XPH - Add a column or notification to view new client file uploads across all organizations
I have many clients so it is time consuming to go to each client organisation and into Files just to check whether there are new uploads. It would be great to have a dashboard in Xero HQ that showed how many items were in a clients Xero Files inbox. Or at least get notified when a client has uploaded to the Files inbox.

Files - Option to skip review step
There is a new feature in files called Review, is there a way to remove it as it is something our company will never use and it gets in the way.

The suggestion is to add an option to bypass or disable the Smart Document Capture review process, so documents can be stored directly without needing manual review.

Files - Option to retain original files in the file library inbox after attaching to transactions
Have an option to keep a file in the library such as Term & Conditions to add to Quotes or have a default Terms section instead of an empty box.

Smart document capture - Defaults when reviewing files
Most of our receipt uploads are treated as spend money, using our main bank account.
Every time I review a receipt I have to select the document / transaction type and the bank account used.
Having a default with the option to change it would be good, or simply remember the last used values.3 votesHi Roger, appreciate you sharing your workflows here.

Files - Automatically compress or reduce file sizes of captured image uploads
Noticed the new files are saved as large sized images e.g. 4mb. The previous files reduced the file size to around 100 to 200kb. Handy to have the reduced file size as if downloaded can save to PDF and easily upload to other apps e.g. Job apps. Large files are sometimes not accepted to these apps. cheers

Ability to Read Email Content
Email forwarding to Xero Documents (formerly Xero Files) does not currently capture receipts or invoices embedded within the body of an email. HubDoc is able to do this, and this gap is one of the main reasons I haven't been able to move clients fully to Xero Documents and away from HubDoc.
There is also an issue with setting up automated forwarding from Gmail. Google requires an authorization code to be sent to the forwarding email address before forwarding can be enabled. Because Xero Documents cannot receive or display the email itself, there is no practical way to retrieve that…

Files - Option to exclude automatically attached third-party documents from Xero Files library
Since the latest updates to Files (which I appreciate is building on AI), Xero Files now contains PDF's of all docs uploaded from Dext for example. Some of my clients have thousands of these docs, they're saved against the data entry and they're filling up files for no reason I can see. Might also cause storage issues down the line doubling up these PDFs. Could we get an switch off option?
2 votesAppreciate you sharing this idea. We understand the request to prevent third-party transaction attachments from automatically appearing in Xero Files. An option to manage this behaviour could help reduce duplicate documents and keep the Files library easier to navigate.

Files Inbox - Attach to an existing transaction
From the Files Inbox, there is a way to attach the file to a NEW transaction, but please allow it to be attached to an existing transaction too. This is especially useful when there are lots of files in the Inbox.
16 votesAppreciate why you'd like to be able to attach a file to an existing transaction from the detail you've shared here, Hitesh.
This isn't possible from the Files inbox atm, however as you may already be across - from the flip side you can attach a file from the Files inbox from within the transaction.
Do get this means having to go to the transaction to perform what you're asking and we'll get a sense of the interest in being able to attach to an existing transaction from within the Files inbox, here.

Xero files - Add an Invoice Number field
When uploading invoices via Xero files, it would be nice to have an invoice number field as well as a reference field. It seems like an important field to miss out as it requires manually adjusting afterwards. I prefer Xero files to Hubdoc as it populates the description fields and automatically splits costings. This would be the cherry on the cake for a great tool in Xero.
2 votesHi Rhys, thanks for sharing this idea. We can see how having an Invoice Number field within Xero Files upload could make it easier to create transactions.
For now, if you're looking for automatic extraction of invoice details, Hubdoc can capture information such as the supplier, invoice number, date, and amount from uploaded documents before publishing them into Xero. We appreciate this doesn't help when you're managing documents directly within Xero Files.

Files beta: upload from library
When uploading files from library inside contact's file tab (i.e. attaching monthly statement), xero defaults to selecting from archive which is time consuming because of having to trawl through every file there. Please default to selecting from inbox which should only contain files that haven't been dealt with.

This is now open to others that may find this useful, to vote and share examples of how it would help, so we can understand the broader need. We’ll continue to monitor the feedback and support for this idea and update the thread if there’s progress to share.

One thing missing when creating a bill from the new files experience seems to be the option to add last items which is available from the bills section. Including this option as well as the other suggestions regarding default account and tax rates pulling from the supplier contact would increase my usage of this new feature.1 voteHi Tara, thanks for sharing this idea with us!

Dropdown for organisations instead of having to log in to capture a receipt and send to Xero app
Having to login to the specific Xero org on the app first before being able to send a captured receipt to the app is time consuming. Is there a way to have a dropdown menu on the 'Send to Xero' screen of all my organisations so I can select the appropriate one. Similar to when a Xero bill is sent to Xero desktop. Currently the organisation name appears anyway but there is no way to select a different organisation

The suggested experience would add an organisation dropdown to the Send to Xero screen, allowing you to choose the destination organisation directly—without needing to open the app and switch to that organisation first.

Reconciliation - Auto-match scanned receipts to bank transactions for easier reconciliation
Xero already scans invoices to create drafts, which is a huge time-saver.
Extending this capability to receipts would add even more value.
Specifically, if receipts sent to a Xero mailbox could be scanned and automatically matched to the right transaction, it would save significant manual effort, reduce errors, and streamline reconciliation. This small enhancement could have a big impact on efficiency for businesses handling large volumes of receipts.

Client Signature - Remove non signature images
Automatically remove jpeg images that are TINY in size. Every morning I have to delete over 40 files which are just images picked up from a clients signature.

Files - Option to sort files by 'Associated with'
To activate the option to be able to sort files by ASSOCIATED WITH in addition to SIZE and UPLOADED. The enormous amount of files now sitting in Archive must have all three columns active to give us an option to locate our files ASAP.

US Tax - Certificate of Insurance (COI) Management | Compliance
While Xero currently allows documents like Certificates of Insurance to be uploaded to a contact, it would be much more effective to have a structured compliance tracking feature similar to how W-9 information is managed. This would allow users to input and track key insurance details—such as policy type (e.g., General Liability, Workers’ Compensation), coverage limits, and expiration dates—directly within the vendor or contractor profile. Xero Files - Ability to tag files
File TAGGING! Can you please please add where we can tag files. Like ok tag to project tag to contractor. Tags! Tag projects to receipts and hires.
If you add "tags" or labels to files and projects that'll make less clicks for everyone! and so much faster. Allow accountants to request documents from clients directly from Xero.
Example:

Files - Add Expiry/Renewal Date and Automated Reminders
Ability to add an expiration date or renewal date to files (Contract end date, Tax clearance certificates etc.) with reminders on when documents are up for renewal.

Invoicing - Include contact address details when exporting invoices to CSV
Invoice Address. When exporting invoices to. csv file it would be beneficial to have customer address in the file also
