  1. If Xero Expenses' OCR reader doesn't find a date in a photo/receipt, it sets it as 19 Feb 2022 (from reviewing a number of Expenses in my organisation submitted in December 2022 that don't have visible dates).

    It would be more helpful to set the date as the day the Expense was initially created.
    The submitter is likely to have incurred the Expense on the day they take a photo of the receipt.

    As it currently is, if a period isn't locked and the Approver isn't checking dates, they may inadvertently post entries to the wrong period, even a historical/filed…

  2. Bring back 'Save' prompts when changes are made but not saved before you navigate away from the tab.

    This was previously existing functionality and has now been removed.

    Hi there, we appreciate you raised this a little while ago. This isn't something we have plans for in the near term.

    Not getting a lot of support from other members we’ll soon remove this from Product ideas. If it’s still highly valuable to you, welcome to start it again and see if it gets renewed interest.

  3. UK. We employ temporary staff who do not accrue leave while taking paid leave they have previously accrued. The only way to reflect this in Xero is to manually adjust the leave balance. I would like to be able to add a pay item of paid leave that does not accrue further leave.

  4. Recommendation for the Payslips: Can Xero add some features on the payslips to include employer PAYE Reference. This is quite an important element, and most of the other payroll software provides this information.

    Also, can Xero include some options to include some colour in the payslips, such as changing the grid area to blue colour

  5. We have requested Downloadable P11's to be made available so we can correct a mistake a previous Xero payroll provider made.
    This is not available in Xero which is causing considerable inconvenience and a lot more manual work.

    This would be a really good idea if this was brought into the payroll package.

  6. We have up to 100 employees at certain times of the year, and it would be easier to unselect employees we are not paying, than select employees we are paying. A "select all" option would be good.

  7. When entering an expense claim you can only assign it to a supplier if you paid with company money. If you pay with personnel money the supplier field is only free text and doesn't list suppliers to choose from.

    I would like it so that we can search for suppliers and see everything that has been purchased from them no matter if it was paid directly to them or from one of our team members' back pocket.

  8. Currently we have employees and contractors paid fortnightly through payroll. When printing annual earnings certificates the cert list contractors as employees rather than contractors and scores xero's for kiwisaver deductions and other taxes etc.

    We need to be able to print different annual earnings certs that reflect info for employees, and reflect info for contractors with different titles on cert as contractor, not employee.

  9. Show pay items (hours) per day on pay slip. So the employee can check hours paid on given day in the pay period and are able to easily check their pay/hours against there records. In my case employees don't have access to timesheets in Xero but even if they did would make it easier to check in one place

  10. With the payroll linking RTI with HMRC (UK), it would be really helpful if the pensions could do the same, not just with Scottish Widows but more providers.

    This would really streamline the whole payroll process and save so much time.

  11. If a pay increase is implemented across the board then currently, the only way to amend employees salary amount is to enter each record manually. If you have a large number of employees this is extremely time consuming.

    If a salary scale was used and assigned to employee records, it could be uplifted by a percentage and all records would automatically update.

  12. Search by Employee across all of Payroll reports. We have 110 - 120 staff, currently we have to scroll down to find the right employee, can we have a standards search by employee. ie/ start typing their name and then hit enter

    Hi Belinda, to check in on your idea here are you looking for similar to the Pay History report that allows you to search the employee versus drop down and select as you do in the Leave Transactions report? 

  13. Be able to integrate the payroll calendar on Xero with iCal, so approved annual leave automatically appears in my iCal without having to duplicate entries, and updates if someone changes their leave on Xero.

  15. Xero Expenses - be able to change an expense claim submitted by an employee through the Expense App as Personal money (reimbursable) to Company Money (non-reimbursable). Currently within Xero Expenses, you can change the 'How did you 'pay' on an employee's submitted expense only if it was processed as Company Money (non reimbursable). It would be good if we could also do it the other way round in that if an employee submits an expense on the app as Personal, it could be changed to Company.

  16. Employees cannot enter the number of kilometers to be claimed back in timesheets. A fix is to use the unit Hours instead of Kilometers. However in the Xero Me app they are only allowed to enter up to 24 Km (hours).
    More than 24 units are allowed to be entered directly into Xero but not through the Xero Me app.

    Interesting to hear how our customers are using some of our features to meet their needs. Not really being the original purpose of this feature, we want to be open that this isn't something we have plans for at this time.

    If you're in need of recording tracking for employee's, we'd recommend exploring the use of Xero expenses through which you can record and track employee mileage. With expenses being available with Xero Me now this also means you'd be able to record this via the app.

  17. Given that there is already a link between Pay Runs and Timesheets, it would be very helpful if the Pay run could recognise what days have time entered on the timesheet then it would recognise if an employee worked on a Public Holiday and then by default record 1.5 times and add the lieu day to alternative holidays.
    This is something that my clients miss regularly as they expect Xero Payroll to do this for them.

  18. When payrun is done in Xero, the payroll payment file will be automatically sent to the bank (without authorisation). This could save the time of exporting payment files and import payment files to the bank.

    Hi Sung Tak, appreciate you raising this with us however we want to be upfront that we don't have any plans around this. This process requires user input as a means of validation. If automated it could cause issues when making corrections to pay runs, or if a pay run was accidentally posted.

  19. Payroll functionality around multi day leave requests.

    A number of employees work 4 days , and xero divides the days into 5.
    The problem is when a leave request for lets say a day and half sick leave - they cannot manually enter 12 hours (8 +4) or 10.5 (7 + 3.5) unless they do Seperate Leave requests per day.
    I have a collegue doing 2 weeks of working 6 hours and taking 2 hours each day on annual leave. I ended up having to make his leave request because I am admin.

  20. Currently leave requests must be approved before the relevant pay run is commenced.

    If we discover that leave needs to be added at any point after the pay run is commenced, the entire pay run must be deleted, along with any progress made.

    When processing payroll for businesses, I occasionally discover leave should be included only while I'm actually processing the pay run.

    I'd like to have a clone of the leave creation UI as an option while within the pay run process itself. This would show leave balances for the employee, and only have an option to Approve or…
