Sales invoice - Add Notes that are visible to the customer

Currently you can put titles and notes etc on quotes and invoices etc. However the client does not see any of this. This is critical to be able to add notes etc that don't belong on a line item

Hi team, thank you for your support and ongoing engagement in this idea. We understand the benefits some customers would find in being able to add notes or a free text field to invoices so you can add additional detail for your customers.

Being open, this isn't something we have in our roadmap atm, but will continue to consider for future enhancements.

For the time being, a couple of options that may be useful;

  • Using only the description field of a line item to add additional details
  • For more static messaging you could add the details to the payment advice of a standard template, or
  • Add static text with an advanced template editing the template with DOCX

We appreciate this is not the complete solution and will continue to keep a close watch on this idea and share if there are any updates, here.

    There are a lot of people asking for the same thing! Surely then this would be something that you SHOULD be adding to your roadmap! Be good as others have stated if you would reconsider this!

    It's sad that Xero seems to have unlimited time for trendy (but useless) AI bells and whistles, but can't add a simple description to invoices (just like you already have for quotes) after all these years?! I hope Xero will reconsider!

    What concerns me is that you state that this is still not on your roadmap at present. A review of the comments here and of most other invoices sent/received by businesses shows that this is a normal practice.
    C’mon Zero, make it happen!

    This would be really helpful. We invoice on a standard set of services, but each "unit" of service could be different so a free text field would be v helpful for client to see summary of what the invoice covers

    After significant price increases in at least Australia due to the new AI features added, it'd be great if the dev team could please add the text box many have been asking for.
    Yes, we can use a line item, but sometimes bunching information into the description field doesn't fit well and it doesn't look great having a $0 product to add a note that's unique to the invoice.

    This has been my most-needed feature for all the years I've been using Xero. The other options are sticking the notes in the area intended for product descriptions (which looks terrible) or sticking them in the email (which is lost when they pass the PDF to someone else and also isn't saved if I have to email the invoice again to them or someone else). Quotes already have title and summary fields which work great--Xero should just add them to invoices. Xero should focus on basic functionality like this rather than invest huge amounts in trendy AI bells and whistles.

    Need to add Service notes in my invoices, I had jobber before moving to Xero and this feature is available.

    Super important for mechanical workshop - for example. You'll need to change your brakes at next service, or we found an oil leak that you should have repaired.
    A free text box would be ideal for these ad-hoc notes for customers

    This feature is needed for so many reasons.
    - Detailed explanation of charges;
    - Legal text to tie the invoice to a contract;
    - and many more that I could cite.

    Using a "non-amount" item line is not satisfactory because longer text gets squashed into a column that is one-third of the page width.

    Please work on providing this feature...

    Is there a way to do this yet? I see it is an ongoing issue with this platform. Would be great to have this remedied where I can add a note to an outgoing invoice that is visible to the customer, and not included in the product line

    Quotes have a nice system where you can put a title and summary which show up at the top of the quote. It's a terrible shame that Invoices don't offer that. This important information is stripped out when you convert a quote to an invoice and there is not even anywhere to put it back. It's a huge problem for my company.

    A notes field on customer facing invoice is a basic and mission critical feature. That is a free text box that any length of comment/note/description/PO number etc. can be added.

    We have clients that move customers to apartments. We need to be able to add a note to show to/from address in order to get paid quickly. This option was available with QuickBooks, and it was very helpful. I believe having an option for an additional field would be beneficial to be able to add whatever is needed to get the invoice paid as quickly as possible.

    Agreed absolutely. Ability to describe the build-up of the quote. Adding payment details. Surprised its not available.

    I need to break my invoice payment down by mutiple vendors, and the simplest way for Xero to allow this would be to have an 'additional info' field to be added to their invoices, just like QuickBooks Online has.

    Can you please add an 'additional information' field on the main page of the invoice, below the total would be ideal, so then I can add information, for example on a $2,000 hours billable invoice:

    CompanyX owes 10% $200
    CompanyY owes 20% $400
    Company Z owes 70% $1,400
