We understand why this idea is quickly gaining traction. Being able to start typing in the search bar as soon as the contacts page loads would be a small but meaningful improvement.

Right now, the cursor doesn’t land in the search bar by default, so it’s an extra click each time.

This idea's now in the Gaining Support stage. If it’s something that would make a difference to your workflow, adding your vote or comment helps us understand the wider demand—and gives our product team more to work with when prioritising updates.

We’ll post here with any changes or progress.

  2. Add global email & contact details to Groups: a settings panel that can be applied according to an optional 'tick' on each contact. The reason: any email changes for a business may mean trawling through several individual contacts to update one email address.
This could be done so much quicker by the above modification by allowing for the edit of the 'collective info' panel and saving so it updates all contacts in that group that are set to use the 'default values' in the panel.
This tick option would allow for individual records within a group to still retain their…

Thanks for sharing your feedback here. Being able to update contact details across a group from a central location could save time and reduce the risk of individual records becoming inconsistent.

We’ve updated this idea to Gaining Support so we can continue tracking community interest. If this could improve your contact management, add your vote and tell us which fields you’d find most useful to manage at group level.

  3. for continually tardy payers, the option to automatically add a percentage to the account/client profile is extremely handy. this would automatically calculate to all invoices and even quotes. I can do this in another programme I use [FRESH], and it is a way to re-coup some cost if you are continually chasing money from the same client.

Thanks for raising this suggestion, Robyn. The request is to have a client-specific surcharge percentage that automatically applies when creating invoices or quotes for that contact.

This could make managing additional charges for customers with specific billing arrangements much simpler, without needing to add the percentage manually each time.

I’ve moved this to Gaining Support so we can continue gathering feedback. If this would be useful, add your vote and share how you’d like the surcharge to work.

  4. As a national charity supporting member organisations that are charities, it would be really useful if we could add Charity registration numbers to contact information. This is probably going to be more important now that the Charitable Incorporated Organisation has been introduced in the UK. https://www.gov.uk/guidance/charity-types-how-to-choose-a-structure-cc22a#types-of-charity-structure

It would also potentially be useful for businesses that are supplying services to charities as if would provide a way of prompting them to consider whether they should charge a lower rate of VAT where VAT legislation enables them to do so https://www.gov.uk/vat-charities/what-qualifies-for-relief

Appreciate your suggestion here, John. We can understand how having a dedicated Charity Registration Number field on contact records could make it easier to maintain accurate information and support compliance requirements.

We've updated the status of this idea to Gaining Support so we can continue tracking community interest. If this would improve your workflow, add your vote and let us know how you currently record charity registration numbers and where you'd expect to see this information displayed.

  5. To restore the ability to see credit notes on the activity tab within a contact record irrespective of whether it has been refunded/allocated. Not having this functionality makes it time consuming to check whether credit notes have been created/received by other users and whether the contact record is therefore up to date

Thanks for sharing this idea. We understand the request for all credit notes to remain visible on the Contact Activity tab, including those that have been allocated or refunded.

Having the full credit note history available from the contact record could make it easier to review past activity without switching to the invoices or bills lists.

I’ve updated the status to Gaining Support so we can continue tracking community interest. If this would improve your workflow, add your vote and let us know how you’d use it.

  6. It doesn't appear to be possible to Remove attached files from a transaction and save it back to Xero Files. I found it to be a useful function. Would it be possible to add it back again? Also it would be really useful to be able to Search on documents in Xero Files.

Thanks for sharing your idea, and letting us know the changes that matter most for you.

We've reviewed your idea and now it's up to the community to get behind and support it. Additionally, regarding the other idea on searching within the files section, I have found a similar idea to what you're suggesting and added your vote there. We'll monitor both ideas for traction.

  7. When uploading invoices via Xero files, it would be nice to have an invoice number field as well as a reference field. It seems like an important field to miss out as it requires manually adjusting afterwards. I prefer Xero files to Hubdoc as it populates the description fields and automatically splits costings. This would be the cherry on the cake for a great tool in Xero.

Hi Rhys, thanks for sharing this idea. We can see how having an Invoice Number field within Xero Files upload could make it easier to create transactions.

For now, if you're looking for automatic extraction of invoice details, Hubdoc can capture information such as the supplier, invoice number, date, and amount from uploaded documents before publishing them into Xero. We appreciate this doesn't help when you're managing documents directly within Xero Files.

I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If you're looking for a manually editable field, automatic extraction, or both, we'd love to hear more about how you'd use it.

  8. When uploading files from library inside contact's file tab (i.e. attaching monthly statement), xero defaults to selecting from archive which is time consuming because of having to trawl through every file there. Please default to selecting from inbox which should only contain files that haven't been dealt with.

Thanks for sharing this idea, Jill ✨and for letting us know that defaulting the “Add from library” view to the Files Inbox when attaching a file from a contact could make it quicker to find documents that still need action, rather than starting in Archive. This is now open to others that may find this useful, to vote and share examples of how it would help, so we can understand the broader need. We’ll continue to monitor the feedback and support for this idea and update the thread if there’s progress to share.

  9. Instead of manually adding/removing email addresses when sending invoices via Xero, being able to select a contact group to send them to.

For example, for one of my clients, when I send an invoice from Xero I need to CC 5 different internal people and would rather be able to select a group instead of entering them individually.

Being able to select a group would be less time consuming for us, and look less clunky for their customer.

Hi Suzanna, thanks for sharing this idea. We understand that having a quicker way to send invoices and statements to groups of contacts could help make billing workflows more efficient.

The suggestion is to allow users to select contact groups directly when sending invoices or statements, instead of manually adding individual recipients each time.

For now, adding additional recipients to contact records can help ensure the right people receive communications. We’ll continue tracking this idea here so the community can share feedback and examples to help shape future improvements.

Thanks for highlighting this opportunity. Extending Xero App bank reconciliation to include credit notes could help reduce the need to move between the mobile app and web version when clearing transactions.

  12. Could you make the app more user-friendly by reducing the need to log in every time or Ideally, Face ID should be an option for quick access.

Also, when we receive invoices from Xero, could they be sent as PDF attachments rather than just links? This would make it easier to forward them to Hubdocs via email. Thanks!

Thanks for sharing this idea. 🙂 We appreciate you taking the time to highlight how frustrating it is to regularly remove unrelated JPEG images created from clients’ email signatures.

This idea is now open for community support through votes and comments, helping us understand the level of interest. We’ll keep a pulse on the interest this idea receives and share if there are any updates.

  14. While Xero currently allows documents like Certificates of Insurance to be uploaded to a contact, it would be much more effective to have a structured compliance tracking feature similar to how W-9 information is managed. This would allow users to input and track key insurance details—such as policy type (e.g., General Liability, Workers’ Compensation), coverage limits, and expiration dates—directly within the vendor or contractor profile. With this data captured in a structured format, Xero could provide automated reminders for upcoming expirations and visual alerts for missing or non-compliant coverage, helping businesses better manage risk and ensure vendors remain compliant before…

Hi Bruce, Thanks for sharing your idea, and letting us know the changes that matter most for you. We appreciate hearing how adding an effective date would be beneficial when you don't want the changes to affect the existing transactions. We'll move this idea to gain more support from the community. Cheers

  16. File TAGGING! Can you please please add where we can tag files. Like ok tag to project tag to contractor. Tags! Tag projects to receipts and hires.
If you add "tags" or labels to files and projects that'll make less clicks for everyone! and so much faster. The tags will obviously auto populate into the right project, files, or contractors!

Thanks for sharing your idea, Jessasm. We don't have any immediate plans for adding tags to files in Xero, however we can start to get a better understanding of the interest around this from your idea here.

Share the link to this idea with other colleagues that would find this useful so they can add their support for this here, too.

Hi Denise, thanks for sharing this idea! We can see how a “Bad Debtor” flag could be a really useful tool for managing risk. When your business is busy, you don’t want to accidentally extend credit to a customer who’s already significantly overdue.

Right now, the absence of an automated alert means staff often have to double-check a customer’s payment history or risk raising an invoice for someone who should be on a stop-credit list.

As a short-term option, you can use the Contact Notes field. Adding a note to a contact makes it visible when viewing their details, though it doesn’t yet “pop up” during invoicing.

Regarding your idea on default rates, you can already assign a default discount rate to contact records. You can also use the Untrack Items feature to make data entry faster and reduce manual effort.

  18. Shortcut to Hubdoc - First thing I do when I open Xero in most clients is click straight into Hubdoc. With the BETA layout the shortcut has now been lost right down under 'do more with Xero'. I want to move the shortcut so it is the first thing I get to when I click on the client name. I'd also like the hide the Syft, I don't plan on using it yet and don't want it on my dashboard

  19. When the transaction is reconciled to a Bill that's been uploaded from HubDoc in Xero, it should mark the document as Paid in HubDoc. (Google's AI-generated answer says that this happens, but it doesn't on my account). That way it would be much easier to see in HubDoc which items still aren't reconciled

    Specifically, if a document is
    1) published as "Purchased, Awaiting Payment", and published to Xero
    2) that bill is then reconciled to a transaction in Xero, so that bill is shown as Paid and linked to Hubdoc
    3) then when viewing the document in Hubdoc, "Mark as…

Hi Mark, thanks for this excellent and clearly detailed suggestion.

We understand the workflow you're proposing: when a bill from Hubdoc is reconciled in Xero, its status should automatically sync back and be marked as 'Paid' in Hubdoc.

We're grateful for your engagement and for letting us know the changes that matter to you.

We've reviewed your idea for the 'Paid' status to sync from Xero back to Hubdoc, and now it can gain support from other community members. Along with votes, others can now comment to share additional detail about how this two-way sync would improve their experience.

Hi team, thanks for sharing your thoughts on adding expiry and renewal dates to files. It’s been useful to hear how this could support the management of compliance-related documents like insurance certificates and training records.

The idea of having reminders for upcoming renewals is a practical one, particularly for teams working in compliance-heavy environments. We’ve moved this idea to Gaining Support, which means it’s now open for the wider community to add votes and comments. If this would be helpful for your business, feel free to share how you’d use it or any specific scenarios you have in mind — that context helps shape what we look at next.

In the meantime, the current workaround is to track renewal or expiry dates outside of Xero, and archive expired files before uploading the updated versions when they’re ready.
