Hi everyone, thank you for continuing to share your feedback on invoice subtotals.
We know this is a feature many of you feel strongly about, and we genuinely appreciate the time you’ve taken to explain the impact on your workflows.
While this idea has been closely considered by our product teams we want to be upfront that at this point we don't have any foreseeable plans for developing the ability to add subtotals in invoices.
As previously shared current options that you may want to explore include;
- adding a description only line for each section where you can reference and explain the subtotals for a section of lines (leaving the Qty & Price blank),
- exporting the invoice as a PDF and editing it externally, or
- exploring invoicing tools in the Xero App Store that offer more extensive services

Hi team, thank you for your thorough feedback in this idea. We appreciate there are different preferences our users have when approving invoices in Xero and just to re-highlight - there are now keyboard shortcuts available for most action buttons in invoicing to help navigate and quickly select the option you prefer rather than the drop down selection.
Though we understand it is not the news you're hoping here we want to be transparent that there are no plans at this stage to add the ability to set your own default for the Approve button in invoicing.
We will continue to track the support this idea keeps building and be sure to let you know if there is any change to the status of this idea, here.

Hi everybody, coming across from the previous forums we know this idea has a lot of interest.
There is a way of using Xero's reports to accomplish what you're asking here and save the format so you can easily access and send this report to your customers outside of Xero.
Running the Aged Receivables detail report you can choose how many ageing periods you'd like to show and set the period to '30 days'. Simply Filter the report by Contact and Update to run.
- Once you've got it set up, save as Custom so you can easily access this format anytime
- If you deal with groups of contacts this also means you could Filter for multiple contacts to combine the view into one report rather than multiple customer statements 🙂
- Export the report to PDF, where you can send to customers from your email system outside of Xero

Thanks for everyone's support in this idea. We understand the strong feelings expressed in your comments, where an invoice can be accidentally approved when still needing to go through a review or remain in a draft status.
As suggested by some users in this thread, if this has already occurred an option for now would be to add a note to the history of the invoice so other users are aware of the action and what needs to be done, or alternatively Void the invoice and copy to a new Draft invoice (consider if you need to change the invoice # before voiding the approved one, so you can use this on the new draft invoice).
While not a resolution for this idea, to avoid mistakenly approving an invoice an option could be to make use of the keyboard shortcuts that are now available in invoicing such as Save &…

Hi community, we thank you for your feedback on the value of being able to flag a Sales invoice as in dispute. We know a clear way to mark these invoices would be helpful.
Similarly to our update for Supplier invoices there are a few options you may want to consider to currently highlight Sales invoices in this situation;
- Add a note to the invoice to serve as a clear internal reminder of the dispute.
- Utilise tracking categories: Creating a specific tracking category like "Disputed Invoices" can help you filter and report on these items.
- Update the reference to add a notation such as [reference number] - 'In dispute'
While we know these aren't perfect solutions, we hope these may help some in the conversation right now.

Thanks for highlighting this improvement, Karen. We understand the request to make Send Email a more prominent option on the invoice screen. This could make it easier to send invoices without additional clicks.

Hi community, we appreciate your continued feedback on having different default email addresses for various transaction types in Xero contacts, and the manual steps involved to ensure you're communicating with the right person for different purposes.
Currently, one way of managing this in Xero would be to include every additional person on a contact record in emails, and then removing those that aren't required when sending each transaction. However we totally get this isn't the ideal solution.
While being able to set different email addresses for differing transaction types is something we want to address longer term, like the idea for multiple addresses work for this feature requires cross-collaboration between teams in order to achieve.
Once the multiple addresses feature is live this is something we'll be able to consider more closely and provide further updates on.

Ability to have this function should rate higher than multiple addresses since all communication with clients and suppliers is by email and they often have specific email addresses for invoices, statements, PO's, remittances to align with how they are processed in their system and who manages that.
Also, the fact this has been an issue for over 3 years and has a high volume of comments just shows how important it is to your users - does that count for anything?

Hi everyone, thanks for your feedback and support regarding automated payslip emails. We appreciate you sharing how this feature would improve your workflows.
The product team has reviewed this idea and confirmed that this is something they’d like to work toward in the future. Although it isn't on the roadmap yet, we've moved the status to Accepted. We'll keep you updated as things progress.
In the meantime, payslips can be emailed manually after processing each pay run. This means if you post pay runs in advance, you may still need to log back into Xero on payday to email them.

Another user request approaching 3 years old!
Given the STP and new Payday super requirements requiring multiple steps each payrun - and sometimes across multiple payruns if weekly and monthly employees - it's easy to forget to do this. Also, as a bookkeeper for multiple businesses this is a daily task and especially onerous when paying in advance pre Xmas break. Having the option to send straight away or delay would be very useful.
Given most user requests end up on the backburner with virtually no response from Xero apart from vague "it's in the pipeline" or "waiting for votes" - no wonder we are all frustrated!

Agree, more flexible payroll (and other) report formats are needed for Workcover, payroll tax, STP reconciling and portable LSL (LeavePlus) reporting.
Although required annually, I compile the numbers quarterly to make sure we are within the prescribed thresholds so adjustments can be made if needed. This usually has to be done outside Xero.

I think this is also covered in other forum posts about part time work patterns and time sheets as they are related so it's up to Xero to take notice which I don't believe really happens.
This should be so simple to implement for AU users as well.

Xero is not keeping up with the times given how many employees have flexible and part time work patterns.
Given part time work patterns are available in other regions - the question is - why not AUSTRALIA!

Xero has always had gaps in the report formats available that don't keep up with expanding user needs and regulatory requirements, old and new.
Compliance reporting for payroll is complex across multiple portable LSL's, Workcover and Payroll Tax with all having different inclusions and exclusions and some vary across states but having to keep downloading multiple reports to Excel to manually collate the correct data is time consuming and open to making mistakes, especially for staff not fully conversant in all the rules.
While some reporting is only required annually, portable LSL is quarterly and even for annual, figures need to be collated periodically to ensure reported estimates are still accurate to avoid penalties and adjust estimates for premium calculations (Workcover).
Come on Xero - please put some effort into what your users are crying out for instead of "cosmetic" improvements which don't help everyday functions.

Hi Rondene, thanks for bringing this idea to the community. We can see how having a dedicated Credit Notes tab within a contact's activity could make it quicker to review credits without searching through invoices, bills, or the full activity history.
At the moment, credit notes are included within the contact's activity and can also be filtered from the main Invoices or Bills lists.
I've updated the status of this idea to Gaining Support so we can continue tracking interest from the community. If there are particular workflows where a separate Credit Notes tab would be most useful, we'd love to hear more about them.

Both Sales and Bill credit notes are hard to enter (too many clicks to get to the right screen) and hard to find (having to use a search filter) - a key function of accounting should be more accessible.

Hi everyone, we just wanted to provide a quick update on this one as the upcoming payday super changes will be top of everyone's minds.
The current approval step is important for both cash flow management and security and the community has also suggested a few different ideas on how to approach this:
- Setting up multiple auto super authorisers - currently in discovery
- Super Payment Authorisation via Xero Verify - currently gaining support
If either of these ideas reflects what’d work best for you, please add your vote, to help us get a clearer understanding what matters most to our community.
When we’re through the thick of EOY and initial payday super is rolled out, our product team will circle back around to these ideas to review.

We already get an email from Xero to say the code has been sent by text so why can't it include a code or even a button link to verify approval as some bank apps now do when logging in.
Otherwise, using an authenticator app like Google or Authy would be better, We shouldn't have to use Xero Verify which is only for Xero when we already use the other authenticator apps for other MFA logins.
We shouldn't have to use our personal mobile number for this.

Hi team, as you've noted there isn't a way to select multiple specific leave types in the Leave Balances report.
Right now you could run the report for all leave types, and click the leave type column header to sort the leave types together.
From here if you export to Excel you could then delete the rows of the leave types you don't want, and recalculate the totals such as amount.
Alternatively, you can select one leave type at a time and run the report for each required leave type.
We'll keep a track of the volumes of support this idea receives here and share if there are any updates.

Agree with both posts below - Xero is not listening to it's core user base and just to rub it in, they've sent another email about the improvements they've made that no-one asked for and another about using 3rd party apps to save time but all have a cost on top of the Xero subscription which a lot of SME's can't afford or justify.
