  1. I would like to be able to check an option that automatically adds the accout number to the reference field on invoices. This would save a lot of time.
I'm sure there would be options that people would like ot autofill this field so make ot part of the settings

Appreciate the feedback and how this would be useful when your reference is driven off the contact's account number.

It's not something we have plans for right now, but do share your idea with others that you feel would find this helpful so they can add their support for your idea here. We'll keep a close eye on the interest and share of there's any progress.

  2. When copying an invoice, users can now edit the copied version, and all information from the original invoice automatically carries over. To make this process more efficient, it would be helpful to add a “Clear All” button for the quantity column. This would allow users to reset all quantities at once instead of having to manually change each line item to zero before entering new quantities.

Thanks for reaching out with this suggestion 🙂 I can see how being able to copy an invoice or bill to a draft and then clear all quantities in one go could make this workflow much quicker and easier.

At this stage, we don’t have a confirmed timeline or feature announcement to share for that specific functionality. What I can confirm is that this has now been moved to gaining support.

While it isn’t a confirmation that the feature will be developed, it does help show there is customer demand for it.

For now, quantities would still need to be adjusted manually after copying, but we do appreciate you taking the time to raise this

  3. We import our data for invoicing and only the customer name/contact is in the file. When emailing out the invoices after import, we use the "Awaiting Payment" screen but unable to see if there any new customers so we have to review the "Statements" tab beforehand. This will save time and effiencies within our company.

Perhaps, the screen columns we are all wanting could be added but with a X box so columns could be hidden if not needed, therefore collating a few thoughts at once ?

  4. Currently, when you raise an invoice in a foreign currency it will take the exchange rate as of that hour. If you later change the due date of the invoice, the exchange rate used to convert will change from the hour you raised the invoice, to the closing exchange rate on that day. This causes an issue for reporting where we have reported a revenue figure for a previous month. The invoice on a due date has been changed and therefore the revenue recognised in a previous month has changed. This makes our reports incorrect and could cause issues if…

  5. Not a massive one, but would eliminate a really annoying thing.
On an invoice screen in the reference box, when typing any data that exceeds the box, the text doesn't follow outside that window. This then makes you mouse click into that box and arrow across to confirm what you have typed was in actual fact correct.
PLEASE, can something be done about this????

Appreciate you raising this idea with us, Darren and have just updated the forum it's in 🙂

We'll get a sense of the community interesst in this here. While we don't have any plans around this at present I'll share if there's any news.

  6. Whilst purchase credit notes can be assigned to Projects, a Sales Credit Note can't be raised from Projects in the same way that a Sales Invoice can from Tasks and Expenses. Anegative invoice can't be created - the error message "The invoice total cannot be less than zero." appears.

Therefore, Sales Credit notes don't automatically link to Project costs and get marked as "invoiced".

This direct linking needs to be added.

Hi Kevin, thanks for sharing your idea, and letting us know the changes that matter most for you. While you cannot create credit notes directly from the projects module, you can still create them from the Sales menu. However, we've reviewed your idea and now it's up to the community to get behind and support it. 8. I have seen there is already a thread for this in Repeating Bills, but we recently streamlined our product codes and archived the old ones.

However, Xero is still showing all the achieved codes when you create or update a repeating! This does not happen with raising normal invoices. I can see this causing errors in the future and am surprised at the oversight by Xero.

  9. Invoice payments
Can we have a function in invoicing to record a payment the same as the new 'eye' function on bills (screenshot attached)? Would make life a lot easier as adding multiple payments to an invoice currently involves way too many clicks!

Hi team, returning to the idea here I wanted to share an update. While we don't have quick edit for in voices atm, we have made an update to the Make a payment section of the invoice which will reduce a couple of extra clicks here. Rather than clicking a button on the invoice to open the payment section, you'll find that each invoice now has the make a payment section directly beneath an approved invoice.

We appreciate this doesn't fully resole this idea and will continue to keep a watchful eye on the interest, and share if there is any news of this here. Thanks

  10. Ability to link a bill/expense to a customers invoice but not have it itemise. So you can track cost of goods per job especially for small businesses only utilizing invoicing and not having to do projects

Hi Phil, it'd be good to get a bit more detail to better understand your needs from what is currently available with billable expenses.

Right now, you can assign lines of a bill directly to a customer (rather than project). When you add the items to your customers invoice you can edit the remove the item code if you don't want it directly associated to the inventory item.

Would it be more something like the idea here that you're after with more visibility of the linkage between the invoice and bill?

  11. It would be an easy fix to stop automatically sending reminders for "unpaid" invoices when the business has not done their reconciliation for the relevant period. We find it stressful and time consuming to check all the time. I think sending a payment demand with the proviso to "ignore it if it has already been paid" is a waste of resources. It would be way less stressful and more efficient if reminders could be pending and only be sent automatically once the reconciliation covering the due date has been completed.

Interesting idea, Marc. This would add another layer of complexity to reminders, but it would be great to understand the interest around this from your idea here for our product team to consider. We'll share if there are any updates.

  12. It would be really useful to have the option to add one-time billable items to a repeating invoice and set them to be included on the next invoice automatically. For businesses that charge a fixed monthly retainer but occasionally add extra services, this would save time and reduce the risk of forgetting additional charges. The item could sit in a pending list against the customer and then be pulled through automatically alongside the standard repeating invoice when it is next raised.

Thanks so much for taking the time to share this idea with us. We’ve moved this idea into the “Gaining support” stage so that others can find it more easily, add their comments, and vote if they’d find it useful too. While we can’t promise if or when it will be picked up, the level of support and real‑world examples from customers like you play an important part in how we prioritise future improvements.

Thanks again for helping us shape what we work on next.

  13. The email template has changed which accompanies the invoice to the customer. We have a legal name plus a trading as name which people know us by. Currently the legal name is showing up boldly at the top of the email which it didn't before. We would like the trading name to be in this place so as not to cause confusion to our customers, or have the ability to remove it entirely as it has the logo there displaying the correct name.

Hi community, we really appreciate your feedback on this and hearing why you'd like to be able to change the organisation's name that's shown when sending invoices from Xero.

This is on our teams radar, and is something they may look into longer term however we want to be open that it's not in the current roadmap.

We'll continue to track and keep across the interest from our community, and if there's any news to share we'll update you on this, here.

  14. Most of our customers prefer receiving invoices via SMS. When trying to print the invoice via the SMS link, it generates a 2-3 page online version of the invoice. Can you implement a "Print pdf" option that would generate the same concise layout used when previewing the invoice in Xero? Thank you!

Great to get this sort of insight, Kelly. Thanks for sharing. We'd like to get a sense of the wider interest for being able to print PDF from the SMS invoice message, please feel free to share with any colleagues or customers that you know would find this useful so they can vote on this too.

  15. Problem
When sending Quotes and Invoices in Xero, users need a simple way to confirm who an email was sent to and keep a clear record of recipients within their email client.

    Current behaviour
If “Send me a copy” is selected, the sender receives a copy of the email, but it does not clearly include all recipients. To check who the Quote or Invoice was sent to, the user has to go back into Xero history and look up the details there.

    Suggested improvement
For both Quotes and Invoices, when “Send me a copy” is selected, include all original recipients…

Thanks for sharing your feedback on this idea and explaining how this change would help when sending Quotes and Invoices.

We can see the value in having the copy sent to the sender include the original recipients when “Send me a copy” is selected, especially where this helps with keeping accurate records and following up.

We’ve reviewed this idea and are moving it to Gaining Support so other community members can vote and add comments to share how this would improve their experience too.

We’ll continue to monitor the feedback here and share any updates if there’s progress to let you know about.

  16. When copying an invoice, it should display “New Invoice” instead of “Edit Invoice,” as it did in classic invoicing.

Currently, showing “Edit Invoice” makes it difficult to track which invoices have already been copied. Please change this so copied invoices are labelled as “New Invoice” for better clarity and usability.

Thanks Anishta, appreciate wanting more visibility when you're working on an invoice that has been copied from another invoice.

It'll be good to get a sense of the wider support for this from your idea.

We'll share if there are any updates.

  17. On sales overview (invoices), it would be really good to have "scheduled" in the "sent" column - where an invoice had been scheduled to be sent by email, but not yet been sent. A column showing the date they are due to be sent would be even better.

If not as above, it would be really handy if you could click on a tab for "scheduled" so you get a list of invoices that are scheduled, and the date they are due to be sent (like the 'scheduled' folder in Gmail).

Great to hear you're finding use in the Invoice scheduler, Xav. Being a new feature that's still being rolled out to customers working this feature into other areas like the invoice lists view hasn't been planned just yet, however it would be good to get a sense of the wider interest in this here.

We'll share if there are any updates.

  18. Under the old invoicing, when an invoice was emailed to a client for the first time, the email address used for that first invoice automatically populated the Contact card's email address at the time the invoice was sent.
This meant that if the invoice was unpaid, the reminder would be able to go to the same person who received the invoice.
However the new invoicing doesn't automatically populate the Contact's email address.
This means an extra step is needed to ensure the Contact card is updated.
If this step isn't taken, then the automated reminders don't go out.
    Automation is…

Thanks for sharing your thoughts and adding your vote to this idea! We totally get how important it is to keep your customer contact info accurate and up to date. An automatic update feature through invoicing sounds like a great way to save you some valuable time.

Right now, if you send an invoice to an email that’s not already linked to a contact, you’ll need to add that email manually in Xero. The current setup is designed to be flexible so you can send invoices to multiple emails without changing the contact record. But we can definitely see how this feature would speed things up for you.

This idea is now in the “Gaining Support” phase, which means it’s open for votes and comments. We’re keeping an eye on how much interest it gets from the community. Your vote really helps us understand how much this feature matters to…

  19. Please add a tab in the invoices category for "Paid Awaiting Pickup".

Right now under invoices there is a tab for "All", "Draft", "Awaiting Approval", "Awaiting Payment", "Paid" and "Repeating". Our business often has invoiced paid but the customers have not picked up their products. When they come in we have to search to see if what they are picking up has been paid for. A tab for "PAID AWAITING PICKUP" would really help.

  20. Attached preview window to stay in locked screen on the Left, with line items to be on the right on a scroll screen. Because if you add attachments to work from, the screen will be ready to view from the top left and if you have more than 20-line items inputted and you're working from the bottom. You can't see what the attachment is to work from. Look at pictures to see the mark up of issue. This issue is same as the bills. The bills attachment is on its on screen, but you can move it where you want…
