Account Transactions Report - Hide Archived Accounts
The attached post indicates that Xero has delivered the ability to hide archived files by unticking the "Show Archived" box in the account transactions report and then saving it as a custom report. I have tried this, but it doesn't work. Every time I go into my custom report which should have the Show Archived box unticked it is always ticked and the archived accounts are showing. Could you please look at this again.
6 votesHi Sally, appreciate the image back to the earlier update you're referring to here. Is it possible that the custom report you're using was saved prior to the update and needs updating with any new setting changes and then saving again to hold these for future use?
If you're still finding the same behaviour, I'd highly recommend raising a case with our team of specialists at Support so they can dive into why settings you've saved in a custom report aren't being applied. Thanks

Contact | Note that Purchase Order Required
The ability to flag a customer as "purchase order required". We have a growing number of customers who won't pay us unless we put a purchase order reference on the invoice. It would be good if we can have a flag in the customer that says they require a PO and therefore when we raise an invoice to them it pops up a reminder message.
9 votesQuick turn around, as we were able to roll this out rather fast 😁!
You should all have access to the new Notes feature I mentioned - Found at the bottom of the Contact details section when adding or editing a contact.
As I mentioned, this’ll enable you to enter text such as a requirement for a Purchase order that you’ll be able to see when viewing the Contact record.
It’d be great to get feedback - if this helps with your needs here. -
UK Payroll - Adjust dates for holiday / statutory leave year
We should be able to adjust the holiday year to the UK tax year as that seems to be very common. ( There is already a discussion topic for this but I cannot see it on this list.
We should also be able to show holidays in days not hours.
We should be able to calculate holiday hours for employees that do not do a 5 day week. The hours taken on holiday need to be overwritten every time a PT employee books time off.67 votesHi everyone, thanks for your ongoing interest and support for this idea!
We understand the needs surrounding being able to adjust the dates for your leave year, whether that be to shadow the UK tax year or otherwise.
Our product team are excited to share that this is an area we are currently looking into developing.
Your feedback and ideas are extremely important to us. As such, we’d like to reach out to our valued community members to get involved in prototype testing, commencing later this month.
The testing will involve using a prototype tool to assess the usability and functionality of our proposed changes to a customisable leave year. We would encourage users that feel strongly about the lack of this function to sign up and welcome users of all experience levels.
Given the popularity of this idea we expect spaces to fill up fast. We will close the…

Bank reconciliation report to show contact reconciled to
Bank reconciliation - A report that will show each bank transaction and then which invoice it has been reconciled against, as a way of having a quick way to check something has been reconciled incorrectly. Currently, the only way is to view each transaction through the account transaction report.
5 votesGood to hear you're aware of how you can run the Account Transactions report to view this information, Catherine - Is there a reason or something missing from this report that would help you when reviewing transactions?

Reporting - Option for selective printing (similar to XPM)
Only option is to export documents from Xero. Can the Print option, like in XPM (see attached pic) be added
6 votesHi Zoe, thanks for sharing an image of the comparison in XPM. Would this be particularly for when you're running the management reports or another set of reports from Xero?

Create supplier prepayment from bill
Suggest being able to turn a bill to pay directly into a prepayment or better yet a part prepayment.
The Bills to Pay function doesn't work well (at all?) for prepayments - if a draft bill is received there is no workflow to set it as a prepayment recognised by Xero (although you can set the account to debit as a prepayment). Suggest adding "Record as prepayment" to the bill options drop down.
Even better would be the functionality to record the bill as a part prepayment, many of our bills are for annual service delivery, therefore the bill will…
4 votesHi Matthew and Anthony, appreciate perhaps not as streamlined as you'd like here there is the ability to apply a prepayment to a bill.
In Xero, you would enter the bill to recognise the expense, payment itself would generally be recognised through the bank account when reconciling which is where you can create a prepayment and then apply the credit to the bill.
Alternatively, if you'd like to do this from the bills screen, you could use the create icon (+) in the top blue navigation and select Spend Money when redirected you'll want to switch the 'Spent as' to Prepayment from Direct Payment.

General Ledger (detailed) - Quantity column
Hi there, would be awesome to be able to have a column in the detailed general ledger which has the quantities from what you entered in the quantity column when you reconcile the transactions. This is especially important when figured is used with Xero. As it takes a lot of time to go into each transaction and see what the stock quantities are to get the group total.
16 votesHi Maddy, may depend on how the stock is being recorded in Xero and reconciled with Figured - would the Inventory Item Details report be of use here?
You could group by Item name, include Expense, Inventory & Revenue accounts, as well as QoH movement to view the total # of units sold in the period you're running the report for.

New Bank Reconciliation report - Include note for foreign currency exchange
Exchange rate on bank reconciliation report
For foreign currency bank accounts, the old bank reconciliation report used to include a note stating that the exchange rate per xe.com that was used to translate the bank balance to the home currency at the report date. This was very useful information to include, as it confirmed the rate and the source of where that rate was obtained. This is not included on the new format bank reconciliation report pack. Please could this note be brought back on the new format reports?7 votesThanks for showing your interest and feeding back on the difference between old and new Bank Reconciliation reports. We understand wanting to see a change here and we have plans to focus on foreign currency disclosures after the work to retire old reports in July is complete.
Right now, you’ll need to obtain the revaluation rate from your organisation's Currencies settings screen and add it into a text block at the bottom of the report.
We'll keep you updated of when the team begin actively working on this, here.

Contact - Add field for payment terms (e.g cash on delivery, late payer)
I want to be able to flag COD clients, so the sales team know to collect payment at the point of sale.
7 votesHi Sharon, recently we released a new feature in Contacts that will enable you to add a note for a contact that can be visible from a contacts record - Right hand panel meaning you could add any detail about contacts that you receive payment from at the time goods & services are supplied in this field.
Is this enough to solve your needs here? 🙂

Invoices - Option to bulk upload line items
Ability to upload invoice lines into sales invoices (like journal upload) When you have to produce large multi line sales invoices the ability to upload from an excel file would be a huge timesaver instead of having to enter each line individually.
2 votesHi Mandy, right now it is possible to import invoices with a CSV file. If you'd like to add multiple lines for the same invoice you just need to use the same invoice number for each row of the file. We have some help and tips on the formatting of the file. Or is it something a bit different that you're after here?

Reports - Display Multicurrency Original Values
Reports - Display Multicurrency Original Values
Allow Reports to display the original values for a chosen currency.
Currently when running a Multicurrency report, the value shown is derived from the chosen Currency being exchanged from the BASE currency of the package. So if a ZAR base package has a €2000 Invoice in it, with a €2000 payment to a Euro account…. The profit and loss report, when run in Euros, will show that (today) as roughly €2037 after the back and forth conversions.
It would be very nice to have a reporting function that allowed the original values to be…
4 votesHi Richard is there a specific report you'd find this useful in ?
You can run the Payable and Receivable invoice reports in other currencies an org has used but good to know if there's another report you'd be looking for this in.

Contact record - filter view based on activity type
When viewing a Contact's record, the activity can appear cluttered with every single change made, including adding planned payment dates, removing planned payment dates, adding invoice notes, editing the contact's record etc.
It would be good to be able to filter this page to look at say Bills Paid and Invoices Paid only; or Invoice Sent only.
As it works now, for a very active contact, this can quickly become difficult to navigate.5 votesThanks for your feedback and sharing your idea in the forums here, Jo - As part of our work for 'building on beautiful' a contact record is the next page in this space that'll be getting a new look.
Though a little too soon to confirm what it will look like, I can say that the page will be cleaner, with filters to help with viewing what is shown on the page.
I'll keep you updated, here 😁

Make Invoice Settings accessible from Invoices Summary page
If I need to make changes to the invoice settings from within the invoice page, there's no way to access the settings. In fact, it was pretty hard to find the invoice settings at all! Please put a direct link from the Invoice summary page to the Invoice Settings. (I agree with another suggestion that access to Invoice Settings should be controlled by role type).
3 votesGood to hear you've an existing idea you'd like to support too around access to settings, Natalie. Currently only the Standard or Advisor roles will have access to Invoice Settings - more on this here.
When it comes to accessing Invoice Settings from sales, while it's not available from the list view of invoices, you'll find if you have the right role you can jump across from an individual invoice by clicking the 3 dots in the top right of the page - see my pic below.
Does this accomplish what you're after here?

Bank transactions - Ability to post payments without a contact
Require the ability to post net wages, loans, drawings without a contact. This information should not be accessible in the customer/supplier ledger/contact section.
3 votesHi Charlotte, can you expand a little on your needs or use cases for your idea here?
A wage would generally be connected to an employee in payroll. Managing a loan is a little different and we have suggestion of how to do this in our help here, and when it comes to drawings and introducing cash to the business this would generally relate to a specific shareholder and would be recorded as Spend or receive monies, if you'd rather not specify the contact you may want to set up a generic contact that you could code these sort of transactions too.

AU Payroll | Lock ABN in Organisation settings once STP filed
I would like Xero to automatically lock the ABN on a client's file after the first STP event has been lodged. This will prevent clients changing the ABN when they change the entity's structure and reporting STP incorrectly across two ABNs. Undoing this mess is a nightmare.
33 votesThanks for your feedback so far, everyone.
We're currently looking at ways we could help fix double counting for issues at the ATO that have been made due to changes made to an organisation's ABN/Branch number and it'd be great to get input and further feedback from some of you here to help us understand and solve these issues.📝If you're interested in participating in this research and would be available to connect (this week) on 24th or 25th November 2022 - Please click through and complete this short survey. Thanks 🙂

Supplier Activity Report - Description column includes description
When I run a supplier bill activity report it would be HELPFUL if the description column actually contained the description of the invoices, or at least the start of it. For example, say a supplier is for office rent then I put in the description what period or month the rent is for. Then, if I run a supplier activity report I would expect the ******** description column to show me the helpful description I entered. Instead I get INV Ref: xxxxxx which repeats the xxxxxx from the reference column next to it. Noe useful at all, and the info…
12 votesPayable Invoice Details report, grouped or filtered by your Contact should be of use to you here, Michael.
There is an option to include 'Description' as a column. Let us know if this helps provide the view you're after.

Contact - Save and add another
When entering multiple contacts, it would be good to have the option to "save and create new contact" as well as the "Cancel" and "Save and Close" option after entering the information. Currently you have to press Save and Close, go back to Contacts, then select New Contact.
3 votesDo you often find yourself adding multiple new contacts at a time, Karen? While we don't have plans for a save and add another atm, you could either import contacts, or use the create new icon (+) in the blue navigation menu to streamline this process a little more. 🙂

Contacts - Allow macrons for languages (such as te reo)
We use another software programme which exports all our customer details and invoices etc into Xero automatically. The other programme uses Google to create addresses. A lot of the addresses include te reo, so include macrons. When the text is imported into Xero the macrons cause non-recognition of the characters, so we end up with a mess.
Surely in this modern world, Xero, an Aotearoa, New Zealand, developed programme, can be made to recognise our indigenous (Official) language, and allow correct te reo spellings.
This is 2022 not 1922, please allow us to get this basic NZ requirement correct. Xero…11 votesHi Karin, would it be possible to get a few more examples of names that you've tried to import and not have show with macrons?
One of our team have tested creating a contact via import with the name Whakatāne (/mækrn, me-/) and this created a contact in Xero as shown in this image.
It'd be great to better understand and see if we can look into this a bit more.

Organisation Settings - Setting up a UK company with a non-GBP base currency
We have a UK based client who have a presentational and functional currency in USD. There is no possibility of setting up this company correctly on Xero, as Xero only lets UK organisations use the base currency on GBP to link easily to taxonomy.
It would be very helpful if this could be set up.
6 votesHi Jonathan, when you say presentational and functional currency is USD - does the organisation pay taxes in the US? If so it would be recommended that you pick US when setting up the org.
Alternatively, if US is one of the currencies that the org regularly deals and transacts in but pays taxes in the UK it would be recommended that you select UK and the client is on an org that includes multi-currency in it's plan.
We appreciate customers would like to see more capability with currency in Xero - most recently we have added the ability to run the newer Profit & Loss, Balance Sheet and Budget Variance reports in other currencies an org uses.

Notice of Electronic Funds Transfer (EFT)
Option to generate a Notice of Electronic Funds document to send to suppliers requiring immediate proof of payment. Said Notice to include:
remittance date
name/contact details of remitting party
amount
reference / description for payment being made
the bank details of both the remitting and beneficiary banksNot an original idea but I received a notice from a customer. Today I was asked to submit one to a supplier as proof of payment so they could ship out an urgent delivery but I could not provide one. See sample document attached for reference.
3 votesHi Nina, this is something I'd recommend engaging your financial institution or bank about. While you can set up and create a payment in Xero, the confirmation of funds transfer would come at the point the money is paid from your actual bank account to the suppliers bank account.
If your suggestion however is from the Sales side where you'd like to request your own customers provide proof of payment for invoices you send to them perhaps this could be worked into your organisations branding as part of the payment terms?
- Don't see your idea?
