Grouped (Folder style) line items in quotes with customer-visible totals only (optional visible breakdowns)
Currently, Xero Quotes does not seem to provide a way to group related line items under a single heading while maintaining a clear and customer-friendly layout.
In practice, many quotes are made up of multiple components (for example, materials, labour, and equipment), where each section includes several individual cost items. While this level of detail is important internally for pricing accuracy and cost tracking, displaying every line item to the customer can make quotes appear cluttered and harder to understand.
Suggested improvement:
Introduce a grouped or “folder-style” structure within quotes, allowing:
- A main line item (e.g. “Materials – £1,000”) to act as a group header
- Individual items (e.g. fibre, trays, tie wraps, junction boxes) to sit within that group
- The group total to automatically calculate from the underlying items
- Only the main group line to be visible to the customer by default
- The option to show or hide the detailed breakdown for the customer when required
- The detailed breakdown to remain visible internally for reporting and audit purposes
- The ability for this structure (and visibility settings) to carry through to invoicing
- Multiple groups to be used within the same quote
Impact:
- Cleaner, more professional quotes for customers
- Retains detailed internal cost breakdowns without manual workarounds
- Better aligns Xero Quotes with real-world quoting workflows

This functionality would significantly improve both the presentation and accuracy of quotes, while removing the need for current formatting workarounds.
