Invoicing - Ability to set a negative integer for default due dates
Allow negative values in default due date options.
We set our due dates 7 days prior to the invoice date, currently Xero only allows default due date settings to be set after the invoice date.
Allowing negative numbers would make our workflow much quicker!
2 votesHi everyone, thanks for sharing this idea. We understand the ask for the ability to set negative default due dates.
Currently, default due dates in Xero are designed for scenarios where the due date falls on or after the invoice date. We appreciate the suggestion that negative due dates could support specific business workflows and would like to understand more about when this would be most useful.
We encourage the community to share more examples and use cases to help us better understand this need.

Invoices - Add a quick "Return to Invoices" navigation shortcut on post-payment validation screens
Add a quick button to go back to invoices especially after posting a payment or while reconciling. Invoices are the thing I use most and reference most but I have to go through like three steps to get back to where i was.
4 votesHi Courtney, thanks for the suggestion. We understand that when processing a high volume of payments, being able to move quickly between invoices could improve your workflow.
At the moment, after adding a payment directly to an invoice, you’ll be redirected back to the main invoice list. From there, there’s a “View invoice” link available in the list, which lets you quickly reopen the invoice the payment was applied to.
We can also see how having a more direct navigation option from the payment confirmation screen could help streamline the process further. We'll continue tracking interest and share an update if this progress.

Invoicing - Add 'Send Email' action button alongside 'Send SMS' on invoice view screen
For a lot of businesses, sending invoice copies or reminders by email is the main way of communicating, not printing PDF or sending an SMS (not relevant sending to a business client).
Currently it's a 2 click process to get to the email screen which is time consuming when sending numerous invoices so if a Send SMS button can be added, why not an email button.
Print PDF could be moved to the 3dot options list.1 voteThanks for highlighting this improvement, Karen. We understand the request to make Send Email a more prominent option on the invoice screen. This could make it easier to send invoices without additional clicks.
We’ve updated this idea to Gaining Support so we can continue tracking community interest. Add your vote and let us know how this could fit into your invoicing workflow.

Repeating Invoices - Ability to add billable items
It would be really useful to have the option to add one-time billable items to a repeating invoice and set them to be included on the next invoice automatically. For businesses that charge a fixed monthly retainer but occasionally add extra services, this would save time and reduce the risk of forgetting additional charges. The item could sit in a pending list against the customer and then be pulled through automatically alongside the standard repeating invoice when it is next raised.
3 votesThanks so much for taking the time to share this idea with us. We’ve moved this idea into the “Gaining support” stage so that others can find it more easily, add their comments, and vote if they’d find it useful too. While we can’t promise if or when it will be picked up, the level of support and real‑world examples from customers like you play an important part in how we prioritise future improvements.
Thanks again for helping us shape what we work on next.

Invoice Reminder - Templates to apply to specific customers
Invoice reminders are currently "all or nothing". I dont want to chase my good clients with automated messages from Xero becuse it upsets them but I do want some of my clients to have auto reminders about invoices about to become due and invoices overdue, those who generally are bad payers. In the same way we have email and invoice templates can we have invoice reminder templates and when we raise an invoice be prompted to apply a reminder template (or not). Or can the template for reminders be part of the customer financial details, in the way we can…
34 votesHi community, thanks for supporting this idea and sharing how setting templates for customer invoice reminders would be useful for your business.
Right now, we're developing a new agent with JAX that will help with getting paid and building personalised plans for selected contacts to chase payments through the best medium at the right time.
To begin, messages will be personalised by JAX however giving users control over the messaging is something our teams will continue to consider as this feature develops.
I'll share if there are any updates on this here.

Sales invoices - Option to delete invoices <6 years past
Under GDPR, customer data can only be kept for a reasonable period of time.
In the UK, businesses must keep tax records for at least five years from 31 January following the end of the relevant tax year. In practice, this means records need to be retained for 5 years and 10 months.
Your GDPR policy can therefore state that records will be kept for 5 years and 10 months. After this period, continuing to store invoices (for example, in Xero) could put you in breach of GDPR.
To help businesses stay compliant, Xero could offer an optional feature that…
4 votesAppreciate wanting an automated means to simply this process for you. Right now, as I'm sure you've found you can manually delete draft invoices, or Void to remove Approved invoices in your organisation.
It's not something we have direct plans around atm, but we'll get a better sense from the wider community here of others that'd find an automated tool useful for this type of scenario. Thanks

Invoicing - Approve, Email and View Next
When invoicing, it would be useful to have an “Approve, Email, and View Next” button. This feature would streamline the process of reviewing and sending multiple invoices, especially when handling large batches.
7 votesThank you for submitting your suggestion and highlighting the changes that are important to you. We have reviewed your idea, and it is now open for community support.
To help gain traction, we encourage you to share this with any colleagues who might benefit so they can cast their votes. Additionally, other members can now leave comments to explain how this feature would improve their Xero experience.

Reports - Add options to show both Gross and Net amount columns on the Account Transactions report
I'd like to see both the VAT inclusive and exclusive values listed in the transactions list shown in a clients account. Some clients discuss VAT exclusive figures and others inclusive, so it would be much easier to have the selection to show both values side by side, especially if you're looking for something by value.
2 votesHi Emma, appreciate you submitting this through. We understand that having both Gross and Net figure visible together could make reviewing transactions easier.
The good news is this is already available in the Account Transactions report. You can customise the report columns by opening the Columns dropdown and selecting the fields you need, including Gross, Net, and VAT. You can also save the layout as a custom report for future use. Alternatively, you can also run the Receivable Invoice Detail report.

Repeating Manual Journals - Provide more frequency options
Once upon a time when we used TAS for our bookkeeping services, they had a very useful feature when processing recurring journals. We could choose separately months to correspond to the days clients being charged for. For example, we would pick January, March, May, July, August, October, December to process invoices for 31 days; February for 28 days; and April, June, September, November for 30 days. Once you have that set up initially, you don't have to think about adjusting recurring journals every month. At the moment, it takes me about half a day just to update over a hundred…
4 votesHi Anna, thanks for sharing your idea, and letting us know the changes that matter most for you. We understand that having more options in terms of how often the journal should be repeated would be helpful and prevent extra admin. We'll open this up for the community to share their thoughts and vote on it. In the meantime, we'll monitor this space for traction.

Invoice - Reference default set to contact account number
I would like to be able to check an option that automatically adds the accout number to the reference field on invoices. This would save a lot of time.
I'm sure there would be options that people would like ot autofill this field so make ot part of the settings5 votesAppreciate the feedback and how this would be useful when your reference is driven off the contact's account number.
It's not something we have plans for right now, but do share your idea with others that you feel would find this helpful so they can add their support for your idea here. We'll keep a close eye on the interest and share of there's any progress.

Invoicing - Add Title field for invoices that's visible on invoice list
It would be helpful to have a the title line show on the Invoice list as it does on the quotes screen. This is helpful for when you are trying to find an old invoice without having to click through each individual one.
Same would also be helpful on the bills page as it would make it much faster to find the correct bill especially when you have numerous ones from the same supplier like my company does.1 voteThanks for raising this suggestion. We understand the request to display a custom invoice title directly on the invoice list. Having more context available at a glance could make it easier to find the right invoice.
We've moved this idea to Gaining Support so we can continue gathering feedback. If this could improve your workflow, add your vote and share how you'd use the title field.

Invoice Attachments - Ability to add videos
Being able to add a video to the attachments on an invoice so when sending an invoice, you can send a 5-10 second video of a repair or service or what was fixed or item you are invoicing over. Photos are good, but sometimes video is better.
2 votesThanks so much for sharing this idea 🎥 — we can see how being able to attach a short video to an invoice could be really useful, especially when a quick clip can show a repair, service, or completed work more clearly than a photo.
We’re moving this idea to Gaining support so other customers can vote and comment on it too. This helps our product team gauge community interest and better understand how valuable this would be for businesses using Xero.
If this is something you’d like to see, we’d encourage you to add any extra detail about how you’d use it, as that can be really helpful context for the team reviewing the idea.

Invoice template - Tax ID displayed under own Company details
The rational of display Tax ID Display Name under the client contact doesn't sounds right as this is the column where we should key in our own company information.
When we using the standard template of Xero for AR Invoice, if there is tax id keyed under client's name, the field of "Tax ID Display Name" will be display under the client name. this sounds weird when I was told to amend the "Tax ID Display Name" which can be found under Financial Setting to something called "TIN Number" or "Tax ID Number" to make the display right.
2 votesThanks for sharing this idea 🙂 We’ve moved it to Gaining Support so we can continue to track interest from others who’d like to see this improved.
In the meantime, there is a workaround available using an advanced invoice template (custom DOCX template). This gives you more control over the invoice format, so you can customise how the invoice displays outside of the standard template.
You can find more on setting this up here: Create an advanced invoice template

Invoices - Add custom fields to display the billing term or service duration
The ability to add custom fields to invoices based on the industry would be a fantastic feature. I have a SaaS client who bills annually that has customers reaching out about adding the invoicing term(number of months) to their invoices. Seems like there have been other ideas submitted based on specific industry requirements.
3 votesWe appreciate the suggestion, Deanne. We understand how being able to add custom field for billing terms to invoices could help provide clearer information to customers and reduce the need for manual descriptions.
Having dedicated fields for service start and end dates could also support businesses managing ongoing contracts, retainers, or deferred revenue workflows.
We’ll continue tracking the feedback and interest shared here.

Credit notes - Preview before saving as Draft.
We would like the ability to preview the Credit Note BEFORE saving it as a Draft.
Currently, the only option to preview a Credit Note is to save it as a Draft and then use the "Print PDF" option to open a preview.
Instead, we would like an option where we're able to view a preview when creating the Credit Note.
Purpose: To be review the Credit Note for mistakes before officially saving it.
Thank you!

Invoicing - Display customer overdue balance and available credits on Awaiting Approval page
On the awaiting approval invoice page can we get more details for each customer, like any overdue amount and any credit they have in their account. Currently you cannot apply a credit unless you open the invoice. This will save time and errors.

Inventory - Option to Lock the default Sale Price on invoices
PREVENTING INVENTORY UNIT AMOUNTS FROM BEING EDITED IN INVOICES.
ON A COUPLE OF OCCASIONS NOW I HAVE ACCIDENTALLY TABBED TO THE AMOUNT COLUMN AND ENTERED A QTY. WHICH HAS OVERWRITTEN AN ITEM AMOUNT FOR THAT INVOICE - AS I HAVE MANY SIMILAR INVENTORY ITEMS FOR A CUSTOMER I OFTEN USE " LOAD LAST ITEMS " THAT HAS CAUSED ME MULTIPLE INCORRECT INVOICES AS IT LOADS THE EDITED PRICE NOT THE STD ITEM PRICE LOOSING ME $100s OF DOLLARS THAT HAVE BEEN PAST PAID. Invoicing - Internal Cost Tracking Link for Bills to Customers
Ability to link a bill/expense to a customers invoice but not have it itemise. So you can track cost of goods per job especially for small businesses only utilizing invoicing and not having to do projects
6 votesHi Phil, it'd be good to get a bit more detail to better understand your needs from what is currently available with billable expenses.
Right now, you can assign lines of a bill directly to a customer (rather than project). When you add the items to your customers invoice you can edit the remove the item code if you don't want it directly associated to the inventory item.
Would it be more something like the idea here that you're after with more visibility of the linkage between the invoice and bill?

Sales overview - Disable going to an invoice when you click on a line
When on pretty much any view, sometimes you just need to copy an invoice number (or a few).
Now, when you click on a line, it goes to the invoice.
Please give an option to disable the click to go to invoice/credit/bill, and allow us to click on a line to highlight/copy as right now it gets annoying - you have to click, but then press escape quickly enough, or, download as a CSV which just takes too long.
Thanks
4 votesHi William, thanks for your reply here.
I've checked the Invoices and Bills pages, and see much the same sort of behaviour. For example, when trying to highlight an invoice number in the Number column, or the Reference column for Bills, it tends to take you into the transaction.
Thanks for sharing your idea about how you would like to see this changed.
We've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit, so they can add their votes and comments about how this would help them, too!

Invoice Import - Display warning for new contacts being created
Our practice makes use of Xero's ability to import invoices to do monthly utility billing and have found Xero's feedback notice / confirm import page to be VERY useful.
On this page Xero notifies us if
- any invoices will not be imported due to errors
- invoice number already exists
- any item descriptions and/or prices differ from the Xero org's listed products and servicesUnfortunately, it does not notify the user if any new contacts will be created on confirmation, as imported invoices automatically create a new contact if a matching one does not exist.
This sometimes happens…6 votesAppreciate the feedback on invoice import notifications. Hearing how a prompt for new contacts could help keep your monthly utility billing clean and avoid unintentional duplicates is really useful.
We’ve moved this idea to Gaining support, so the community can now vote and share their own experiences. Any extra context about how this impacts your workflow would be helpful for others reading along.
We’ll share any updates here as the idea progresses.
