Like a lot of tradies and contractors, I pay my material suppliers when the client pays me for the job. Xero already knows which bills belong to which project and which invoices have been paid, but it doesn’t connect the two, so working out what to pay is a manual job every time.

What I have to do now:

Go into the project and open Expenses.
Find the expenses that sit against the invoice number that’s just been paid.
Write down the cost price of each one, which shows excluding GST.
Go to Bills to Pay and open every bill one by one.
Run each bill total through a GST calculator to get the ex-GST amount, because the bills list only shows the GST-inclusive total.
Match those numbers against my list to work out which bills to pay.

This takes ages on every job and it’s easy to make mistakes.

What would fix it (any one of these would help):

In Bills to Pay, a filter or column showing the project and whether its linked invoice has been paid, so I can tick those bills and batch-pay them.
In the project, a “Pay bills” button that shows the unpaid bills for that project or invoice and lets me pay them straight away.
An option to show bill amounts excluding GST in the bills list, so they match the cost prices shown in Projects.
