Thanks for the idea ✨ and for explaining the need to be alerted at a mileage threshold so the rate can be updated. We’ve reviewed this and, at this stage, we’re not planning to progress it. The approach needed here would rely on a GPS component for automated tracking, and this isn’t something we’re exploring right now. In the meantime, you can continue recording mileage manually and adjust the rate when you reach your threshold. We’ll keep monitoring interest in this space, and if our direction changes, we’ll update here. Thanks again for sharing your use case and helping us understand your needs 🙏

Thanks for highlighting this improvement, Spencer. We understand the request to be able to zoom in and select text within the side-by-side PDF viewer. Having these controls available in the document preview could make it easier to review receipts without needing to open the file separately.
In the meantime, you can open the attachment in a separate window or download it to use your device's PDF viewer, which provides additional options such as zooming and text selection.
We've updated this idea to Gaining Support so we can continue tracking interest from the community. If this would improve your workflow, add your vote and let us know how you'd like these viewing tools to work.

Thanks for re-raising the idea with us here, Ben. We'll see if this idea gains support from more community users and please do share if there are others that you feel would benefit from this too sop they can add their support.
In terms of the API we have a separate idea forum where these ideas can be raised and experts that are better suited to handle and review these sort of requests.
I've found an idea for an API for the Xero expense feature that you may like to support for this.

Hi everyone, thank you for feeding back and sharing with us through the idea here. We appreciate why you'd like to see automated mileage tracking developed within Xero expenses.
While our team have a keen eye on the idea and interest in exploring this in the future we want to be open that resources are across other important work atm and there are no plans to develop this, this year.
We'll continue to track the interest and keep you updated of any change for this through the idea, here.

Hi everyone, thanks for your continued engagement with this idea. We know this has been a topic of conversation for a while, and we want you to know we've been listening about the challenges of claiming VAT on mileage in Xero Expenses.
We appreciate everyone who's shared their workarounds, like splitting the mileage claim into two separate lines. While we know this isn't an ideal solution, it's great to see how you're helping each other out here.
Your input is invaluable as we continue to evaluate the best way to address this. While we can't provide a specific timeline for a fix, please know that monitoring this is a priority for us. We'll be sure to keep you updated on any progress.

Thanks for sharing this idea with us 🙂 We understand why being able to download attachments directly from an expense claim would be useful, especially where customers need to keep a copy of supporting documents or work with multi-page files.
We’re continuing to see interest in this idea, and recent feedback suggests support for this capability is growing. That helps build a clearer picture of the demand and the value this change could bring for customers using Expenses.
While we don’t have any plans or timeframe to share right now, the idea is gaining more visibility through feedback and engagement. We appreciate you taking the time to add your support and we’ll continue to share updates if there’s any progress in future.

Hi Vanessa. Thank you for this suggestion.
We understand that for staff who rarely claim expenses, setting them up as a Xero user just to process a single reimbursement can be administratively heavy.
As you have found, the current Expenses module requires the "Claimant" to be an invited Xero user. Because your request is to allow claims for "non-users", we are classifying this as a new idea to Gain Support.
A note on Xero Me access: If the main barrier is that your staff prefer not to use the mobile app, it is worth noting that they can also submit their claims via the web version of Xero Me (logging in via a desktop) instead of using the app.
A workaround for non-users: For staff who do not have a Xero login, you can process their Expense Claim on their behalf. If you need an extra hand you can raise…

Hi everyone, thanks for all of your valuable feedback on this idea. The number of detailed comments clearly show how important this feature is for many of you.
We also agree that this would add significant value to Xero Expenses. That’s why we’re pleased to update the status of this idea to Accepted. This means we have reviewed your feedback and it aligns with our product vision.
While it is a feature we’d like to build, it’s not currently on our roadmap, so we can't provide a delivery timeframe just yet. We will share another update on this thread as soon as we have more news.

My excel expenses were updated by management with the latest fuel rates. With this not being available in Xero we are unable to use this feature. Its such a shame as it would save so much time.
