  1. The current “Add Payment” workflow in invoices is inefficient for keyboard users. While manual entry of payment dates has been improved, the account selection still forces users to use the mouse, which breaks the flow.
    We need a smoother, full keyboard-navigable process when adding a payment to an invoice:
    1.Enter date manually (already possible )
    2.Press Tab to move to the Account field
    3.Type the account number directly
    4. Press Tab or Enter to confirm selection without needing to click the search bar or manually select the account with a mouse

  2. Add Payments Screen on Invoicing
    We are still having to use mouse to enter the BANK ACCOUNT details. You can tab to the BANK ACCOUNT, but once there you have to USE MOUSE to enter bank account. We still have the whole chart of accounts listed in this field, Kelly has said this was fixed so I have lodged a case for that, but still not able to just tab and type enabled.

    Hey Jacqueline, we appreciate you raising this as an Idea, however the functionality of tabbing through the different accounts you can use as payments accounts is not in the Pipeline. The option to search for the desired account is available as the field is a down arrow select option. The tabbing option is to just get you to the next field. You can, however, hit the space bar to open the selection and then you can start typing or use the up/down arrows on the keyboard to navigate the options.

  3. Until recently when I saved a packing slip the default name was eg 'Packing Slip Inv - 4080'.

    Then recently after you dated your system the packing slips are now called eg 'Invoice Packing Slip Inv - 4080'.

    Can you change it back to remove the word invoice as it can cause confusion and staff may send the wrong document to suppliers and customers as both look like invoices.

    I am changing the name manually but it was simpler and clearer before Xero added the word 'invoice'

    If you can change it back that would be great and I'm sure…

  4. In the Classic Invoicing, we could set a negative item amount which was useful to make it clear to clients that we had refunded something. It also corrected the stock levels in the inventory. In new Invoicing, you can set a negative financial amount but you are not allowed negative quantities, as such it is not clear and it messes up the stock inventory levels. You can do it via credit notes but this requires more things to be issued to clients etc.

    Hi community, some time on from my last update we'd love to share further developments in this space with you here.

    Since the rollout of our new Files inbox experience, our product teams are continue to enhance and grow out it's functionality across Xero.

    For UK organisations we recently launched Smart document capture with intentions of rolling this out to all other regions soon. With Smart document capture Xero will automatically create documents for you to review from within Xero Files. So, while a contact will be required Xero will do a lot of the manual work for you and ensure the file remains attached to the created invoice 🙂

    On the flip side we also have a team that is currently exploring how we might solve for wider needs around invoice details that are captured outside Xero and how to gets these in and automate the workflow for you.…

  6. Please have a default bank account in the add payment function. Have to manually enter the number or search for the bank account through your whole chart of accounts. Old invoicing had bank accounts automatically in this box.

    Thanks for your feedback, Jacqueline. We don't have immediate plans for being able to set a default bank account for payment on an invoice, but we'll start to track this here and I'll share if there's any plans made.

  7. As a charity funded entirely by donation we receive the majority of funds via online bank receipts. Because the bank receipt is standard, I currently manually create a receipt for our donors in word which I can attach to the bank receipt transaction and email to the donor. This is very time-consuming and I think it would be a very easy fix to allow customisation as with invoices

  10. We have government clients who are asking to be sent invoices using the eInvoicing function, rather than pdf's via Xero's email function.
    Some government clients will ONLY accept eInvoices from Jan-27.
    BUT these government clients require a separate field to be added to the invoice header so that their system can recognise the invoice and link it to their purchase order.

    We are unable to comply as we alreadyusetheReferencefieldforINTERNALpurposes.

    Hi Jo, thanks for sharing this idea. We appreciate you explaining how dual reference fields could help meet government client requirements, especially with the January 2027 eInvoicing mandate approaching. After reviewing this with our product team, we've moved this idea to Not in pipeline, which means the product team have reviewed the idea and it isn't on the foreseeable roadmap. The idea remains open for votes, so we encourage the community to continue supporting it if this impacts their business. We'll keep monitoring feedback from the community on this topic.

  11. ISSUE: Payment deletion triggers uncontrolled automatic charges and reminders

    When a payment is deleted in Xero (even to correct a reconciliation mistake), it automatically re-triggers both autopay and invoice reminder notifications without any warning or opportunity to prevent it. This created a situation where:

    1. A bookkeeper deleted a payment to reconcile what appeared to be a duplicate charge in Stripe
    2. This action caused Xero to mark the invoice as unpaid and automatically re-charge an autopay client through Stripe without ANY notification, which cannot be recalled.
    3. A second client received an invoice reminder and paid again manually

    Appreciate your feedback and desire for a warning that Stripe auto pay will be triggered if a payment is removed from an invoice with a. past due date, Mandy.

    We don't have any immediate plans for changing the behaviour of how this auto payments are triggered when payment services have been applied to an invoice but will start to feel out the interest for this from the community here.

    For now we'd recommend checking for any payment services applied to an invoice before a payment is removed. If needed you can toggle off a payment service for the individual invoice before taking actions we have some help on this here just follow the second option for an approved invoice.

  12. The pop up boxes, creating a new item for example, should be able to be moved so that the underlying page can be seen. This is standard on most of the software that I use so it should be so on Xero.

  15. When using the "Add Payment" button on an Invoice, I am regularly confused because the Banks are not in the same sort order I've assigned on the Dashboard / Bank Accounts Page.

    This sort order is already applied to the "New Spend Money" page. So really it would be ideal if it matched platform-wide

    This is complicated for me since Stripe requires a new account for each platform.

    Hopefully the attached screenshot makes the request / issue clearer.

  16. To have the option to view full invoice amounts instead of changing on the summary screens after credit notes or any payment has been deducted, as makes it very difficult to check statements when it doesn't reflect the full amount.

    In the meantime, if you are looking at a specific contact then you may like to view the invoices via the contacts screen for that contact as here you can add a column for the total invoice amount.

  17. Can we bring in all Journals made in the financial year not just what we create in workpapers (I picked a job we have completed to test, to see what we might like to see & this is something that would be handy, so we don't double up JNLs), also shows that the system will talk back & forth

  18. When an invoice is fully settled by a 100% application of a credit, discount, or retainer, Xero should automatically populate the 'Paid Date' with the date the credit/discount was applied.

    It sounds like you're applying the 100% discount directly within the invoice. If the paid date differs from the invoice date you could apply a credit note which will record the paid date as the date issued in the credit note.

  19. An invoice line item can have a negative unit price in Xero but this cannot be done in the the Xero published Hubspot connector app when creating integrated invoices. See the screenshot for the validation error when trying to set a negative unit price on a line item.

    NB the validation error makes no sense either because the negative unit price entered IS less than the product total.

  20. Customers often ask for a copy of an older invoice that's been paid. When either resending or downloading it, Xero creates a new PDF that shows the invoice as paid with a 0.00 balance.

    I should be able to send an exact copy of the original that clearly states it is a copy. In fact, HMRC states that a request for another copy of a VAT invoice SHOULD be as per the original and state that it's a duplicate.
