  1. In Invoice preview for a non- taxable line item there is a tax rate on the line item. At the bottom where tax is calculated the total tax is correct (it does not include tax on the non-taxable item). It is confusing for a client looking at the invoice, they may think they are being taxed on the non-taxable item. Can invoice preview show 0% tax on the non-taxable item and the correct tax % on the taxable item.

Hi Larina, thanks for raising this point about invoice clarity. We agree that it's really important for customer-facing documents to be as clear and easy to understand as possible to avoid any confusion.

We've reviewed your suggestion to have the Invoice preview explicitly show a 0% tax rate on non-taxable line items, while still showing the correct rate on taxable items. We can see how this would make the invoice breakdown much clearer for your clients.

Your idea is now open to gain support and feedback from other members of the community. Along with votes, we encourage others to share their own experiences and comment on how this change would help improve clarity on their invoices.🙂

  2. New Invoicing Autosave function - Does not work in Edit Mode

When you create a new invoice the autosave function is there.
However, if you approve an invoice and then try to edit it, then the autosave is not there and you must manually click update.
Can you please make this feature more consistent. Either everything is autosave or not autosave. Having some aspects will create confusion and lost data

Hi all, we appreciate the interest and hearing how you find autosave a useful feature when invoicing. At this stage, we don’t have any plans to roll out autosave to the editing of an invoice once it’s been approved.

We’ve made some recent improvements to autosave within the draft state of an invoice that we wanted to share with you - Our product team has optimised how invoices autosave to help reduce the lag, meaning invoices load and save faster. Thanks again for your feedback.

  3. id love to be able to edit the reference field from the invoice tab. Also the ability to build edit the reference field from the same tab would be helpful. We use that field to know the category the sale is in. So some of our work is shipped, or its to a specific event.

We're always grateful for your feedback and love hearing what features you'd like to see in Xero. We understand that being able to update the reference field directly from the invoice list page would save you time. While this isn't on our immediate roadmap, we're monitoring the demand for this feature. We'll be sure to post an update here if anything changes ⭐

  4. At present, using Xero's Invoicing templates, you cannot send a "Receipt" from the Invoice -> Email screen. It prints as "Tax Invoice" with a zero balance. You have to click into the payment applied and send a "Receipt" from there.

If Xero labelled a paid Invoice as a 'Receipt', then surely we could use 'Receipt' templates - as you cannot unless using an advanced docx template with custom coding.

Secondary to that, Email templates - not being able to have a 'Receipt' template means that our "Receipts" go out with Xero's "View Full Invoice and Pay" message at the bottom…

Hi everyone, returning to the idea here there have been a few changes since this was raised that may solve your needs.

Our new Invoice template editor has been rolled out to all regions which also allows you to customise the invoice title. Meaning you could have a theme that was completely dedicated to 'Receipts'.

When you want to send a receipt to your customer you would need to adjust the branding on the invoice to then send with this template.

Right now, although the online invoice would show as Tax Invoice, if you include a PDF this would show with your customised Invoice title.

Also the email template has been updated for Paid invoices so this will now just show 'View Invoice' when it has no balance to pay.

We appreciate this is not the complete solve that has been asked here but hope these changes may help with…

  5. Amendments to Invoice Templates.
If you make amendment to an Invoice, the amendment should only be applied from the date & time of the amendment & should Not apply the amendment to all your previous Invoices on your records already sent!
Note, currently the only way around this is to create a new template with the amendment.

  6. It would be great to have the ability that Xero gives you a warning when an item line in Invoicing has a $0.00 in the unit price before been approved.
We have had clients that missed completing the price and then the Invoices are sent out.
It would be handy if they got a reminder that this is $0.
    Thank you

Hey, just a quick update on this. We don't have any immediate plans for this, but we've reviewed your idea and now it's up to the community to get behind and support it. Make sure you share your idea with any colleagues that this could benefit so they can add their votes and comments about how this would help them, too.

  7. There are times I want to create several invoices within a group, but not the whole group. For example, in the Equine Lessons Group, there are contacts who take private lessons, group lessons, and/or homeschool lessons. Each contact may also be at a different skill level, therefore a different class. I would like to be able to select which contacts to invoice for Level 1 Homeschool Lesson, or for Level 3 Homeschool Lesson, or even Equine First Aid, depending on who, when , and what course is being taken.

  8. When entering a number of invoices for the same customer or vendor it would be great not having to reenter the name for each entry. Recommend the ability to "pin" a name for multiple entries under the same name.

Hi Kari, we don't have any plans for pinning a contact at present but we're still getting a gauge of interest from your idea here.

For now, you may find it useful to use the Copy to draft invoice option if you know you're entering multiple invoices for a single Contact.

As soon as you enter the contact name, you'll find this selection available from the 3 dot drop menu on an invoice. 🙂

  9. Hi,
My business often delivers the same or similar services to repeat customers. It would be useful if Xero could default the contact address based on GPS Location, and then even propose default invoice items and pricing to make the invoicing process easier. This reduces the risk of invoicing mistakes and adds efficiency into the process for invoice creation. Also helps with contact payment process improvement.

Hey Nathan, thanks for sharing this idea. Using GPS to automatically fill in a contact’s address would save you time and make invoicing on the go much smoother.

It’s a smart way to reduce manual entry and help keep addresses accurate.

This feature is now in Gaining Support. If you think it’d be useful, please add your vote or comment. Hearing from all of you helps our product team understand what matters most.

Keep an eye on this thread for any updates.

  10. In February this year, all suplier invoices that were supposed to be marked 30 days, got moved to due in March and not end Feb due to the 28 days, This needs to be changed as an exception as there will never be 30 days in Feb.

  11. Can you add a "Add payment and send invoice" button on the payment option, if the customer has paid straight away, I have to add the payment, it then exits the screen, you have the option to send a receipt (but no invoice?) and you have to go back into the transaction to send a paid invoice to the customer

Hey Olga, thanks for your engagement and for sharing this great idea with the community.

We've reviewed your suggestion to add an "Add payment and send invoice" button. We can see how this would streamline the process when a customer pays straight away, saving you the current hassle of adding the payment and then having to go back into the transaction to send the paid invoice.

Your idea is now open to gain support from other community members. Along with votes, others can now comment to share how this improved workflow could enhance their own experience with Xero. 🙂

  12. In the iOS app: Create an Invoice. When you are selecting the customer to invoice: Who is it for?

Once you tap this field, a search window appears and you start typing customer name to find.

Below the search field it would be nice to have a list of the top 5-10 customers you have create invoices for.

Hi Todd, thanks for your idea about creating a 'Frequently Invoiced Customer List' for the Xero Accounting app. We really appreciate you taking the time to let us know the changes that matter to you.

We've reviewed your idea, and it's now open to gain support from other community members.

Along with votes, others can now comment to share additional detail about how having a list of top customers directly in the invoicing screen could improve their experience with Xero. 🙂

  13. Be able to remove the csv file option when viewing invoices online. I have a template set up which gives a detailed description but only a total price as I do not want customers to see the individual prices. However if they view online and download the CSV they can see this detail. It only seems to happen when emailed to Gmail accounts as we don't include the invoice link in the email. I now have to put in 0's for each line item and manually enter the total amount.

We are continuing to gauge the sense of support in this through this idea, and I will share if there are any updates.

Hi team, it's great to hear how useful you find the quick view in bills and how this would be helpful on the invoice side to help you quickly process invoices.

We don't have immediate plans around this but are keeping a watchful eye on the interest from the idea here and will be sure to let you know if any plans are made. Thanks

Hi team, appreciate the logic and that there may be certain files that you would always want to include when sending invoices to a customer with a specific branding theme.

While it's not possible to attach files as separate documents on a theme, you could look to use advanced branding and customise the Docx template to include the relevant files as additional pages on the template.

  16. Reducing clicks:
When applying a payment to a bill or an invoice, I usually want to attach a source document (image of check, confirmation of our POS system, etc.). Right now I cannot do it while applying the payment. Right now (in 'old' invoicing/bill) I have to instead apply the payment, find myself in the accounts transaction overview, go back to invoice, click on the payment I just applied and then I have to option of uploading/attaching a document. Very inconvenient.

Hi community, thanks for your input for the idea here. While we're in the process of releasing an update for applying payments to an invoice we want to be upfront here that this does not involve being able to attach a file when making a payment, from the invoice.

Once a payment is applied, you can click within the banner to 'View invoice' then on the payment link within the invoice where you can attach a file directly within the payment transaction.

We will continue to keep a track and share if there are any plans made around this idea, here.

  17. Please change the editor in the email copy, when sending an email & creating an email template, to a rich text editor. It would be useful to be able to bold/highlight particular lines especially when invoices are late & reminders are being sent

Hi team, I know it's been some time since we last updated this idea and want you to know that we're still keeping a close watch on the support for formatting in invoices here

As shared in my last update, currently you can add basic html formatting to your emails to bold, add italics or underline text within the invoice emails you send to customers.

    • Bold = <b> and </b>
    • Italics = <i> and </i>
    • Underline = <u> and </u>

You can see my attachment below that shows an example of how these can be added and the side by side email preview that'll reflect how this is shown in your email.

Right now, this isn't something we have plans for changing but will be sure to share an update if there's any progress. Thanks

  18. The ability to mark any/all invoices as sent - even if using the copy/share function to send invoices to clients.

Not all invoices are sent via email. A tick/flick box to mark off any invoices that have actually been sent via the copy/share function would be handy. There could also be another box that would act as a reminder to follow up after 'X' amount of days if the invoice remained outstanding, in the same sort of format that follow-up emails are automatically sent for payment reminder.

Hi everyone, thanks for sharing this idea with us! We appreciate you taking the time to explain how being able to mark multiple invoices as sent could help when invoices are shared outside Xero.

We’re opening this idea for community votes and comments so we can better understand how many customers would find this useful and the different ways it could support their workflows. If this would help you, please add your vote and share more about how you’d use it—your input helps our teams understand the broader need and impact. We’ll continue to monitor the feedback and post any updates here. Thanks again for helping us improve Xero 💙

  19. To create a credit note from an invoice without applying it to the invoice.
Currently the only option is ‘create and apply credit’.
We refund first then generate the credit note. So we need to allocate the invoice to the customer receipt, then allocate the repayment to the credit note.

Hi team, as mentioned in my last update. In the way credit notes work in Xero today, generally this is a time saving mechanism, so you don't have to take extra steps to apply the credit to the invoice.

However we understand from the feedback here why this doesn't match your workflow. We are continuing to track the interest from community through this idea but don't have any plans for this at present.

Currently, from the Awaiting Payments list, if you don't need to open the invoice, you could use the 'New Credit Note' option.

  20. Instead of the currently available [Week] option in the repeating invoice reference field, which only shows the week number of the year, for example '34', instead allow the option for custom text that includes the date. For example to enable the customer to understand that the invoice being sent is for work that was undertaken during week ending 18/08/2024, which you want to display as WE20240818, you could allow something like this in the reference field: 'WE[yyyymmdd]'. This mitigates the issue of customers having to work out the date that e.g. week '34' applies to when reconciling invoices in Xero…
