User Permissions - Access to reconcile without viewing balances
It would be really useful if you could give a user permission to be able to reconcile and post bank transactions, but not see the bank balance.
We thank you all for sharing in the idea here, and understand there are many permissions that our Xero customers would like to provide on a more incremental basis. As you'll all know access to bank accounts is available to users with Adviser, Standard or limited access to those with Read Only roles - You can see more of the breakdown in our article here
With much of the teams resource drawn to work on the platform that'll continue to help us with the 'building on beautiful' experience for our customers we want to be upfront that there are no direct plans for altering the user permissions in this space just yet.
User roles and individual permissions within a bank account will be in the limelight once much of the platform upgrades are complete, but this is some way off atm. We'll return to share when there's any steps made to begin digging into bank account permissions.

For my business this is a critical problem. I am currently paying my accountant's staff to reconcile instead of my paid staff. It's absurd and a waste of money and time. I am genuinely considering leaving Xero due to the issue.

We have a number of clients who would like their staff to be able to enter receipts - either via the app or full Xero - in spend money transactions BUT they don't want the staff to see their bank account. The current user access parameters doesn't allow this. These clients are on cashbook and starter plans, so can't do as enter bill

I don't feel the admin response is adequate to the number of user comments regarding this issue. This is a critical issue in our business and on top of this I have other issues to face - such as the downloading of pay slips for the 7+ apprentices we have. "Building on Beautiful" does not help my business.

Xero's response to this issue is woefully inadequate! It seems they're more concerned with superficial design upgrades than actually listening and responding to their users' practical needs. We know our stuff when it comes the User Role Permissions, yet all we get from them are hollow statements like "Building on Beautiful". How about doing a real survey and seeing what your actual customers really need? 'Cos right now, it looks like bigger buttons matter way more than providing meaningful value and functionality - that's deeply disappointing!

This is really a huge problem. When is it going to be addressed adequately? This is a critical issue that should be a priority for your company. What is the justification for not addressing it? As another user mentioned, adding a ‘hide bank balance’ or even ‘hiding’ within one of the user roles would be a huge help for the entire community.

That really is a shame Xero. You would open up more opportunities for new customers with a simple "hide bank balance" user security setting or access to reports on a menu. We as a business with multiple Xero accounts need to be able to give our admin staff the ability to allocate payments to invoices & reports. But we should not have to give them access to our bank balance, this basically makes Xero unscalable. I find it very hard to understand how this is not a priority in your development roadmap.

Bank Accounts Confidentiality and Security
Most of the Accountancy Software, Confidentiality within Bank Accounts is high level either, controlled by Admin Levels or individual security passwords on each Account if this is a requirement,
Xero does not have this facility, this is a major security Problem, example if using CSV files to upload Sales and a member of the accounts support team are required to allocate payments from Customers.
Following this process GID's Accountants have created a fictitious bank account to allocate the individual values received as a Bulk payment.
This process although, matches the criteria on payment to sales is a confidential risk as all Bank Accounts can be viewed by any member of the support staff following this process. This includes All Business Current Accounts including Current Accounts not part of this process, Saving/ Holding Accounts Sales Contra Accounts including Credit Card Accounts.
Therefore, could an urgent R&D requirement be setup in keeping with other Accountancy Software, to ensure the Bank Section in Xero is high Level Admin or password controlled.
Trust there is a speedy fix for this problem.

This should be standard for sure. Allocating payments to invoices or coding payments to the GL can be a junior role and we should be able to get our admin staff doing this without having to give them access to our business bank balance!! So because of this, the CFO has to do the reconciling which is a complete waste of her time.

There needs to be a lot more flexibility in user permissions, particularly for the Standard User role - restricting access to bank balances, chart of accounts, reporting etc should be a minimum standard for setting user permissions. The current options are way too broad with very little room for customising user roles.

This is a major issue for our business at the moment. We are about to commence a large multi million dollar project where we have three staff entering PO's. They really need to have reporting available to them, however this function is not available to them due to the permission levels. Instead, on a weekly or by request basis, I will have to produce the reports for them.

User permissions are very much all-or-nothing, there needs to be much more flexibility with setting these permissions. The alternative is to remove bank accounts from Xero all together to hide balances, which is not a suitable work around.

This is vital to any company to stop allowing all users to see bank accounts and even the dashboard if their role isn't in finance - GDPR etc
