online payments in invoicing
Would be great to be able to turn off online payments for specific customers.
Would also be good to be able to choose which online payment methods we accept or dont accept rather than currently having to take them all or nothing.2 votesHi Joe, thanks for raising this here. We've made some updates to how you manage online payments so this can now be done on an invoice by invoice basis.
If you go to your Payment service settings you'll be able to set up all the payment services you'd like to offer, then on the individual invoice you select Set up online payments so you can choose those that you are providing on that invoice.

Invoicing - Approve and send invoices when customer is over their credit limit
I would like to request the Xero add the feature to be able to approve and send customer invoices even when they have reached there credit limit in the new invoicing. Currently this feature is available in the classic invoicing of Xero. Xero are forcing everyone to move to the new invoicing from September 2024.
We use an external software for our customer invoicing and then import these into xero the following day after the sale has occurred and email the invoices to the customer. Moving to new invoicing currently means that for any customer that is over the credit…2 votesHi Afaik, as part of setting a credit limit there is an option to "Block new invoices when credit limit is reached" if you'd still like to be able to send invoices once their limit is reached you'll just want to edit the Contacts record to deselect this option.

Sales invoices - Tax on each Line item to show
Ability to have the tax amount show on each line item and not just in the total below or even better so that sales tax automatically shows within the line item amount as per on screen, but when Printed to PDF it shows no Tax amounts per line.
4 votesHi team, returning to the idea. To confirm, with standard branding you can simply choose whether the amounts shown on your invoices to customers are tax inclusive or tax exclusive.
In terms of default tax the Tax Amount column that can be shown on the invoice within Xero - it's possible to use an advanced branding theme and customise the DocX template to add the TaxOnLineAmount merge field to make this visible to your customer. If you'd prefer to not show Tax Rate or Tax name you can also use the advanced branding template to customise and remove these fields.

Online filing NZ IRD tax returns for GAP payments directly from XERO
When I was paying just GST, I could file my tax return directly to the IRD from XERO. I am now paying GAP (GST and Provisional Tax) and no longer get the option to file my GST return directly from XERO - I can only file it manually, which is obviously much more time consuming. XERO, can you please make changes to your setup so that GAP payments can be filed with the NZ IRD straight from XERO. Thank you.
1 voteHi Harry, sorry it's taken some time to respond to your post here. It is currently possible to file GAP from your Xero organisation. I'd recommend raising a case with our specialists at Xero Support for some extra detail and help with this.

New Invoicing - Ability to copy invoice to a quote
In Classic Invoicing, you could copy an invoice to all sorts of things: Invoice, Quote, Purchase Order, Bill. See first screenshot.
In New Invoicing, you can only copy an invoice to another draft invoice. See second screenshot.
Please can you replicate the 'Copy invoice to a quote' functionality in New Invoicing?59 votesHi everyone, coming back to share that this is now live. You'll find within the 3 dot menu of new invoicing there is now the option to 'Copy to draft quote' 😊Thanks again for your engagement here.
If you're also interested in the other 'copy to' options, join and follow updates for these through the ideas below.

Bank Reconciliation - Sort and Filter
Add Sort and Filter to the Main reconciliation screen.
582 votesHi team, back again to let everyone know that the recent changes in Bank Reconciliation page have now been rolled out to 100% of users. 🎉
As mentioned in my last update this includes a bar at the top of the page so you can search and filter statement lines based on your preferred criteria, and the options to the right side of the Search enable you to set a date or amount range to help filter down your view.😁 You now also have the ability to view up to 50 unreconciled statement lines on one page - See our blog for more recent updates
We thank you all for your contributions in this idea. I know there are some that are interested in still seeing the ability to sort from this view, and I wanted to share the new idea that's been raised where we'll begin to track this…

Purchase Orders - Automatically include delivery instructions
We have the same blurb to add to every purchase order—please add the ability for this blurb to automatically populate each purchase order.
1 voteHi Kelly, you can add this information using an advanced branding theme and customising the template in MS Word.
For example you could add a text box with these delivery instructions, add your logo and make any other changes you'd like, before saving the file and uploading it back into your branding theme in Xero.
When creating purchase orders you'd then select this branding.

New Invoicing - Retain automatic suggestion for email address, based on previous contacts
Please include the functionality of classic invoicing which allows Xero to suggest email addresses based on your previous contacts used. This is a key time saving feature in our workflow and one of only a few reasons we cannot transition over. This feature also appears to be impacting other users with a slightly different issue - https://productideas.xero.com/forums/939198-for-small-businesses/suggestions/47697284-new-invoicing-keep-the-previous-contact-when-usi
5 votesHi team, sorry we didn't return to update you on the deliver of being able to keep the contact when copying an invoice with new invoicing.
This was released a couple of weeks ago. Now when you copy an invoice to a new draft invoice you'll get the option to keep the same contact.
It;s worth noting that while the contacts details will follow through to the new invoice for sending purposes. Defaults are not automatically applied - So, if you'd like contact defaults to be applied to the new invoice you'll need to remove the contact and then re-add in the new draft invoice.

Allocate Contact Groups from Contact Page
Allocate Contact Groups from Contact Page
At the moment you have to go into each individual contact to allocate a group, it would be beneficial to be able to allocate the group from the contact page.
1 voteYou can add contacts to groups from the main Contact list page, Jane 😊
Simply select the contacts you'd like to add to a group then click the Add to group option on the left header.

Sales invoice - Adding lines to invoices
When invoicing it should automatically add more lines as required rather than having to manually add extra lines.
2 votesHi there 👋, like mentioned (Thanks Freya) when using new invoicing and you enter any data in the current line a new line will automatically be added below so you don't need to manually add new lines 🙂

Assign costs from bill to mulitple rental properties
I get a monthly insurance bill for all my rental properties. Would like to associate the cost of each to the appropriate property.
1 voteHi Coleman, this is possible with the use of Tracking. You could set up one of your tracking categories as properties and list each of your properties as an option. Then when you're entering documents in Xero you can assign each line of your bills, invoices and other document types to the property it relates. 🙂

Utilise the Xero support team to write the XERO Customer Requirements specification for XERO 2.0
Having developed and managed both hardware and software development products for many years, Xero has the best product support I have seen.
They are all very knowledgeable of the Xero product and the customers that continually moan at the short comings of a very poorly designed product.
My advice, is to utilise the product support team to write the customer requirement specifications of the Xero product, using the Product Idea portal and the "competition" as the starting point of Xero 2.0. Then the development team can write the software and then let the product support team alongside Xero customers "test"…
3 votesReally do appreciate the feedback, David and it's great to hear you've had such good experiences with our Xero Support team.
While we can't run every single feature that our product teams deliver through our support team, this is a very regular occurrence. Our product teams will often engage other teams internally to understand the pain points of users that they are trying to solve for and in many cases they may release features internally with Xero staff to test and feedback on features before they are released externally.
Just as you noted there are also other measures of testing that our teams have in place to evaluate the performance of features before they are delivered.
Our product teams will continue to evolve their thinking in how we test, and review features before they are released so we can build and deliver products that create positive customer experiences.

New invoicing - Bring back "add last items"
Can we please bring back the 'add last items' for an invoice?
This saved us A LOT of time on regularly customers.
Not sure why it was removed.4 votesHi everyone, i can confirm that '+ Last items' is available when you add a contact in new invoicing and is shown beneath the contact name. The items added will be for the last invoice that was approved for that contact.
The only exception here is if you have the Invoice only Draft role in which case this feature is not available.
We're looking at slight improvement to where this is placed on the invoice to make it more noticeable. However, if you have the right permissions and still aren't seeing this option where you'd expect it to appear when invoicing, please raise a case with our team of specialists who have tools to get a closer look and see why this option mightn't be appearing for you. Thanks

UK Payroll - Remove YTD bank holidays from payslips
There is no reason to keep the previous bank holidays on every payslip.
I can’t seem to get rid of previous bank holidays from showing on current/future payslips. Why are bank holidays from the Easter and the King's Coronation still appearing on payslips May 2023 onwards?? Doesn’t look very professional. This is all on the YTD earnings line. Why isn't there an option to remove it? Clients are not very happy.
12 votesHi everyone, returning now a few weeks on from our last update, we’re going to move this idea to ‘Delivered’ with the change the team made to Payslip PDFs. We have now combined all previous earnings as one YTD line so that your employees only see the most relevant information 🥳

Quote to be reflecting on the customer facing side as "Accepted" once it has been
Once a quote has been accepted by the client it would be great if that acceptance was reflected on the customer facing side of the quote. This would allow them to click on the original link sent to them to confirm that their quote is now reflected as "accepted" so for clients who manage multiple quotes and may have to refer back from time to time they are easily able to do so and have a record on their end that their booking (in our case) is confirmed.
2 votesHi Caitlin, with the online quote link these are updated in real time. So if you send a customer a quote and it is accepted on their end this'll show on the online quote straight away.
Similarly if the quote is marked as accepted from within Xero, it does take a refresh if the online quote if it's open at the time however it'll also show as accepted on the quote. 😊

Receipt Upload
Have an option that allows you to drag and upload receipts from desktop
5 votesHi team, we're going to move this idea across to delivered. As mentioned in my last update there are a few automated ways you could get your receipts into Xero.
You can;
- drag & drop your receipts into your files library, from here you could then create a bill from the file, or
- if you're using Xero expenses when you create a new expense claim you can drag & drop files from your computer directly onto the left hand of the screen

AU Payroll - Create a report that shows when a salary change was actioned
Hi Guys, I'm not sure if this has been raised previously, but would like a payroll report that will detail employee salary changes and the date they changed.
4 votesHey team, if you'd like to see a report that shows changes made to payroll such as salary changes, you can use the Payroll History report.
It can be run for a specified date range and will show the date the changes were made, what the changes were, the employee affected and the user who made the changes.
