Statements - Set up Vendor Statement Cycle Date
Update vendor settings to set a statement billing cycle to be offset from a calendar month. I have multiple vendors that cycle bills prior to calendar month end, and that impacts the month the bill is due. Xero's automatic due date will populate an incorrect due date if a bill falls between the statement cycle date and the calendar month end.
For example, I have a vendor where my statement ends on the 25th of the month, and the bill due date is the 25th of the month following the statement cycle…

Being able to set a statement cycle date against a supplier could help businesses that work with vendors who don't follow standard month-end billing cycles. Having that information saved against the contact would make it easier to align statement reviews and reconciliation processes.

Bills - Edit bills after batch payment has been reconciled
Edit a bill after batch payment has been made without unreconciling the entire batch

I can see why you might like to edit the details of a bill without needing to remove an entire batch payment to do it.
There's already a similar idea around editing paid bills, but for now we might keep this as a separate one.

Set the Repeating Bill date to last day of month
I have many repeating bills set up, and many of my suppliers send the same invoice each month, e.g. Subscriptions. I set up all my bills to be repeating on 31st of January, which was great. Then Feb came and they were dated 28th Feb - Great again.. But now that March has 31 days, Xero has kept all my repeating bills to reapprove as 28th March, not 31st.

Expenses - Option of Non billable expenses
We manage clients on a monthly service model and incur various expenses on their behalf, including subscriptions and operational costs. While Xero allows expenses to be marked as billable, there is no clear way to assign and track non-billable expenses at the customer level.
This makes it difficult to measure true customer profitability, as not all costs are captured against the client.Proposed improvement:
Allow both billable and non-billable expenses to be assigned to a customer.
Enable reporting that shows total costs vs revenue per customer.

When some costs sit outside of that customer record, it becomes much harder to understand the true cost of servicing each client.

Bills - 'Add new line' between existing with option at top of bill
Add more lines on a Bill without having to scroll to "add a new line" button. If I copy a bill for example but want to add more lines in the middle of the bill, I have to scroll all the way down to the bottom of the bill to add more lines. There should be an option to add new lines with the enter button or to copy line items without having to scroll all the way down, especially on lenghty bills.

Bills - Show supplier aged balance when entering bill
Surface supplier aged balances during Bill and Purchase Order creation
When creating Bills or Purchase Orders, there is currently no visibility of a supplier’s outstanding or overdue balance without leaving the workflow to run reports.
This creates unnecessary friction between Finance and Purchasing teams, with buyers frequently needing to ask questions like “What do we owe this supplier?” or “Is their account overdue?” Finance teams are then forced to interrupt their work to manually check balances.

Inventory - Invoice only users | Show Latest transactions
I would like to submit a feature request regarding inventory visibility for invoice only users.
It would be extremely helpful if invoice only users could access the “Latest transactions” section within each inventory item to view stock movement. During stocktakes, when discrepancies arise, we rely heavily on reviewing item movement to identify the cause and resolve issues efficiently.
At present, granting access to this level of detail requires broader permissions, which then exposes reports and bank information. We would prefer our team members to have visibility over inventory movement only, without access to financial reports or sensitive accounts.

A user with this level of permission can’t view the products and services page. We'll open this idea up to gain more support from the community so they can share their thought as well! Cheers!

Email to bills - Create one single bill from multiple file attachments
It would be good to have the option for emails sent to XERO which have more than one invoice attached to be dealt with in just one transaction. I've never had a need for XERO to create a transaction for every attachment, so if that is everyone's experience, then it would be good that happens, so maybe no option need be given.

Upload bills - Recognition for CIS
When uploading CIS invoices to Xero's Upload Bills function, the CIS is always deducted incorrectly, as the invoice reads the "total" after deduction as the total to take the deduction from. Just a suggestion that the AI needs training on in order to recognise which total is the gross amount.

Bills - Option to flag or highlight specific bills
I have an approval system with my manager. I usually create an excel for all the chasers by suppliers to pay the bills. and then my manager adds the planned date on Xero for me to pay. can we have an option to highlight on xero the "important ones"? currently due date is highlighted for importance, but sometimes other bills also need attention. it'd help in removing the manual process of creating a separate excel to highlight those to my manager. thanks!

We have a somewhat similar idea but more for when a bill needs to be highlighted as in dispute or query, whereas it sounds like you'd like this feature to be able to highlight bills when they need more urgent attention for payment.
We'll start to get a sense of the interest from this other side of the coin here and I'll share if there are any updates.

Bills | Quick view - Option to Remove & send to files library when deleting a file
Fix/Restore ability to download bill attachments to Files library. Apparently this useful function was removed in a recent update. Previously if you clicked to delete an attachment, you would receive a choice to download the bill to the Files library or delete it; now it just deletes it.
1 voteThanks for the feedback, Roy. It sounds like you're trying to do this from the quick view 'eye' icon which will open the bill while still viewing in the list of bills.
I've updated the title of your idea to add this function to this quick view.
However, for the time being if you'd like to save a file to the library before removing you'll still be able to do this by clicking into the bill where the option to 'Remove & save to the file library' still exists. 🙂

Bills - Assign planned date when entering bill
Please add the option to assign a planned payment date when entering bills / within the individual bill, not just from the overview tabs.
39 votesHi team, we appreciate the interest in being able to add a planned date when entering a bill in Xero. While this isn't in our immediate plans our team are aware and keeping a close eye of the support for this idea.
While this isn't currently possible when manually entering bills I wanted to highlight our new Quick view and edit feature - If you upload or email bills to create drafts in your organisation you'll find you can use the quick view option to easily add a planned date.
If you don't have the edit option in your bills just yet, this feature is in the process of rolling out and should be with all customers soon. 😊

3 votesHi Rossco, auto save is already within invoices in Xero, however I want to be open that we don't have any plans at this point of implementing this across other areas of Xero.
For Bills maybe another way to save you time could be to upload or email bills to your organisation so Xero does a lot of the manual work for you.
Here in Product ideas it helps for each post to be related to a singular idea for one feature - this ways it's clear what others are adding their vote to and we can best keep you updated on any progress.

Hubdoc - Automatically extract or split tips and gratuities from receipts
Please create an automatic tip function ideally with Hubdoc.
I'd be really grateful if there was a way to simplify tipping in the Purchase/Bill module. As it stands the total amount is transferred from Hubdoc to Xero. I have to:
1. hit edit
2. switch tax inclusive to tax exclusive
3. edit the bill amount to the pre-tax value
4. add a line
5. type "tip", add 1, add tip amount, change tax rate from standard (Entertainment) to Tax on Purchase (o%)
6. Hit 'Update'.THEN I can fill out the apply payment line.

Bills - Add planned payment date from inside the bill with a default of the due date.
Add planned pay date automatically as the due date or add a field into the bill entry screen so that you dont have to go back and add it from the bill list view.
Just a suggestion which i think lots of people would find helpful. It would give real time data from the bill screen and saves going into the bill list to add the planned payment date for the categories at the top to populate correctly.

9 votesHi everyone, following up in this idea I'd like to share an update that may be helpful to some people here.
We have now released Quick view in the Bills list that enables you to easily see, review and take action on your bills without moving away from the list view. Meaning you can quickly add a Planned date when viewing bills in your organisation.
There are also many useful options to efficiently create bills in Xero rather than manual entry like; email to bills, bills upload and our new Smart document capture feature that's in the process of rollout.
The Create bills page is something we'll look to develop overtime however I don't have any timeframes to share on this right now. I'll keep you updated if there are further changes planned to help you here.

Email to bills > Email forwarding directly into Xero as draft bills
I would like the ability to set up an email forwarding rule so that any incoming invoices can be automatically forwarded to Xero and created as draft bills.
At the moment, there’s no verified mailbox or built-in process that allows this automation, meaning invoices have to be manually uploaded or sent from specific addresses.

Hubdoc - Navigation have a direct link from purchases and bills.
For organisations that have an active Hubdoc organisation, it would be helpful from a workflow perspective to:
1. Have a link from the main purchases dropdown menu direct to Hubdoc; and
2. On the various Bills tabs, have a link to HubdocThis would provide a trigger for users to remember there may be Bills needing approval/processing in Hubdoc; and even as a cross promotion for Hubdoc.

Bills - Sort bills by 2 or more variables
Sorting tool seems to be only for one criteria. It would be great to be able to sort bills by due date, then supplier or contact alphabetically as the 2nd sort request.

Bills - Show and override tax amounts when entering
Please show the sales tax amounts that will be posted to each account (GST and RST) separately so we can reconcile to the receipt that is calculating properly. It would also be nice if we could manually override this amount as sometimes there is a small rounding difference. I am attaching an example from QBO. Please update your system to also have this functionality.
