  1. At present it is impossible to link a payroll item to an Asset Account in GL. This is a limitation that is wrong and should be easy to fix. It is wrong because in some cases the wages are capitalised (for instance when the resources are used in full or in part to construct capital assets). Sure, it is possible to post a journal to move costs from P&L to a Balance Sheet account but it is cumbersome and error prone. I note, a majority of competing products do not have this limitation.

    Hi community, while we appreciate you sharing in the idea here we don't have any plans for developing this capability in the global Pay run product. Instead, we'd recommend using a manual journal to record this.

  2. Are you likely to increase the number of employees you can have in Xero to more than 200? We don't want to move from Xero but may have to if the numbers can't be increased.

    Hi team, while we appreciate you raising the idea here, the cap of processing payroll for 200 employees is to prevent any issues with your user experience - Going over this could slow down the payroll function, and create difficulties when you run payroll reports.

    If you do need to process larger payrolls, we suggest taking a look at our third-party providers in the Xero app store that can serve your needs and handle larger payroll data.

    I wanted to let you know that the product and tech team have been following this thread and have been listening to your interest in the functionality. We do understand the frustration it’s causing when dealing with a large number of invoices awaiting payment. Your time is valuable, and the challenges you’ve encountered are not reflective of the seamless experience we aim to provide.

    However, we are not able to build everything at once. And as a global business with many requests for our different regions and needs, when it comes to payments, we are prioritizing first improving the online invoicing experience to allow more payers to pay online. That is the most critical functionality as we know those using online payments, get paid faster. There are still some critical needs here.

  4. Hello,

    I wanted to take a moment to share a suggestion that I believe could significantly simplify our payroll process. It involves the implementation of a bulk upload feature, which would allow us to handle payroll data in a more efficient manner. We will need a template that contains essential details for each employee. These details may include the employee's name, rate of salary, and various pay items relevant to their compensation. This would reduce the time and effort invested in processing payroll.

While we understand wanting to see developments, as you may have recently read - We’ve been offering Pay Run to our Global Edition customers since 2011 to provide basic payroll functionality. However, over the years, we’ve focused our efforts on making solutions available which offer enhanced features and a deeper integration with the Xero platform, such as Xero payroll in AU, NZ and UK, we've also seen newer payroll solutions in regions available through the Xero App Store (such as Gusto in US). 

    With this focus, we’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs…

  5. It would be ideal to have the option to add Wise as a card payment provider for invoices (instead of Stripe). Wise are now offering cheaper rates than Stripe and this would be a good option for some of our clients who pay our invoices by credit or debit card.

    Hey community, thanks for your continued interest in this idea.

    From the 4th September, we removed the option to add Pay with Wise to your Xero subscription for new sign ups, and we made the decision to completely remove the feature from 26th February 2024.

    Our team is hard at work on an alternative bill payment solution that uses Open banking. 

  6. I have multiple 2018 bills to pay generated from the US Xero Payroll feature that I can not delete nor apply credit memos to. Those were always "locked" bills. I've been trying to void or zero out these bills for years and apparently, there is no way to actually do this. I've spent hours with customer support to no avail. Please put something in place to allow users/me to accomplish this task. My AP bills are messy and my cash basis balance sheet is messy. Journal entries are not a solution as the bills will never go away using this…

    Hi team, we appreciate your input in Product Ideas and the idea shared here. Since US payroll was removed from Xero in 2019 we don't have any plans for making changes in the product for this.

    We understand it's not the ideal solution however if you have tax bills or payroll transactions that weren't marked as paid before Payroll was decommissioned, you can post manual journals to adjust the balance of the relevant accounts.

    While you can post manual journals to most accounts in Xero, there are some exceptions such as accounts payable. You'll need to use other methods to make adjustments to these account balances we have some help to guide you on this in Xero central.

  7. Get rid of this stupid MFA on EVERY sign in.
    It used to be monthly which was bad enough, now it is a constant pain having to use an authentication device just to get access to Xero. MFA is a complete waste of user time. My bank doesn't use it and I trust them not to lose my money, so why does accounting software need it?
    If the ATO insists on it with their stupid STP, then link it to STP and nothing else.

    Hi everyone, we appreciate your feedback about multi-factor authentication, and this has been shared with our teams internally. Security and protecting your data is highly important to us and we want to be upfront that we don't have any plans for removing the requirements for logging into Xero with multi-factor authentication.

    That said, we're continuing to improve the experience and offering more ways to verify your identity when logging into Xero.

    I have seen lots of ideas around this same topic but worded slightly differently.

    Essentially, the access rights are far too high level causing users to have access to tasks and rights to delete, approve when they shouldn't

    Appreciate your looking through the forums and existing ideas, Tracy. 

    Although it might seem quite specific it does help to have detail of the specific permission sets and what is missing in the existing roles shared for each idea, and get a sense of the users that are interested in these differing permissions.  

    As you can likely imagine, with the number of features and different roles & responsibilities staff may have across businesses a matrices of options for every single permissions across every feature in Xero would be quite complex and cumbersome when  trying to assign what a user can or can't do in your organisation. 

    While we don't have direct plans for this level of incremental control, our product teams are definitely interested to consider the makeup of permissions within a given area or feature of Xero. I'd urge you and others here to add your support to…

    Hi team, thanks for sharing your interest in a payroll product for Canada. We don't have any plans in the near term for developing specific payroll products for other regions, and I will move this idea to Not planned. 

    If you've been using our Global Pay Run product you may have recently received communication of changes we're making that we believe will help you manage your payroll more effectively. 

    • From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date. 
    • Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run.

    Hi Terry, we don't have any plans for extending the payment services we offer with Xero in the near term. However if you have a payment service that doesn't currently integrate with Xero you can see if they have a custom URL with placeholders that can be applied to your invoice template in Xero. 

    We have a bit of information on this here, however you'll also need to touch baser with Zeller to request the custom URL that you can include, from them.

    Hi all, appreciate the interest and rationale in wanting to be able to see under each history which invoice template was used to send the invoice.

    We are working on improving new invoicing history that'll eventually include when branding of an invoice has changed.

    However, we want to be upfront that recording the name of the branding template the invoice has been changed From and To is not something we'll be developing in the near term.

  12. Before posting a payroll, when you run the "Payroll Activity" report, include the leave entitlements about to be posted not just the pay items.

    So when you download a report to do a final check before posting payroll you can check ALL payroll activity not just half of it !

    Hi Kristen, appreciate you sharing in product ideas here. While this isn't something we have plans for I wanted to confirm you can currently check leave accruals by clicking on the employee's payslip prior to posting the pay run.

    Once the pay run's posted, before it's filed, you could run the report and find any issues, and revert it back to draft to make changes if necessary.

  13. The email feed on clients account activity needs reinstating. If people send a quote mid communication via email rather than on xero or someone emails in a query about an invoice this is now getting lost rather than recorded on their account!

    PLEASE REINSTATE this was essential for credit control and communication between team members regarding clients!

    Hi there 👋, as you may have received communication of - we made the decision to retire our integration with Mailchimp, MS Outlook, Google Contacts and Hubspot from 10 Sept this year. We know the integration wasn't delivering the experience our customers expected, and retiring meant we could sharpen our focus on integrations that'll provide more value. We don't have any plans for bringing this back.

    If you’d like to continue using an app integration, we recommend you visit the Xero App Store to determine whether apps like Zapier or Make would be a good alternative for your needs, or alternatively visit Xero Developer to find out more about building a custom integration with Xero.

  14. Lightyear now has receipts but the import in Xero as Invoices. Can we set this up to come in as Spend Money as Hubdoc doesn't have approvals or the ability for the uploader to code without being able to publish.

  16. I'm an experienced chartered accountant relatively new Xero user. I'm flummoxed by the inclusion of payroll transactions in the "bills to pay" section. While the detail is hidden from some users, some personal payroll transactions (related to overpayment) have become viewable by users without payroll access. Even summary transactions should not be viewable by people without payroll access.

    All payroll transactions should be in a separate section to avoid confusion and any breach of privacy.

    I cannot, for the life of me, see the rationale for including payroll transactions in this area in the first place.

    Hi Steve, appreciate it hasn't been too long since I last updated you here. I wanted to round back with an update as we;re making changes to Global Pay Run. Meaning this product will be retired from April 2026.

    With no plans for developing Xero payroll specifically for other regions at this time we'll shift your idea to Not planned, however I'd recommend exploring our Xero app store where we have multiple payroll app partners that integrate with Xero and could meet the needs of your business.

  17. Ability to remove value from online quote. This will allow templated quotes to be used where a total value isn't used and individual pricing is set per task. Dependant on the job there are specific rates per brick etc. Which is calculated at the end of a job bet the rate is set at the start therefore we need people to accept our quote (rates) but the total (quantity) wouldn't be determined until job completion.

    Hi community, while we appreciate your idea here we want to be open that we don't have plans for implementing this change any time in the near term.

    If you'd like to enter a quote with rates and no quantity an option could be to specify the detail of the calculation for jobs in the 'Summary' field.

    You could set up a separate branding theme to be used specifically for your quotes to alter which fields are shown, and when entering the amounts you'd use the Price field to signal the rate and leave the Qty. field as '0'. This means you'll still have a price set per line of your quote but the total amount of the Quote would be '0' and determined at the completion of the job when you copy the quote to an invoice and enter the Qty.

    Hi all, returning to the idea here I wanted to provide an update in light of recent communications you may have received - We’re making some changes to Global Pay Run to help you manage your payroll more effectively;

    - From 23 July 2025 Global Pay Run will become read-only. You'll still be able to see all your past payroll information, however you will not be able to process any new pay runs after this date. 

    - Global Pay run will be retired after April 2026, at which point you'll no longer be able to access pay run. 

    This also means that we will not be making any more updates to our Global Pay Run product, and I'll move this idea to Not planned.

    Between now and 23 July, as mentioned in my last post the best option here would be to use a pre printed letterhead to print…

    Thanks for sharing your idea with the community here, Rachel. I see it hasn't really picked up interest and with the ability for employees ti submit leave requests via the Xero Me app that is accessible from a mobile device we don't have any plans for developing SMS capability.

  20. The variance columns in the current P&L reports don't make sense - increased costs show as positive variances, despite the red arrow. The formula is fine for revenue and profit, but needs to be the other way round for costs. Is it possible to have this, or to add a column with different formulae for different sections?

    Hi team, to confirm how the Budget Variance report works currently it'll show;

    • Green arrows for favourable amounts
    • Red arrows for unfavourable amounts
    • Increases in the amount from budget will have an upward arrow
    • Decreases in amounts from budget will have a downward arrow

    We appreciate your feedback here however being open, there are no plans to change the way this logic is applied in the report, or to extend the arrow colouring across the figures/amounts in the report.
