User Role - Allow users access to specific reports
Ability to only allow some users to access specific reports.
Purpose: Because in some organisation, only some people can only see the information for some reports.
Heya team, we're now actively testing how reports could be grouped and accessed, and we'd love your input in this, so we can design a better report grouping structure that supports role-based access in reporting.
Get involved! Complete a quick 15-min online activity to test how reports are grouped and accessed:
- Part 1: answer questions about the current report grouping
- Part 2: explores a new grouping and role-based report access
👉 If you're interested, please go through the link here.
Thanks again for your support and contributions to developing a solution that works best for majority of our customers!
(Just to note - If you’ve already gone through this activity, there's no need to do it again — our researchers may have contacted you earlier 😊)

Due to the pressure from Dept Heads and Management on Finance team to report on a real time basis, if Xero can have a function where we can send a live link to individual Xero reports to Dept Leaders in the company so that they can generate the report at any point of time, it would make a huge impact.
Eg. Creating a report specific to IT and let the IT Dept head able to access the unique report on Xero platform on an real time basis whenever they need to make a decision. The non-finance user dept doesn't need to have Xero login, they just want to view that specific report thru the link that is only given to their email access. Finance team can remove the access anytime from Xero system.

We have a client where they have a user with an "Invoice Only" role. This person is responsible to import the billing invoices from Hubdoc to Xero and approve the invoices. This user does not handle the payments of the billings.
However, after processing the billing invoices, the client wants this user to give them an Age analysis, which she cannot do with the "Invoice Only" option. It would be great if the "invoice only" role had to option to add certain reports that the user may access to give through to management.

Hello Xero
I have a sales team who would like to see reports based on their sales only which is a custom report we have designed. However, they can view all reports so we have to download the report upon request every time which is so much admin time.

Hi team - your response to this idea (now supported by 179 people) advised you would look further into it once the older versions of reports had retirned (31/7/23). What is the latest regarding this issue that is clearly a problem for a lot of users?

Hi Xero,
Please have a look at this, we have people with read only access but would like to limit their reports to just custom so we can decide the types of information they can generated
Thank you :)

Hi Xero,
Please could you look at this again. Our sales ledger and purchase ledger clerk is unable to run reports without me granting her access to highly confidential information.
At the moment this is creating more work for me than necessary. -

Would like users with read only user role to access the short term cash flow report like the users with read only can access Business Snapshot

The reports are already segmented in the reports window so a user role that can access the reports in one or more of those segments would be a logical first step. As a professional partner we actively encourage our small business clients to use Xero but this issue is a problem for many of our clients for all the reasons outlined in previous comments.

Xero please relook at this. I agree with Leneze Toerien's comment "This forces a manager/owner to do all of the work which is not very effective". This is what we are struggling with.

Can we have this relooked at? Separating reports for users is crucial. As well as some other functions that certain users are privy to. This forces a manager/owner to do all of the work which is not very effective.

I love your software except for this major issue!!
As Xero continues to promote the software to small businesses, Xero should consider that businesses require employees to work using the Xero software but do not want to share all the confidential financial data with the employees. Would you want to allow an accounts payable clerk or an accounts receivable clerk access to your profit and loss statement. The answer should be no. Xero should make this a priority and not leave it on the back burner. -

from a credit control point of view it would be great to add aged receivables to the sales invoice only access and like wise for payables just for segregation of duty and responsibilities

Hi everyone, as our business models increase along with staff financial literacy comprehension, this user access and role is more and more required.

This is critical for us too - If Xero could separate banking from reports it would make things a lot easier. We have staff that need stock reports or Project reports and currently I have to ask the owner to manually do them and export them. Quite problematic as he's not always available when these are needed.

People who enter invoices and bills but can't access banks should be able to have permission to see AR and AP reports even if they are not permitted to see other reports

A client of mine, a large earth-moving equipment business would like certain employees to have access to some reporting but not be able to view the bank. Currently, Xero is setup to combine the bank with all reporting. This means that some employees who need reports such as Aged payables, can also see the sensitive information in the bank. Not a good thing at all for this client. Would be great to have more combinations of user permissions.

Thank you for your comment.
The lack of defined user access and reports is a definite problem. I have found a solution… it’s called MYOB. Our larger clients all require distinct roles separating senior management from clerical staff. Xero is great for small clients, owners processing their own file. However, any client with serious growth potential should be using MYOB. We have recently assisted a client migrate back to MYOB and we won’t recommend Xero to any client with a turnover exceeding $5mil (and some smaller), nor to those with potential to grow.
