Hi everyone, thank you for continuing to share how important it is to clearly identify bills that need attention before they’re paid. We understand the impact this has on teams managing bills and avoiding payments being made before a query is resolved.
While a user control flagging mechanism is not directly in the pipeline yet, we want you to know that your feedback and the volume of support here is getting to the right places.
Our product teams are continuing to consider this wider workflow (not just adding a standalone flag) as they plan and shape our direction for bills.
We’re working towards making it easier to manage payments out of your business, with clearer ways to understand which bills need action as part of a more connected bills and payments experience.
The new bills approval flow which we’re currently developing is an example of this - once available admins…

Thanks for sharing this idea. We understand the request for a notes or memos feature when reviewing bills awaiting approval. Having information visible from the approval list could make it easier to understand the context behind a bill delayed approval.
We've updated the status to Gaining Support so we can continue tracking community interest.

Hi everyone, we hear how manual communication to the right person about which bills need their attention can be time-consuming, especially as teams grow.
We’re pleased to let you know that we’re developing a bill approval workflow in Xero. It’ll let admins choose named approvers and set routing rules, so bills can be automatically directed to the right person (rather than relying on inboxes, spreadsheets or verbal follow-up).
Approvers will be able to see the bills waiting for them in Xero and receive an email when their step becomes active, making ownership clearer while keeping the bill, approval decision and history together in one place. You can find more detail in our bill approvals update on The Long and Short of It 😊 - We’ll share more as this feature lands!

@Beckie Flynn, In regards to your comment below on A/P, finalizing month-end closing by a hard deadline is critical for submitting accurate, compliant reporting to SARS.
Our current challenge is that once the period is closed, Xero (or our integrated system) locks, preventing any further amendments or bill approvals for that period. To ensure the financial figures reflect correctly on our statutory reports, we are forced to approve disputed bills before month-end, and then manually track them on a separate query list until resolved and paid.
Having a feature that allows us to provisionally post, freeze, or flag disputed bills during a locked period—without halting the entire compliance workflow—would greatly improve financial control and month-end accuracy.
