Thanks Robert. We evaluated Richard's BETA version earlier this month. Richard is going to add the app to the Xero App Store UK later this year. I also found the reprice.mp3fbf.com bulk update. I've not reviewed any, apart from uplift-rose.vercel.app . We are sending out emails to business partners this week, to advise them of an annual price increase effective from 2nd Jan 2027. We are still using our "Legacy" system to generate recurring monthly and annual sales invoices and then importing these into Xero (and sending). However, now we have options for bulk price updates for the annual price increases in Xero, we will plan to move our billing process fully into Xero for 2027.

Solved this with a local developer, so I'm sharing in case it helps others.

We ran into exactly this problem: there's no native way to bulk update repeating invoices, and the API only allows you to delete and recreate them rather than edit them in place. We worked with a local NZ developer who built a solution for it: invoice-x.ai.

Using their tool, we updated all of our recurring invoices in about 35 minutes, something that would have taken us days to do manually, one template at a time.

An unexpected bonus was the reporting generated as part of the process. It gave us a clear, consolidated view of all our repeating invoices, which also helped us properly standardise naming across our current Xero subscription plan. This was particularly useful given how many times Xero has renamed its pricing tiers over the years, making it easy to lose track of what we were actually offering.

Posting this here because it directly relates to the bulk-update request in this thread. It's worth a look if you're dealing with the same issue while waiting for native support.

Richard. We have found that Xero does not have some of the features that we use in our Legacy system (so we have retained the SOP process in the Legacy system to create invoices to upload to Xero). One example is the lack of "delivery" address for customers. This is another product "idea" (currently has 1454 votes) : Contacts - Allow multiple addresses for a single contact record
Ability to create and save multiple addresses for a single contact record

Purpose: Allow customers to map customer & supplier details against a single contact record. We also have no "upload" (import) of repeat invoices (e.g. with the recurring details), so these have to be manually added as we create each of the "repeat" invoices. The reports we use a based on the Legacy data structures. Xero does not have equivalent data structures.

Nigel — thank you, that genuinely means a lot coming from the first person to put it through a proper test. The £5 rounding exists because you asked for it, so the credit's shared. One question while I have you, since you know both worlds: what does your legacy system's recurring revenue reporting show you that Xero can't? You mentioned it's one of the reasons billing stays there — and since the tool already reads every repeating template, a report built from them (contracted revenue by customer, months ahead, that sort of thing) is very buildable. If you tell me what a useful version looks like, it goes on the list the same way the rounding did. Richard

Hi Richard, I've re-run the price uplift on the DEMO company using the new "rounding" options. This Xero marketplace offering would be great for anyone already using repeat invoicing in Xero and having to do annual price increases. You should make the users on this thread very happy. Great work.

Nigel — it's uplift-rose.vercel.app (it was in my earlier comment but easy to miss in a thread this long). Log in with your Xero account, choose the demo company, and you'll find the new options in the Rounding dropdown — "Round up (£5)" is the one you asked for. And thanks for the detail on the income-in-advance flow — a monthly SQL-to-spreadsheet-to-manual-journal routine is exactly the kind of thing worth talking about automating down the line. Richard

Thanks Richard, I have reset some prices. Can you send me the link the to the price uplift tool. I'll run later today. The "Income advance" Journal is a manual MS XLS which we update at the end of each month, then post a manual Journal in Xero. The value on the MS XLS is taken from our Legacy system. The Legacy system uses MS SQL - so we use MS XLS for the reporting in MS XLS.

Nigel — thanks for putting it through its paces, and glad it held up. Your rounding idea is now live: alongside penny and £1, you can round to the nearest 50p, £5 or £10 — up, down or nearest — so "+3.6%, round up to the nearest £5" works exactly like your legacy system. Took your suggestion from comment to production in a day, which is rather the point of a pilot. If you get a chance to re-run your demo-company test with the new rounding I'd value a sanity check from someone who knows how it should behave. And when the time comes to look at moving off the legacy system, happy to talk through how the income-in-advance side would work. Richard

Thanks Richard. I ran the bulk sales price uplift on my demo company, using a few of the 1 Month and 12 Month repeating sales invoice). Looks good. When we use the price uplift on the legacy system, we can specify a multiple for the roundhouse (e.g. round up to the nearest £5). The Xero would be great for anyone already using repeat invoicing and having to do annual price increases.

Nigel — great to hear from you, and your approach is spot on: a demo company is exactly how I built and tested this myself, and CSV-uploading a few of your recurring invoices into it will show you everything. It's live at uplift-rose.vercel.app — connect the demo company, pick the templates, set the change (e.g. +5% with rounding rules), and you get a full line-by-line preview before anything is written. Every original is kept, so any change can be undone with one click. Free while it goes through App Store certification. One heads-up: it works on sales repeating invoices only — Xero's API can't recreate supplier-bill templates, so that's a platform limitation rather than a choice. Your income-in-advance journals shouldn't be affected either way: the tool only changes template amounts, so your quarterly journal process carries on as now, just with the new values. Hi Richard, thanks for the update. I'd be happy to take a look (i'd probably use a Xero demo company). Ican "upload" a few of our recurring invoices via the CSV upload to Xero demo - then review these for "price updates". As we have a bunch of reporting based around our "non-zero" legacy system, i'll be using the Legacy system for a while. We also have to post quarterly journals in Xero for the "income in advance" as our recurring invoices are often covering an annual support period. I had a message from Xero (Product Manager) about another feature, so will be reviewing some more new features with Xero later this year

Quick update for anyone watching this thread: the tool I mentioned two weeks ago is now built and live, working against real Xero organisations. Bulk price changes on repeating (sales) invoices — select templates, set a percentage or fixed change, see a full line-by-line preview before anything is written, then apply with field-by-field verification afterwards. Every original is snapshotted, so any change can be undone with one click. Previewing costs nothing.

Juliana — a 2,000-client CPI uplift is exactly what it's built for, and I'd love to run yours with you as a free early user. Kevin — your select all/none with VAT retained by default is in. Nigel — if you'd ever consider bringing recurring billing back into Xero, I'd value your eyes on it.

UK business owner here with the same problem — passing supplier and subscription price rises through a few hundred repeating invoices, by hand, every time.

I've spent the last fortnight testing what's actually possible against the API, and can confirm what Nick and Roberto have said below: there is no in-place update — the only programmatic route is recreate-then-delete, and it has to be done defensively (in my testing the API will even part-write a batch behind an error response if a tool isn't careful).

I'm building a tool for exactly this, aimed at full Xero App Store certification: connect your org, select templates or link them to product/service codes, set a percentage or fixed change with rounding rules, preview every change line by line before anything is touched, then apply with per-invoice verification — approved status, schedules, VAT treatment and reference placeholders all preserved (my test runs show these survive intact when done correctly).

Before finishing it I want to shape it around real use cases, not just mine. I'm looking for a small number of businesses to pilot it free while it goes through certification — especially anyone facing a CPI or VAT-driven repricing. Juliana — a 2,000-client CPI uplift is exactly the scale I've designed for and I'd love to test against your scenario. Kevin — your point 1 (product-linked updates with a select all/none list, retaining VAT) is on the build list.

If you'd use this, reply here with roughly how many repeating invoices you manage and how long a price change takes you today. I'll follow up in this thread.
