Documents - Add conversation thread directly within Documents receipt review for client follow-up
Please add the ability to message a client directly from a receipt or bill in Documents.
When reviewing documents, we often need to ask for missing details or clarification. Right now, we have to switch to another tool or workflow, which is slower and separates the conversation from the document.
It would be much better if we could:
- send a question from the document itself
- keep all replies attached to that same document
- let clients upload extra information directly against the document
- see a clear history of the conversation during reviewThis would make client follow-up…

attention
When I enter an invoice for a new client, I think it would be a good idea for the ATTENTION TO field be set up so that it adds that field automatically into the saved contacts. When the invoice is finished and I preview it, I have to retype (or repaste) the client's name. It would be nice to not have to create a new contact with all the fields filled out and then make an invoice. In short, change ATTENTION TO field in the invoice entry to CUSTOMER FIRST and CUSTOMER LAST AND then link those two fields to…

XPH - Add a column or notification to view new client file uploads across all organizations
I have many clients so it is time consuming to go to each client organisation and into Files just to check whether there are new uploads. It would be great to have a dashboard in Xero HQ that showed how many items were in a clients Xero Files inbox. Or at least get notified when a client has uploaded to the Files inbox.
4 votesHi everyone, thanks for taking the time to share this.
We understand you’re looking for a central way to see when clients upload new documents, such as a notification or status indicator within the partner dashboard.
Having a clearer view of new uploads could make it easier for practices to manage client tasks and follow up on outstanding items.
We’ll continue to track feedback and interest from the community for this idea.

Contacts - Display Group membership in main Contact list view
Be able to see a list of contacts, showing which groups each contact belongs to at a glance. Who are donors, who are equine related, who attend camp, which are organizations/business/church, who take lessons

merge
Add contact merge functionality in Xero Partner Hub
Currently, there is no way to merge duplicate contacts in Xero Partner Hub. When duplicates are identified, they must be manually deleted, and any client associations tied to the deleted contact then need to be manually reassigned. This is a time-consuming process, particularly when dealing with a large number of duplicates.
A merge function would allow users to combine duplicate contacts into a single record, automatically consolidating client associations and history. This would save significant time and reduce the risk of losing important contact-client relationships.

Split pdf
Auto splitting pdf's or zip files hat contain multiple invoices within the file. Hubdoc, Datamolino and other systems have already implemented this and using a third party software slows the process down when having to deal with clients who have scanned and forwarded multiple invoices/receipts in one file.
The current idea of having to manually split the pdf by using 'print to pdf' or using an entirely different third party software is seeming tedious for such a simple yet timely task. If an autosplit per invoice system was introduced into the 'Documents' section I feel this would greatly benefit not…

Documents - Support xlsm (Excel Macro-enabled Workbook)
I have to attach and include my back up when sending invoices.
Some of the back up is in .xlsm format (Excel Macro-enabled Workbook).Currently Xero won't allow attaching these: "File type isn't supported. Update it, then try again."
So I have to open and resave each document before I can attach, which is an unnecessary extra step in the process. It would be much more efficient to be able to attach the original document.
3 votesThanks so much for taking the time to share this idea 🌟
While we don’t currently support this file type, we can see why you’d like the ability to attach it in its original format.
We’re moving your idea to Gaining Support so we can gauge community interest and better understand how many customers would find this helpful in their invoicing workflow.
If others would benefit from this too, we’d encourage them to add their vote and share a little more about how they use these files, as that context can be really helpful for our team.

Documents - Option to sort files by 'Associated with'
To activate the option to be able to sort files by ASSOCIATED WITH in addition to SIZE and UPLOADED. The enormous amount of files now sitting in Archive must have all three columns active to give us an option to locate our files ASAP.
11 votesThanks for the additional detail, it helps when reviewing the needs and for others to be able to understand if they'd like to support this too.
Can see how this additional detail would help when reviewing your files in the archive folder.
We'll start to get a sense of the community interest here and I'll share if there are any updates.

Hubdoc - Add a discount field to supplier invoices
Hi Hubdoc Support,
I’d like to suggest a feature that I believe would benefit many users working with supplier invoices.
Currently, when capturing invoice details, there’s no option to enter a discount before the total amount is calculated. It would be incredibly useful to have a field above “Total Amount” where we can input a discount value—either as a percentage or fixed amount—and have Hubdoc automatically adjust the total accordingly.
This would:
Reflect real-world supplier practices more accurately
Reduce manual edits and errors
Improve audit trail clarity
Streamline publishing to accounting platforms like Xero or Sage
If this is something…15 votesHi there! We really appreciate you sharing your idea, and thank you for the attached screenshot – it's very helpful.
After reviewing your submission, we agree that this is an excellent suggestion that could benefit many businesses. To move it forward, we need to see strong support from the community.
Please feel free to encourage any colleagues who would benefit from this feature to add their votes! It's also incredibly impactful when others share how this would improve their own workflows, so more comments are always welcome.
Thanks again for taking the time to share this. We're excited to see the votes come in!

New Documents/Files - ability to set Document Type correctly, including Supplier Statements
The new Files/Documents section has a new functionality for "File Details". This includes Document Type, with a limited menu of types. Most of our invoices etc are attached to the relevant transactions. Our supplier statements don't have a transaction to be attached to so we have always filed them in Files under a separate folder. This allows us to check our records to the supplier records to ensure we have all of their bills on hand. There is no Document Type for Statements. Please enable this as an option and allow the ability for it to be recognised as a…

Document Management - Fully Migrate Hubdoc Functionality into Xero User Interface
The HubDoc Ui/Ux is outdated, we all know it. But its a good product. With the addition of the "Upload Bills" feature to Xero, it would make sense to just bring the full functionality of HubDoc right into the Ui of Xero rather than invest in the standalone product of HubDoc. It keeps us on one screen within Xero and eliminates all the nuances of the sync/integration.
Maintaining backup to DropBox or Google Drive is key though. That makes it feel like a 'safe' backup method for receipts.
10 votesHi Collin 👋🏽
Thanks for submitting this important idea about integrating Hubdoc's full capabilities directly into Xero. This is a powerful suggestion for streamlining workflows and improving the overall document management experience.
We've reviewed your submission and are happy to classify it as Gaining Support!
Your post meets all the necessary criteria, and we confirm that the full range of Hubdoc functionality (including automated fetching and comprehensive processing) does not currently exist within the main Xero UI.
Your idea is now live and ready for community support! Please share this idea with colleagues who would benefit from a fully integrated document processing experience, so they can vote and share additional detail about how this change could improve their experience with Xero.

Navigation - Add Documents access directly to the navigation bar
We are in and out of the documents folder all day - it would be good if you could click on it instantly from the blue task bar, rather than have to go into accounting first.
1 voteHi Helen, do want to be upfront here that we don't have plans for adding documents to the Navigation bar, however we will get a sense of wider interest for this from the idea here.
Currently, as you've noted Documents is found within the Accounting menu drop down, alternatively you can use the keyboard shortcut '/' and then 'f' to open the search and then click to navigate to the Documents inbox.
One other thing we're working on at present is a Documents widget for the Homepage. You can follow the idea here if you're interested in staying update on this. 🙂

Documents - Pagination buttons at top of page
As the Archive in Files expands, we need the option to scroll through pages easily by using the scroll button. This should be located at the top of the page.
2 votesHi Lynn, thanks for putting this forward. We can see how having page navigation controls available at the top of Files screen could make it easier to move through large folders and archived documents, especially for businesses that have built up a large volume of files over time.
I've updated the status of this idea to Gaining Support so we can continue gathering feedback and better understand how this could improve document management workflows.

Documents - Automatically compress or reduce file sizes of captured image uploads
Noticed the new files are saved as large sized images e.g. 4mb. The previous files reduced the file size to around 100 to 200kb. Handy to have the reduced file size as if downloaded can save to PDF and easily upload to other apps e.g. Job apps. Large files are sometimes not accepted to these apps. cheers
1 voteHi David, thanks for highlighting this. Automatically optimising uploaded images could help reduce file sizes while keeping documents easy to view.
This post is now Gaining Support so we can continue tracking interest.

Smart document capture - Process documents >10 pages
I'm really enjoying the smart document capture feature. It has been very useful so far. However, the one downside I have found is that it is limited to documents (in my case, invoices) with maximum 10 pages. Quite frequently I must process invoices with many line items which usually comes in well over 20+ pages. While the smart document capture does process the entire invoice as 1 line item, I actually require each individual line item to be present in the bill so I can monitor the purchasing activity for these specific products. This is a very time-consuming manual process…
2 votesThanks for sharing this idea, Jaymin. Being able to process longer documents through smart capture could reduce the need to split bills before uploading.
I’ve moved this post to Gaining Support so we can continue gathering feedback.

Contacts - Link sent Customer Statements from Activity History
Customer statements to show on the contacts tab when sent - I can see in history & notes on the file tab on a contact that a statement was sent but it would be great if it was possible to click a link here to see the statement that was sent to the customer (rather ticking to send statement to own e-mail)
12 votesThank you for sharing your suggestion and outlining your desired changes. Your idea has been reviewed. It is now open for community voting and support. We encourage you to share this with colleagues who stand to benefit so they can add their vote. The comment section is also open for members to provide further context on how this would improve Xero.

Customer Statements - Add 'Last Statement Sent' column to Statements tab view
For increased visibility, could you add a column to the 'Statements' page to include 'statement last sent' date so that I can see when a statement was last sent to that customer? Would help keep track when sending statements individually.
1 voteAppreciate you raising this suggestion, Kesha. Adding a Last Statement Sent column to the Customer Statements view could make it much easier to see which customers have recently received a statement without opening individual contact records.
For now, you can check the History & Notes section on a contact to review previous activity.
I’ve moved this to Gaining Support so we can continue gathering feedback. If this would help your workflow, add your vote and share what other statement information you’d find useful.

Documents - Capture email body content when forwarded into Xero
Email forwarding to Xero Documents (formerly Xero Files) does not currently capture receipts or invoices embedded within the body of an email. HubDoc is able to do this, and this gap is one of the main reasons I haven't been able to move clients fully to Xero Documents and away from HubDoc.
There is also an issue with setting up automated forwarding from Gmail. Google requires an authorization code to be sent to the forwarding email address before forwarding can be enabled. Because Xero Documents cannot receive or display the email itself, there is no practical way to retrieve that…
1 voteAppreciate you raising this suggestion. The main request is for email body content and embedded images to be captured when emails are forwarded to Xero Documents, rather than only processing file attachments.
This could make it easier to handle receipts and other information that clients or suppliers include directly in the email.
I’ve moved this to Gaining Support so we can continue gathering feedback. If this would be useful, add your vote and share the types of email content you’d most like to capture.

Contact Statements - Export statements to CSV and filter statement lines by Reference
Allow printing/ downloading of client contact statements via a CSV file not only PDF files. Also allow for filtering statements based on the Reference description before a statement is downloaded.
1 voteThanks for taking the time to suggest this. A filterable CSV export from Customer Statements could make it much easier to provide clients with only the transactions relevant to a particular reference.
I’ve updated the status to Gaining Support so we can continue tracking community interest. If this is something you’d use, add your vote and let us know what statement fields or filters you’d want included.
