Invoices - Add subtotals
Ability to add subtotals in the invoices.
Purpose: Because some clients are questioning and would like to see more details, and having subtotals can satisfy their needs & wants.
Hi all - thanks for taking the time to provide your votes and commentary on the idea to enable subtotals in invoices. We appreciate how this would make invoicing easier and enable you to provide a clear breakdown on invoices.
As you can imagine with a global product, the variety of ideas we receive is expansive and so the product team focuses on building features that will meet most people’s needs. In the interest of transparency at this stage this idea is not currently planned. However we’re still open to receiving feedback and votes. It could always be reconsidered at a later date.
In the meantime it’s worth highlighting (as a few have mentioned already) a workaround is to generate an invoice as a PDF and then edit the PDF externally. Alternatively our Xero App Store has many invoicing providers who may do this. You can browse the invoice providers here.
We’ll be sure to update you here if there’s any more news on this suggestion.

Prices are going up but no attention to the subtotal request from Xero!!!

We use Excel spreadsheets as they can add up all the hours billed but show the times worked, as well as all the items used to build an article which items are then subtotaled but this is not ideal and we are trying to move away from Excel.

Glaring omission from day one. Absolute must have.
e.g. in construction typical breakdowns are materials, sub-contractors, and labour.
Should be able to sub total accordingly. Doing this manually with a line comment is less than ideal. -

My company offers two different services, and it would be highly preferable to separate the two on every invoice so the clients can quickly see the breakdown of what they are paying for. As many have already mentioned I'm sure, this was extremely straightforward in Quickbooks. It's totally baffling that this cannot be implemented with ease.

Astounding!

Thanks for the response, but this is an insultingly stupid suggestion. Manual document editing is not a workaround to addition. You know, adding numbers together, something computers are good at.

Re-iterating the other comments - it's not like anyone is asking for a massive, structural change. I may have said this before but when Joiiin asked for feedback I really needed formulae and they implemented whilst speaking to me on a chat over a few days. Feels like Xero are being obtuse!

We will also be switching platforms because of this. Subtotals are a basic requirement of our business.

Xero are ******* useless, it's as simple as that.
We will be switching to MYOB as soon as we can. The WORST decision our business made was starting a Xero subscription.
The fact that subtotals are not even in the pipeline at this stage of this so-called "global product" is appalling - what a joke... -

Seems sad that Xero is so intuitive in some areas, yet in what seems to be a basic function, we are told to use workarounds.
Disappointed to say the least.

Adding a Sub-total option is such a simple coding change.
Why should your customers be paying top dollar for an accounting platform that lacks such a simple, basic function with the company's position being to offer a "work around"!!!
I don't want to spend time finding "work arounds" - I want a product that works!!!
What a slap in the face!!!?!?!!!

It's hard to call Xero innovative when the basics aren't being met. Subtotals are a BASIC essential function. Come on, guys.

Client needs to have sub total for clarification of the amounts when quoting for cabinetry items in a whole house job
Come on Xero - client may leave this program as they can get this feature in QBO !!! -
Chris Ruffin commented
I think Xero should consider the infuriation factor in addition to the number of votes. There might be less votes than some of the others, but for the ones that are missing the feature, users are bewildered about how such a basic feature can go unimplemented for so long.
Words like ridiculous, boycott, switch, “why on earth” should carry some weight.

A sub total feature is such a simple but effective feature to have with invoices and quotations. QuickBooks have this feature . . .I used to be with QuickBooks but my Accountant convinced me to move to Xero . . .such a big mistake.

Being able to subtotal based on the item code would be extremely helpful, not only for our clients but for our admin team when they are error checking against the source data.

I need to add multiple subtotals and a pre-set percentage value calculation. For instance, when calculating service fees etc.

This is so ridiculous that this hasn't yet been added - as someone else said it's simply a piece of code. I've had a newsletter email from the new CEO and she's requested feedback, which I've sent requesting this:
CEO@xero.com - I'd suggest everyone else do the same :-)

I refer back to my comment made nearly a year ago on 30 April, 2023.
Perhaps we should start a boycott petition?
If Xero continues to show Zero interest in responding to its customer needs, perhaps it's time to vote with our feet....

If this is not implemented soon, our business will be changing to MYOB.
We are scaling up and Xero has far too many roadblocks for our growing team to continually find a workaround.
Such a simple feature to add. Subtotals are necessary for the most basic of basic accounting practices and Xero simply "forgot about it".
How about it Xero? Is anyone going to recognize this and take action?
A response with an estimated delivery on this feature would be the least you could offer us.
MYOB is calling...
