    Thank community, we appreciate all your involvement on this idea. We understand the ability to bulk export or print attached files would be a huge time-saver, especially for year-end audits, client communication, and general record-keeping.

    We’ve evaluated the complexity of this feature against other priorities on our roadmap. Atm, this isn't in our plans however we'd like to explore bulk downloading of files from Xero in the longer term. I'll share an update when we're able to give more attention to this, here.

    For the meantime if this is essential for you right now, you may like to explore third-party integrations through our Xero app store which could meet your needs here.

    Full disclosure first: I build a Xero add-on, so read this with that in mind.

    Twelve years on, getting a year of attachments out of Xero is still open-each-document, download-each-file — and like a few commenters here, I first hit it on an audit request. So I built the missing piece into BulkOps (bulkops.microspear.app):

    - pick a date range and document types (invoices, bills, credit notes) — it scans for every document that has attachments and shows you the list before anything runs
    - the export runs server-side under Xero's API rate limits, so you can close the browser; big exports email you when they're done
    - files stay grouped under their invoice or bill number and come down as one ZIP, so nothing loses its link to the transaction it supports
    - it's read-only — nothing in your Xero organisation changes — and the exported copies delete themselves from our servers after 7 days

    On the "print" part of this idea: I don't do printing, but a ZIP opened in any PDF viewer can be batch-printed from there, which covers most of what people describe above.

    Previews are unlimited and free, and your first 25 exported documents are free, so you can try it on a real date range before paying anything. One person builds this — if it doesn't fit your setup, email me at support@microspear.app and I'll fix it fast. And if Xero ships bulk export natively, that's a better outcome than my product existing.

    Thanks everyone, for continuing to share your experiences and examples here. We’ve been following the recent comments and really appreciate the added detail around the challenges this creates in real payment runs, particularly where credits need to be reflected alongside bills so supplier statements and remittances stay aligned.

    This March, we released the ability to find and match credit notes when reconciling, which was another highly requested idea on Xero Product Ideas.

    We recognise this is an end-of-process solution and doesn’t address the core need raised in this idea. As a quick update from my last post, we’ve done some early exploration into the technical requirements needed to solve the pain points mentioned. This is a complex area to get right, as it touches multiple parts of the bill payments and credit note experience.

    Full disclosure again: I build a Xero add-on, and this is an update to my comment above.

    In that comment I said a credit note can't go into a batch payment, and that allocating credits beforehand was the only part I could automate. The first half is still true — the batch itself can't contain a credit. But reading the recent comments here, the real ask is that the run should net the credits off, so the payment matches the supplier's statement without a follow-up email breaking down the credits.

    So I built that whole flow into BulkOps (bulkops.microspear.app). It scans your open bills and unallocated supplier credit notes and shows a preview per bill: amount due, credit applied, net to pay. When you approve, it allocates the credits first, then creates one normal Xero batch payment for the remainder — the same object Xero's "pay multiple bills" makes, so money still only moves when you send the batch to your bank. The whole run is undoable in one click until the batch is reconciled, and every change is logged to a CSV audit trail.

    Honest limits: base currency only (an API constraint), and runs over 200 bills are split into multiple batches (Xero's per-batch cap). Previews are unlimited and free, and your first 25 items are free, so you can check the netting against your own ledger before paying anything.

    And as before: if Xero ships this natively, that's a better outcome than my product existing. Until then, this works today.

    Hi community, thanks for sharing the challenges you face around deleting invoices.

    Right now in Xero, invoices with a Draft status can be deleted in bulk from the list view - simply select the invoices and you’ll see an option to Delete at the top of the list.

    We understand that for many in the thread here you’re referring to the ability to bulk remove invoices that have an approved status(bulk void) and I have just updated the title of this idea to better reflect this.

    This isn’t a feature we have planned at this stage, but maybe something we explore longer term as a possible enhancement to the list view. For the time being, while not within the product for those with more technical resources there’s capability via our API that you may like to consider.

    Full disclosure: I build a Xero add-on, so read this with that in mind. And Adam's free Bulkdozer above already does what this thread is asking for — so this isn't a pitch for an alternative. Bulk void is the one operation I deliberately didn't build, and I think the reason is worth putting on the record here.

    Voiding is irreversible. There's no API call and no button that reinstates a voided approved invoice. A bulk tool multiplies whatever it does, which is excellent when the action has an undo and genuinely risky when it doesn't — the failure mode isn't run one, it's run two with a slightly wrong filter. So if you do run a bulk void, export the invoice list first. That export is the only record you'll have of what was there.

    Michele's case above is a different problem though. Membership dues that were never going to be paid aren't really void candidates — voiding reverses the original invoice rather than recording a write-off, so the history of having billed it goes away. Credit notes get the ledger to the same place while keeping the audit trail and showing the write-off for what it is, and they can be reversed. The catch is that Xero then makes you allocate every one of those credit notes individually, which is the part I do automate (BulkOps — bulkops.microspear.app: preview before anything is written, one-click undo of a whole job, CSV audit trail).

    If Xero does pick this up, I'd argue for bulk credit notes alongside bulk void rather than bulk void on its own.

    Thanks for sharing your thoughts on bulk allocation of credit notes, everyone. We understand that manually applying credit notes one by one can be time-consuming, and we appreciate wanting a a faster, more streamlined solution.

    Currently, while we know it won't be the flow that suits all, it's possible to apply credit notes to multiple invoices for a single contact by opening the credit note and selecting the invoices to apply it to.

    Atm, we're in the process of releasing a new experience for Sales Credit Notes. This work will enable us to develop changes like you're asking here longer term. However, the initial release is focused on developing existing features into the new Credit Notes experience. Once this is fully rolled out the team will have more capacity to consider enhancements like bulk allocations, however we want to be upfront that this isn't planned for the short term.
