Projects: Reporting - Bills assigned to a Project
Ability to to show periods of bills that haven't been matched to a Xero project.
Purpose: to confirm that all bills are being assigned to properly to Project.
Hi everyone, thanks for your patience. Ability to view bills that have not been assigned to a project is now live to 100% of users.
To access this feature;
- Click the 3 dot drop down menu from the Bills list screen
- Select 'Bills not assigned to projects'
You'll be taken to a page where you c an select the date range for viewing bills that have not been assigned to a project in your organisation, where you can then edit and assign each bill.
Alternatively, go to Projects and select Add > Expenses from bill to get to the same screen.On a separate note - taking on your recent feedback I do want to confirm that this feature is limited to Bills at present and does not extend to Sales invoices.
We understand the importance of being able to make use and understand dates associated to projects - We made some updates to our help over the past few months to explain the dates used when reporting on Projects. When it comes to sales invoices assigned to Projects these will be reported based on the date of the invoice, when the revenue is realised. To capture both dates at which an expense and revenue related to a single project is realised you'll need to run the report for a date range to view both the expenses (billed) date and revenue (invoiced) date.

I agree with all the comments below. We are using Xero Projects extensively to track financials and inventory on infrastructure Projects for a few of our clients. It can take many many hours of wasted time to find that one item that has not been assigned to a Project. Adding a column for the assigned Project on a few of the existing reports is absolutely essential to our business.

critical if you are running projects as otherwise you can spend hours revisiting every invoice and bill checking they have been assigned!!!

It is really important for Projects reports to show GL codes so that we know on what the Project has spent the most and how can the same be analysed further.
Alternatively the Accounting Transactions should show the Projects against the transaction.
Project profitability without GL code looks odd and doesnot give much information.
I hope this update will cover this as well!

Working through a 30-Day trial of Xero and I must admit, I am really disappointed to see the project reports missing this essential element for reviewing bills. In May we are supposed to be migrating from Sage to Xero and I'm already dreading trying to find the work-around for this. I cannot for the life of me wrap my head around why 'Project' is not an available column in your reports?

Cannot wait for this feature and somewhat disappointed that it has taken so long. We must be able to run a exception report for expenses that have not been assigned to a project. Even if we could run a GL transaction report with a column for "project" we could easily identify the expenses that have not been allocated.

This would solve so many hours of looking for bills that are missing on projects!
Really looking forward to this functionality being implemented!! 😊Being able to do this from both a AR and AP perspective would be great. So not only Bills and expenses but also Invoices.
Currently every job/project we have is in an excel spreadsheet with a line per item and quantity and cost assigned. This is where we develop our margins and total invoice amount. Therefore, i can see what item is not assigned to a project but finding the bill that that item is billed from is a whole other story...

Really looking forward to this functionality/report being available. At the moment it is impossible to tell whether all project costs (bills and card payments) have been allocated to a project without running a duplicate system or massive spreadsheet analysis. So we have a situation where the client is making below target profits, but according to the project reports is making above target profit on each project. Costs are missing from the project records - but which ones????!!!!

Would agree with @Evelyn - we need to be able to see which invoice an item was billed against together with who supplied & their reference number.

If you could also incorporate the Tax invoice Numbers in the project module,we would be able to export the customers receivables invoice details to have a common fields for both reports to assist with our pivot analysis and incorporate the 2 reports into one.
We need to be able to report on projects by invoice date, customer order numbers and project code/descriptions and any other management reports that we need on a monthly basis.

I echo Kris's point re being comprehensive and volunteering to test / review.
Also please make sure that date fields are "from and to" and that the date used is the accounting document date not the date posted to the project system ( a date which causes confusion in existing reports)

@Kelly Munro - great that things are moving forward... can you pass a couple of points to the team working on this?
- even though this item is titled "Bills assigned to Project" I would hope the scope includes ALL invoices - both AP and AR as it's just as important for the Project Profitability report that both are correctly assigned
- Same goes for Credit Notes
- Also Spend Money Items are important as Project Costs are often paid using cards which end up in Xero as Spend Money items
- I would mention Receive Money items also but it's still not possible to assign RM's to Projects for some reason?...
Happy to contribute to any detailed requirements discussions on this

Basically extract list of bills from Xero into Excel with Supplier, Date, Reference columns.
Run Project Details Report and extract into Excel. Run simple vlookup to compare Reference columns on both sheets.
Any false N/A returns will be existing bills not on the project details report.
You'll need to ensure that the data in the Excel cells you extract is set to "number" otherwise lookup will not work. Took me a while to get this to work but it's a decent workaround for me as it catches any bills which are missed (humans are not perfect!). -

@Josh Buesking - I didn't see this, was it via email? I was disappointed that nothing at all was mentioned in the UK Quarterly product update webinar this week, given that they made a big song and dance about it last quarter. Not even an update on progress! :(
