Hi Natasha, thanks for your suggestion here.

I can see why you might like to edit the details of a bill without needing to remove an entire batch payment to do it.

There's already a similar idea around editing paid bills, but for now we might keep this as a separate one.

You might like to share this idea with any colleagues that this could also benefit, so they can add their votes and comments to support your idea.

Thanks for highlighting this idea, Theo.

We understand the request for contacts to have a default project that can flow through to their transactions. This could make project coding quicker for businesses that regularly work with the same customers or suppliers on specific projects.

We’ve updated the status to Gaining Support so we can continue tracking community interest. Add your vote and let us know how you’d like the default project to work.

  3. Bills - View bills awaiting payment summarised by supplier with the ability to expand supplier to view invoices and select individually or make changes if required.

You need to use the awaiting payment screen to create batch payments. To make payments you have to select each individual invoice for a supplier which takes time and is inefficient.

Having the ability to view the awaiting payment screen showing summary (total) for the supplier would be helpful. You can still filter dates so you can see everything owed to a supplier within date range. Much like an Aged Payables report. You can…

  4. When you approve a bill it pops up with a notice saying add another bill, it should say back to (whatever screen you were on) i.e. I tend to upload bulk to the the ai section to which they then enter drafts. I have to manually go back to drafts each time to enter the next bill whereas it could automatically just take me where I need to go or at least offer the function

  5. There should be an arrow button on the screen when viewing a bill under a specific contact, so that you can click this and move to the next bill and so on. This would make looking at bills much easier to navigate. At the minute, I am opening up each individual bill from the contact screen in a new tab, to find what I am looking for.

⭐ Thanks for sharing this idea and explaining how being able to move through transactions from a contact record would improve your workflow.

We've reviewed your idea and moved it to Gaining Support, so it's now open for others in the community to vote on and add their comments.

If this would help others too, please add your vote and share any examples of when this navigation would save time or make reviewing contact activity easier.

We'll keep an eye on the feedback here and share an update if there's any progress to let you know about.

  6. We currently export a large number of our bills from a third-party program and need to upload a PDF of the bill, however, when we do this a copy is also automatically added to our general files. This is annoying and simply creates clutter in the Files area - a copy of the PDF attached to the bill is sufficient, we don't require "back-up" copies as well. Can this annoying "feature" please be removed?

Hi Samantha, thanks for raising this suggestion. We understand the value of having more control over where documents uploaded to bills are stored.

I've updated the status to Gaining Support so we can keep following the conversation and community interest.

If you have a preferred approach, please share it with us. We'd particularly like to hear whether you'd prefer this to be an optional setting or for bill uploads to stay with the bill by default.

  7. I would like the ability to set up an email forwarding rule so that any incoming invoices can be automatically forwarded to Xero and created as draft bills.
At the moment, there’s no verified mailbox or built-in process that allows this automation, meaning invoices have to be manually uploaded or sent from specific addresses.
Adding this feature would make invoice management faster, simpler, and far more cost-effective, as users wouldn’t need to subscribe to third-party apps or integrations just to achieve automatic forwarding.

  8. Hello Xero Team,
I’d like to suggest an enhancement to the way attachments are handled when sending bills into Xero. At the moment, when bills are forwarded via email, Xero captures not only the invoice PDF but also every image embedded in the email—such as logos, footers, signatures, and other graphic elements. This results in several unnecessary files being attached to a single bill.
Currently, these attachments have to be deleted one by one, which is time‑consuming and inefficient.
It would be extremely useful to have the option to select multiple attachments and delete them in one action, similar to…

Thanks for your feedback, Analise. Perhaps something you've already picked up on in relation to your note about bulk actions elsewhere however you can currently bulk delete files from within the Files library > Archive.

This includes files that have been uploaded directly to a transaction rather than from the files library.

There's an Associated with column so you can click through to check the bill you're deleting a file from

We don't have plans for adding a bulk delete option from within a bill itself atm, but we'll begin to track the interest for this here.

  9. Hi All, I am billed in advance for a storage facility which i break down into 4 payment per invoice. 1. I am not able to allocate these payments to an invoice unless I add them individually 2. I have to navigate each time back thru the whole process of billing, then locating the bill each time amongst the unpaid bills opening this then entering 1 payment and then having to navigate back thru the whole process again. I pay a lot of my bills weekly and broken down into smaller payments so being able to add the payments to…

Thanks for sharing your feedback on adding multiple payments to bills. We appreciate you explaining how this could streamline your workflow when managing weekly payments broken into smaller amounts. We understand you're aware of reconciling through bank accounts using the split payments, though this may not fully address your needs.

  10. When you search a invoice/bill number in the search bar, it currently shows, the issue date, due date and reference/invoice number, but would be really handy to see that paid date too so you dont have to open the invoice to see.

Appreciate you raising this idea. Having the paid date visible directly in Global Search could make it much easier to confirm when a bill was settled.

At the moment, payment dates are available from the Paid tab in Bills to pay, and can also be included in the Payable Invoice Summary report.

We've moved this idea to Gaining Support so we can continue gathering feedback and understanding how this could improve the search experience.

  11. When receiving a bill via email from another person using Xero invoicing, rather than clicking the link to open in your phone browser -> be prompted to login to Xero -> then clicking the 'Log in to save as bill' button (which is not visible in Safari unless you turn your phone landscape) and then selecting the organisation to attribute to.

Could the experience recognise whether you have the XAA and if so, instead default to login through the Xero app (ideally then using passkey/FaceID) to then pick the organisation and be saved as a draft bill that way?

🌟 Thanks for sharing this idea.

We’ve moved it to Gaining Support so we can better understand how much interest there is from the community, and learn more about the different ways people would expect this experience to work on mobile.

If this would make managing bills easier for you, please add your vote and share more detail in the comments about your ideal workflow — for example, whether you’d expect the link to open directly in the Xero Accounting App, prompt you to choose an organisation, or save the bill straight into drafts.

Community feedback helps our product team understand the impact of an idea, the problems it solves, and the scenarios that matter most.

We’ll continue to monitor the support and add any updates here when we can.

  12. It would be really helpful to be able to allocate a credit note against the supplier account rather than against individual purchase invoices. We receive supplier credit notes for discounts applied for purchases which don't relate to an invoice so the only way we can account it for them is to use any purchase invoice which then reduces the invoice amount. It can be confusing for the supplier when the invoice amounts do not match.

Thanks so much for taking the time to share this — we can see why this would be really helpful.

Right now, supplier credit notes in Xero need to be allocated against individual bills, which can be awkward when the credit relates to things like discounts or rebates rather than a specific purchase invoice. We understand how that can create confusion, especially when invoice amounts no longer match what the supplier is expecting to see.

We’re moving this idea to Gaining Support so we can continue to track interest and better understand the impact for customers using this workflow.

If this workflow is causing issues for you, please keep adding examples and details — especially around how often it happens and any workarounds you’re currently using. That context is really valuable.

  13. When we have pro forma invoices, it would be helpful to be able to approve a draft bill and have an option to pay it straight away without having to search the awaiting payment.

Thanks so much for raising this and for taking the time to explain the extra friction in your workflow.

We understand how frustrating it can be when you’re working through draft bills and then need to go searching again for the bill once it’s been approved. When you’re processing multiple bills, those extra steps can really add up and make what should feel like a smoother workflow more time-consuming than it needs to be.

We’ve reviewed this idea and we’re moving it to Gaining Support. This means the idea has been reviewed by our Community team and is now open for other community members to vote on and comment.

If others in the community would also benefit from a smoother way to move from approving a draft bill to actioning it for payment, we’d really encourage them to add their vote and share a little about how they work. For…

  15. It would be good if we could have the ability to have unique batch names when exporting payments to the bank. Currently its the same name ie the date. If you create a further batch it has the same name, with only difference being the time stamp on the file when selecting it from 'downloads' - even it was batch 1, batch 2 etc, it at least means you're not accidentally selecting the wrong file. We often make more than one payment in a day, especially if you're making payments from different bank accounts, you need to watch carefully that…

It would be great to be able to filter items listed under purchases overview by whether a document is added or not. I have to manually upload documents for certain type of bills as they are created in a third party application that doesn't bring the document forward.

  18. We started using Melio bill pay, and it keeps posting the spend money transactions for Melio fees to an account it creates (550, not at all the format we use) and a vendor "Payment Fee." Every time I have to change the vendor to the one I want Xero to use ("Melio"), the account I want to use, and then archive their contact and GL account again. The user should be able to set the contact and account to be used for Melio fees.

  19. As a Xero user, I regularly upload supplier invoices and receipts as attachments to Bills. While the attachment is stored correctly against the Bill, it is not visible when viewing the related bank transaction, account transaction, or reconciled payment.

This creates a challenge when working with accountants and bookkeepers. During month-end reviews, audits, and reconciliations, accountants typically review transactions from the bank account and transaction listings to verify that every payment has supporting documentation.

When they open a reconciled bank transaction and cannot see an attachment, they often assume that the invoice or receipt is missing. I then have to…

Hi Kelly, thanks for sharing this idea. We can see how being able to view attachments from reconciled bank statement lines could make it quicker to review transactions during audits and day-to-day bookkeeping.

At the moment, attachments remain linked to the source transaction, such as the bill, spend money transaction, or invoice, and can be accessed by opening that record. While this keeps the supporting documents available, we appreciate it's more convenient to see attachments directly from the bank statement view.

I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular bank screens or workflows where attachment visibility would be most helpful, let us know as those examples help us better understand the feature.

  20. Bills:

    1. For Credit notes, when you click the 'Save' drop down, there is an option for 'Save and add another' like there is for regular Bills.

    2. Being able to lock a supplier/ 'From' when adding Bills, so we don't need to search for every bill, for when we have multiple bills under one supplier.
Maybe a lock button next to the contact name which can be clicked to unlock it when no longer needed.
