  1. The current bill import functionality relies primarily on contact names for matching, which creates two significant problems:

    1. Unreliable Contact Matching

    • Contact names can change over time
    • Even minor differences (single character) result in creating new duplicate contacts
    • No fallback to more reliable identifiers

    2. Character Encoding Problems

    • Special characters (e.g., apostrophes in names like "O'Connor") cause import failures
    • This particularly affects common surnames and business names

    Proposed Solution

    Implement a hierarchical matching system for contacts during bill imports:

    1. First attempt: Match by account code
    2. Second attempt: Match by database ID
    3. Final fallback: Match by contact name

  2. I use Xero Me to upload expense receipts and assign to a client. I rename the photo of the receipt so that it should be traceable. The expenses are then visible when I create an invoice for that client. All good so far, however, there are two things that could be improved:

    1. There is no option to add the receipt file to the invoice when the expenses are added. Very often clients want to see the original invoice when expenses are charged back at cost.

    2. The expense files are saved in the fie library, however, the names I have given…

Instead of the currently available [Week] option in the repeating invoice reference field, which only shows the week number of the year, for example '34', instead allow the option for custom text that includes the date. For example to enable the customer to understand that the invoice being sent is for work that was undertaken during week ending 18/08/2024, which you want to display as WE20240818, you could allow something like this in the reference field: 'WE[yyyymmdd]'. This mitigates the issue of customers having to work out the date that e.g. week '34' applies to when reconciling invoices in Xero…

  5. Option to use supplier account number as Payee reference when making Open Banking payments by direct bank transfer.

    Currently the Supplier account number is not displayed anywhere.

    It defaults the Payee reference to the Bill reference which is fine when paying single bills to a supplier. However, if I want to make a single payment to the supplier for multiple bills (group by Payee option), we would want to enter our Supplier Account number as the Payee reference. See attached.

We have 2 Shopify stores, one for our wholesale customers and one for consumers, however, unfortunately, we cannot connect both to Xero, which is extremely annoying and causes a lot of work for us behind the scenes. Connecting both will mean a more streamlined experience and make our Xero world much easier.

  7. Currently, to invoice from a quote = a standard invoice. There needs to be an option to create an repeating invoice also. This is consistent with the request to change a standard invoice into a repeating invoice also.

  8. Xero Analytics Plus cashflow to show a year not just 90 days.
    The current cashflow upgrade from Xero only shows up to 90 day which is weird as in reality you need to forecast for the year. Is this going to be extended to a year like all the other cashflow apps ?

Please provide bills allocation to purchase order option. converting purchase order to bills is not that useful as we received multiple invoice from different suppliers. sometime some supplier send us wrong invoice and without P.O allocations to bills we were unable to catch that kind of mistakes. which result in wrong payment.

    benefits of that option:

    it will be easy to see if trade/supplier invoiced more than our purchase order (agreed price). as right now there is no way we can see that information in xero.

    implementations way could be:

    Purchase order should be zero after allocating bill to it…

  10. We are a subscription based business, so it would be great to be able to bulk update repeating invoice amounts. Either by selecting all the ones we'd like to change or by pushing through new inventory/product/service price changes. At the moment we have to change every single repeating invoice and this takes hours and hours!

    Thanks for the feedback and great to hear the use you find in repeat templates in Xero. 


    While there's no way to bulk update templates atm, you may find updating your templates through export & import of invoices more helps quicken things up?


    You could export invoices that have been generated from your template to CSV, update the amounts in the exported file, and then re-import

    This will create 'Draft' invoices in your Xero org from which you can create a Repeat template and then delete the draft. 🙂

  11. When generating quotes or invoices in foreign currencies, the amount should get automatically converted based on the current conversion rate. At the moment this needs to be done manually as the system just changes the currency without actually converting the value. This can be quite tedious if there are a large number of items or prices in an invoice.

    Hi community, our product team have started exploring some improvements in inventory in Xero with the ability to bulk update the sales price of inventory items by a percentage being one they've set their eyes on! 

    For now, we'll shift to Under review and I'll be back to share more when there's news 😊

  13. The "Suggest Previous" check box appears at the very bottom of the screen. This poor interface feature required me to log a support ticket to find it -- after the feature was dropped from an update.
    The time needed for me to reconcile tripled without this simple feature. More time was necessary by logging a support ticket.
    May I suggest:
    1. software updates maintain the existing settings, and
    2. place the "suggest previous" at the top of the screen where Users have a chance to see it.

    Hi Joe, the 'Suggest previous entries' option has always been located at the bottom of the Reconcile screen.

    Appreciate why you may want to see this further up the page and we'll get a sense of the interest in this here.

  14. When we receive an email from Approval Max stating that someone has rejected a bill, it has a link to the bill in Xero. When you open the link, there's no way to edit/amend the invoice from this screen.

    Please add an edit button.

    Currently, from this screen, to edit the invoice, we need to go to:
    Bills To Pay > Drafts > search for the invoice > then edit it

    Too many additional steps to edit the invoice, it should be easy from that first link.

Seeing as this email is sent by ApprovalMax we'd recommend connecting with their support to see if this is something they can change or would consider extending their integration for. Many of our app partners designed and built their integrations with Xero themselves and are best placed to confirm how this works and make changes to it.

    Hi Aaron, spam filters are determined and set by your email provider. We recommend sharing this article with any of your hotmail recipients that are finding that their invoices are being directed to spam folders. They will be able to update their email settings to add @xero.com and @post.xero.com to their email safe senders list to ensure these get through.

    There's no way to change the order of the customers owing the most to sort by overdue on the Sales Overview, Chris.

    The left column will show the total owing and the right column will show the figure overdue.

    However, from this screen you can click to Send Statements where you'll be able to view Overdue amounts high to low (if not shown automatically just click the Overdue column header. 😊

  19. Financial reporting is a critical business need of any business using software. Its strange that Xero dont have this as a catagory under Small business ideas. Can we add "Reports" as a catagory. Xero is poor compared to quickbooks now so need to udnerstand if its ever going to change or whether we need to move. I will only be able to gauge this if there are lots or zero user ideas on reporting (perhaps its only me that thinks its "ok but not great"

    Hi Robert, to give a bit of an update here as you may have seen through our Xero blog we have some changes that are coming that includes a simpler navigation.

    Along side this we will be looking to make some updates to also simplify and make it easier for our customers to categorise their ideas in the forums here.

    Totally get how having Reporting as it's own option would make sense and that is something we're looking at directly as part of this. I'll share as soon as we're confirmed on the new structure.

  20. Reports - Quote Summary pulls incorrect column references. Xero dont accept this is an error and think its a product enhancement.
    Currently when you produce a quote report you cannot have a column titled Quote Ref or "Quote date". Xero has a bug which is using "Invoice Ref" and Invoice Date". Obviously for customers of our business they get annoyed that we are sending them reports implying a quote has been accepted and invoiced rather than purely pending. Such a basic error in Xero but they just dont accept the error
