A way to write off WIP without it affecting the staff that have put time to the job
We have a few jobs in the system for a client that was very complex and we have since disengaged. We want to write off all of the time but we do not want any team member to have their write ons/offs affected by these jobs, as the nature of them was incredibly complex and this was due to the way the client prepared and sent the information to us, and not the fault of any of our team members.
Xero support has advised that there is no way to write off WIP without it affecting the staff that have…

XPM - Bulk delete jobs
I learned the hard way after bulk importing 1,700 jobs on the wrong template that you could not delete those imported jobs in bulk. I spent 4 hours individually opening each job from a report and deleting.
It would be great to use job manager to be able to select jobs (assuming they haven't got any time, costs or invoices associated with them) and delete.

Repeating Customer Prepayments
The ability to set up a repeating customer prepayment. We have customers who pay on account every month. We then create an invoice at the end of a billing period (Quarterly, annually etc) and then use their prepayments against the invoice. It would be useful to automate the prepayment creation so that we can reconcile the payment made by the customer to their prepayment. Creating the multiple prepayment forms every single month for all of our clients is tedious.
1 voteHi Reuben, thanks for the detail in your idea here - It sounds like you're currently manually creating the prepayment in Xero and then manually reconciling this once it's received in your bank account?
Though not a repeat prepayment feature like you're asking however you could create the transaction right when you're reconciling - From the Create option in the Reconcile screen click Add details which will open the modal. Here you can click the drop down on the Received as and change this from Direct Payment to Prepayment.
Totally get this doesn't automate the creation of the transaction completely, however could help save a few steps each month. LMK if this helps 🙂

UK Tax | Personal - Entry for Payment on account before 31st July
Ability to produce payment schedule that works with 31st July payment on account as DUE not already paid. When producing the return prior to 31st July.
The attached file was produced prior to 31st July. The POA has been amended to show the correct figure due 31st July.2 votesWe're grateful for your engagement and letting us know the changes that matter to you.

Bank reconciliation - Ability to enter dates directly in formats other than dd mmm yyyy
Across Xero it would be very useful (and intuitive) to be able to type dates in formats other than dd mmm yyyy (for example dd/mm/yyyy, ddmmyyyy, etc). The dd mmm yyyy isn't the usual way to enter and clients have commented that it's irritating that they can't type the date in (they use the calendar instead) because it didn't occur to them to try this format, and even when you are aware the habit when typing dates into these boxes is to use one of the more common formats so it can lead to errors
4 votesHi Jonathan! Thanks for sharing this great suggestion about allowing more flexible date formats in Xero. We can see how being able to type a date in different formats (like dd/mm/yyyy) would be a much quicker and more intuitive experience for many, and acknowledge that this functionality is available within other areas of Xero.
We've also added the supporters of this idea to these two similar ideas; New invoicing and Fixed Assets.🙂

Xero Central - Adding a Video on Demonstration
Could it be possible to create a video to explain about the particular features of the Xero function in their respective page? I am trying to better understand visually on how to navigate and use a particular feature within Xero.
If not at the very least, link me back to the lesson where I can get on the feature in the Xero Advisor course? It would be helpful for me to revisit the topic.
2 votesHi Marc, thanks for your engagement and for this excellent suggestion on improving our Xero Central resources.

Staff allocation and milestones at the task level of jobs in XPM
We have certain clients who are set up under a monthly retainer with all included tasks (scope) under the one job. We need a way to allocate and set milestones or due dates for certain staff at the task level of these jobs.
The current milestones which can be implemented after a job template is in use has limited functionality as you can only set due dates from the start of the "job" not for each task as due. If the "job" is not established all on the same date then the milestone dates will not be accurate across the…1 voteHi 👋 your idea is being looked into by our Community team. XPM - Lock timesheets when a draft final invoice has been prepared.
XPM - Lock timesheets when a draft final invoice has been prepared.
We are having issues with staff adding time to a job when there is a draft Final invoice that has been created. Then the invoice is approved and the added WIP does not get picked up and sits on the now completed job for us to stumble over months later. It makes sense to lock the timesheets when a Final invoice has been drafted.46 votes -
XPM - Link multiple jobs to invoices
Being able to link several jobs with the one invoice raised in Xero blue. When issuing through Practice Ignition, it only allows you to allocate to one invoice in XPM. Moving the timesheets is clunky and inaccurate

XPM - Clients show all jobs for groups they are a part of
When you go into a client and enter the jobs tab, there is no job for that client even though they are part of the group that there is a job for and that client is included within that job. The job only shows for the single client where the job is created.
The jobs tab already includes sections for active jobs and archived jobs. It should also show a section for jobs assigned to other clients within its group.

NZ Tax - Ability to identify payment plan with IR
Would be great to have the ability in XPM tax to identify if the client has a payment arrangement with IR. If there is somewhere in tax we can enter this information and this gets flagged when approving the tax payment letter, not to send the letter if the tax year is under arrangement.

XPM - Report for Prepayment or Miscellaneous Invoice
Hi there, we would like to have a report in XPM to show all the invoices. This would include the normal invoices and prepayment invoices(miscellaneous invoices).
1 voteHi Martin, thanks for sharing this idea! We totally get how useful it would be to have a dedicated report for prepayments and miscellaneous invoices in Xero Practice Manager. It could save time, cut down on errors, and make reporting a lot easier.
Right now, there’s no built-in option for this, and we know the manual workarounds aren't ideal.
This idea is in the Gaining Support stage — so if this matters to you, we encourage the community to keep voting and sharing their inputs! Your feedback really helps us shape what comes next.

A report that includes price, quantity and account fields for both customer invoice and receive money transactions
A report that includes price, quantity and account fields for both customer invoice and receive money transactions. Perhaps add price and quantity fields to the account transactions report
1 voteWe understand that a single report for all invoices and receive money transactions, including key details like Quantity and Unit Price, would be a big help 🤔. We know it can be time-consuming to switch between different reports to get a full view of a contact’s activity. While this specific report isn't on our immediate development roadmap, we're always looking to improve Xero's reporting. For now, you can use the Contact Transactions Summary report for a quick overview or combine exported data from multiple reports into a spreadsheet. We'll keep monitoring this idea and use your votes and comments to help prioritise our future work.

XPM - Generate new client record via ATO Pre-fill Data
In many accounting software platforms, the established workflow for onboarding a new individual client and preparing their Income Tax Return leverages ATO pre-fill data efficiently.
This process typically involves:
- Adding the new client to the ATO portal.
- Downloading the pre-fill XML file directly from the ATO portal.
- Saving the downloaded XML file to a local directory.
- Commencing a new ITR within the software by importing this ATO pre-fill file. This crucial step often includes the ability to search for the new client by surname, create a necessary client reference and automatically populate the return with all available ATO data, thereby…

Xero HQ | Merge client - Expand pop up
Client Merge popup box needs to be expandable. It wants me to select which client that will merge into from the other (which is irreversible) but I can't expand the popup screen or hover over the fields to see what is written in full to know which one to select.

Xero HQ - Restrict Access to Specific Client Groups by User Role in HQ
It would be great to have a feature that allows users to group clients within their HQ (or the main dashboard) in a way that only selected users with specific permissions can access certain client groups. This would provide more granular control over who can see and manage specific clients, making it easier to manage access for teams working on different client accounts.
This would be especially helpful for firms with multiple teams handling different types of clients (e.g., accounting, payroll, etc.), ensuring that only relevant team members can view and work on certain client groups.
Potential Benefits:
Improved data…
1 voteHi Rumyana, this is a thoughtful idea, and we can see how having more control over who can access specific client groups in Xero HQ would be useful, especially for firms with different teams handling various services like payroll, BAS, or advisory work.
The idea has been reviewed and is now gaining support, which means it’s open for others to vote and share how this would help in their practice. As support builds, it helps give the product team a clearer view of the need across different types of firms.
If there are particular scenarios or workflows where restricted access would make a difference for your team, feel free to add those as a comment. The more context we can gather, the better positioned the team is to understand the real-world impact.
We’ll keep an eye on how the idea progresses from here.

Xero Sign - Automated Notification of Xero sign Bundle Expiry
Automated reminder for Xero Sign Bundle expiration
I have just been caught out again with expiry of unused transactions in my signing pack of 150. Instead of being cut off at expiry date or having to remember to go and look it up could there just be an automated reminder. Also, for us small sole traders it would be great to have smaller bundles than 150, even 50 at a time. Even better, why not let us use all of our transactions we have paid for. Still need an automated message that they have expired.1 voteHi Angela, thanks for letting us know an automated reminder for your Xero Sign bundles would be a huge help, and we really appreciate you bringing this idea to our attention. For now, the best way to stay on top of your usage is to manually check your remaining transactions and the expiry date in Xero HQ > Xero Sign. A good workaround is to set up your own calendar reminder 🗓️ to check in on your bundle regularly. This will help you avoid any last-minute surprises. Right now, an automated notification for expiring Xero Sign bundles isn't on our immediate roadmap. However, your feedback is incredibly valuable and helps us understand which features are most important to you. We'll be sure to keep you in the loop on any changes to the status of this idea. 🔄

Workpapers - Auto calculate Interest Accruals
It would be great if Xero recognised Bank term deposits or Pie deposits, and could record the interest rate, compounding periods, and calculate accruals to balance date.
3 votesHi Paul, thanks for sharing this idea. Being able to automatically calculate interest accruals on bank term deposits or PIE deposits within Workpapers would definitely help save time and improve accuracy across your clients.
This idea is now in the Gaining Support stage, which means it’s on the product team’s radar for further consideration. The votes and comments from the community will help show how valuable this feature is to the wider Xero community and assist in shaping future updates.
