoices to Europe (in Euro via Peppol).

    This rolls up many other product ideas about sending e-invoices to European countries e.g. Spain, Germany, France, Belgium.

    All that is required is an update to the Contact form (which currently just has ABN) to include a field for the Peppol Participant ID. For example, OpenPeppol (AISBL) itself has a Belgian ID of "0208:0848934496" (ISO6523-country-code:country-company-number).

  14. Hi all. We have recently come over the Xero from Attache.
    Several hundred times per month in Attache, we used the product look up option for individual products sold on Invoices and the same for individual products on Purchase orders however xero currently does not offer this as outlined below.
    By putting in a code into the search area for invoices and P/O, we would like the option to search for that item, then click on the product that is identified as the one we want to look up, and bring up the invoice or purchase order the product is…

  15. Please add a tab in the invoices category for "Paid Awaiting Pickup".

    Right now under invoices there is a tab for "All", "Draft", "Awaiting Approval", "Awaiting Payment", "Paid" and "Repeating". Our business often has invoiced paid but the customers have not picked up their products. When they come in we have to search to see if what they are picking up has been paid for. A tab for "PAID AWAITING PICKUP" would really help.

  16. Attached preview window to stay in locked screen on the Left, with line items to be on the right on a scroll screen. Because if you add attachments to work from, the screen will be ready to view from the top left and if you have more than 20-line items inputted and you're working from the bottom. You can't see what the attachment is to work from. Look at pictures to see the mark up of issue. This issue is same as the bills.   17. Currently when invoice reminders is turned on by the client, the default address is for the reply to emails seems to be the Subscriber's email. Would be good if it was the email of the logged in user by default.

  18. Until recently when I saved a packing slip the default name was eg 'Packing Slip Inv - 4080'.

    Then recently after you dated your system the packing slips are now called eg 'Invoice Packing Slip Inv - 4080'.

    Can you change it back to remove the word invoice as it can cause confusion and staff may send the wrong document to suppliers and customers as both look like invoices.

    I am changing the name manually but it was simpler and clearer before Xero added the word 'invoice'

  19. In the Classic Invoicing, we could set a negative item amount which was useful to make it clear to clients that we had refunded something. It also corrected the stock levels in the inventory. In new Invoicing, you can set a negative financial amount but you are not allowed negative quantities, as such it is not clear and it messes up the stock inventory levels. You can do it via credit notes but this requires more things to be issued to clients etc.

    Hi Jadé, when you say sales representative can I just check how is this information currently being entered in Xero? For example have you set up a tracking category to track the sales representative, or would you be wanting this information from the user that created the invoice? Will be helpful when sharing your feedback with the team.
