  1. Allow billable expenses to automatically carry over attached supplier invoices/receipts from the original bill to the customer invoice.

    This would reduce duplication, save time, and minimise follow-ups by ensuring reimbursement invoices already include supporting documentation.

  2. Most of our customers prefer receiving invoices via SMS. When trying to print the invoice via the SMS link, it generates a 2-3 page online version of the invoice. Can you implement a "Print pdf" option that would generate the same concise layout used when previewing the invoice in Xero? Thank you!

    Great to get this sort of insight, Kelly. Thanks for sharing. We'd like to get a sense of the wider interest for being able to print PDF from the SMS invoice message, please feel free to share with any colleagues or customers that you know would find this useful so they can vote on this too.

  3. I would like to be able to 'print' or 'save' a pdf invoice to a folder of my choosing rather than to the default 'downloads'
    Currently ALL downloaded items from the internet are placed in 'downloads' so I need to move the invoice pdf to my chosen folder. It would be a excellent time saver if I could choose my own folder to save to, and have it use this chosen folder each time.

    I believe it is a software bug to rely on the default settings of the users browser to determine where files are saved to.

  4. Ability to add CC/BCC on every outgoing Statement Of Accounts to customers.
    Purpose: Internal colleagues or stakeholders allows for a clear record of who received the statement and the context of the communication.
    It enables easier response and ensures everyone involved is aware of the situation.

    We understand how valuable it'd be to have the option to CC or BCC internal staff and key stakeholders when emailing Statements of Account. You’ve highlighted how this feature would streamline internal communication, support better record-keeping, and make it easier to respond to client queries.

    At the moment, while CC/BCC is available when sending individual invoices, this functionality isn’t yet available for Statements of Account, which means relying on manual workarounds.

    This idea is now in the Gaining Support stage. If this feature would help you, please vote and share your thoughts to help us prioritise it. The more support it gets, the faster we can work on making it happen!

  5. Ability to link a bill/expense to a customers invoice but not have it itemise. So you can track cost of goods per job especially for small businesses only utilizing invoicing and not having to do projects

    Hi Phil, it'd be good to get a bit more detail to better understand your needs from what is currently available with billable expenses.

    Right now, you can assign lines of a bill directly to a customer (rather than project). When you add the items to your customers invoice you can edit the remove the item code if you don't want it directly associated to the inventory item.

    Would it be more something like the idea here that you're after with more visibility of the linkage between the invoice and bill?

  6. Quickly get invoice links from invoice list (instead of going into every individual invoice) to share in separate CRM so team can easily follow up outstanding invoices.

  7. On invoices with CIS deductions can we have a button or something to indicate if a CIS statement has been received for the deduction and then a report for which invoices haven’t received a CIS statement so easier to see who needs chasing rather than keeping a separate spreadsheet elsewhere of received CIS statements.

  8. History & Notes - Xero Mail - Log of mail sent via Xero

    Have a log or register of all emails sent from a Xero organisation with detail of content, recipients, senders, and date of send.

    Purpose: Validity when being queried by customers about a transaction, verifying payments and collecting debtor payments. Proof of interaction.

  9. We had a NEW customer that was added with no email address. This meant than when the invoice reminder email was meant to be sent the email didn't go. The system should alert you this field is empty as a lot of Xero communication is done through email.

    The only way I noticed this was in the Sales > Invoices > Awaiting Payment list there was a small 'Email missing' message.

    Would be better if this was in red letters to draw attention as there is currently no manual way to re-send the email that didn't go. (I have made…

  10. When copying an invoice, users can now edit the copied version, and all information from the original invoice automatically carries over. To make this process more efficient, it would be helpful to add a “Clear All” button for the quantity column. This would allow users to reset all quantities at once instead of having to manually change each line item to zero before entering new quantities.

  11. Sales Invoices - Awaiting Payment - show contact email as a column
    We import our data for invoicing and only the customer name/contact is in the file. When emailing out the invoices after import, we use the "Awaiting Payment" screen but unable to see if there any new customers so we have to review the "Statements" tab beforehand. This will save time and effiencies within our company.

    Perhaps, the screen columns we are all wanting could be added but with a X box so columns could be hidden if not needed, therefore collating a few thoughts at once ?

  12. How hard would it be to move the one button that we all use the most to a place where it's the most visible? I get that countless hours have been spent on the new look, but this is a tool, and it needs to be practical before all else.

  13. You can copy an invoice over to a draft invoice, and you can copy a bill over to a draft bill, but you can't copy a bill over to a draft invoice. This would be really handy for recharges. E.g., Our company has been charged for a parking fine, we would be able to add it to xero as a bill, and then copy that bill over to an invoice to the correct correspondence for a recharge.

    Allow users to add a dedicated surcharge (e.g. insurance, card fee, handling) that appears as a distinct line below the subtotal on invoices, rather than as a regular line item.
    Current Limitation

    At present, any insurance recovery or surcharge must be entered as a standard line item. This:
    Makes invoices look cluttered when the fee is not tied to specific products or services.
    Can cause confusion for clients, who expect insurance/fees to be displayed separately (similar to how shipping or payment surcharges often appear).
    Requires manual placement and formatting on each invoice, reducing efficiency and consistency.

    Hi Joshua 👋It's really helpful for us to understand having the ability to add a surcharge or insurance line to invoices is a desirable option. We understand not having a dedicated field for surcharges or insurance can make it difficult to clearly communicate these extra costs to your customers. Currently manually adding a line item for the surcharge or using a custom branding theme to include the information are the only options💡Right now, we're not planning to add this as a specific feature, as our current focus is on some other features that will benefit a wider range of our customers, however we will monitor this for votes and comments from other users 📣

    Hi community, some time on from my last update we'd love to share further developments in this space with you here.

    Since the rollout of our new Files inbox experience, our product teams are continue to enhance and grow out it's functionality across Xero.

    For UK organisations we recently launched Smart document capture with intentions of rolling this out to all other regions soon. With Smart document capture Xero will automatically create documents for you to review from within Xero Files. So, while a contact will be required Xero will do a lot of the manual work for you and ensure the file remains attached to the created invoice 🙂

    On the flip side we also have a team that is currently exploring how we might solve for wider needs around invoice details that are captured outside Xero and how to gets these in and automate the workflow for you.…

  16. When invoicing, it would be useful to have an “Approve, Email, and View Next” button. This feature would streamline the process of reviewing and sending multiple invoices, especially when handling large batches.

  17. Your NEW credit note is no use to us as it does not show the client account number (not the bank the contact account number). If you are re-designing a layout at least keep the info you could previously see! Update before this is mandatory please

  18. The current “Add Payment” workflow in invoices is inefficient for keyboard users. While manual entry of payment dates has been improved, the account selection still forces users to use the mouse, which breaks the flow.
    We need a smoother, full keyboard-navigable process when adding a payment to an invoice:
    1.Enter date manually (already possible )
    2.Press Tab to move to the Account field
    3.Type the account number directly
    4. Press Tab or Enter to confirm selection without needing to click the search bar or manually select the account with a mouse

  20. To be able to add an end date to a repeating invoice which is before the "next invoice date". Often clients do not receive notice that a repeating invoice will not be due until after the latest invoice has been sent. They don't want to delete the repeat invoice so they can see a history of previous repeats. Currently can't set an end date that is before the "next posting date".
