Projects - Assign a Purchase Order to a Project
Ability to assign purchase orders to a project in Xero.
Purpose: To make Xero projects overview shows everything ordered/billed & invoiced to the customers.
Hi community, some time passed since our last update in the thread here we do want to return and share - while our product teams explored possibilities for how we might represent Purchase Orders in Projects research has confirmed that there is underlying work needed to the platform Purchase Orders are built on before we can achieve any good outcomes of your needs here.
We have enthusiasm and a close eye remaining on the support for this, but want to be honest that this is not something that we’ll be able to focus our attentions on in the near future.
Once we have completed work first needed in the Purchase Orders space we can reassess how to integrate purchase Orders into Projects and will update you all of steps forward, here.

So Im looking at the logic on this
Agreed - it would be great to assign a PO to a Project
Our workaround is to create a draft bill from a POAnother way is If you are in your PROJECT - you can add QUOTES - which are reflected in the costs.
If you change your perspective and look down the lens that you would assign items to a project because you have received and order and/or a quote acceptance
Then it would make sense that you can create a PURCHASE from the QUOTE (which is already in the project)
So what XERO have done is allow you to create a PO from a QUOTE -
In PROJECTSFrom the top 3 dots on the right you can : COPY Quote to Bill / PO / Invoice / new Quote
So maybe just look at this functionality from another point in the process!

Just on Minnies comment.
Unfortunately assigning the project after converting to a bill is the workaround we all have to live with whereas it should be a native featuret of the PO itself as it is with the Bill.
-Some PO's receive multiple deliveries and so it has to be done each time.
-The person converting to a bill has to know what project to assign it to and unless it is otherwise noted on he PO or is featured as a comment on the bill they would not know.
The point of the new software is surely to save time and reduce processing, This does not!

As a work around
- we turn POs into draft bills
- from the draft bill we can assingn items to a project - not ideal but its something so we can track costs / materials
you could also - create a QUOTE add to a project
- we havent tried it but you can copy a QUOTE to a POjust some thoughts !
- we do like the feature to track time tho!

Without this we cant effectively run CVRs for construction jobs and thus will need to move to a more comprehensive system.

We have recently moved from SAGE to Xero and while most of what Xero has to offer exceeds our expectations, we came across in the hope that the Projects could be used throughout Xero. We are a construction based company with 50+ projects each financial year. However, its seems Projects are detected from the rest of Xero - no option to allocate a Project to a Purchase Order, No option to filter general reports by Projects. There are many limitations to Projects - Tracking accounts seem to have much more use, not sure why Xero cannot treat projects like tracking accounts?

To have the feature Purchase Order assigned to Project in xero not only benefit to your customers but to yourself (xero). It will attract more users to xero. If xero willing to keep on improving to meet the customers' needs, we will sure to continue using xero.

I had three customers choose xero and change to QuickBooks because of the absence of this feature. It completely undermines the system purporting to do Projects.
Please can we have the ability to assign project to purchase order. -

Very disappointing this is not being made priority. This is a key function of which the ability is possible in slightly different way for just Client assignment, and should be available on an extra, paid for, addition to Xero.

Hello, I just wanted to say I am new to Xero, moved from QBO. This function would highly benefit our business, so that we know we have ordered the items needed for a particular customers' project.
At the moment we have no way of checking or linkage. Please could you give me an update if there has been any progress since May?kind regards

All Purchase orders to be assigned to a project and used as an estimated expense to track against.

Hi It wont just benefit, it is essential. At the moment we have no way of noting which part of order goes to which client. This is making a huge amount of work for us that we did not have using Quickbooks. Starting to regret moving to Xero (and I dont say that lightly).

This is essential for tracking costs on projects as it helps avoid going over the allocated budget. It should be a very simple feature to implement, I don't know why it hasn't been added already. SAGE has this feature.

I believe the “Project” column you are referring too is a Tracking Category labeled”Project”. Miss leading for sure. We’ve had to duplicate efforts in tracking all our XERO Projects into a “Project” tracking category as the existing reporting for XERO Projects is limiting to get a true P&L.

This is critical, and it appears you literally already have it. There was a link shared by Roberto Serrano that shows a tutorial that was being done on POs and it shows the project column in the PO screen! This really should be something that is easy to implement.

Assigning Purchase Orders to Projects is an essential and critical element required to provide accurate reports on Project Reports.
What's the point of paying extra for Projects if you can not use it to its full potential!
Please please please develop this ASAP!
