Sales Invoices - Set defaults for attach PDF and send a copy in new invoicing

Auto select option to attach a PDF copy of the sales invoice by default.

Purpose: Save time having to manually tick the option to include PDF when sending an invoice in new invoicing

Hi everyone, returning now a few months on from our last update we're going to move this idea to 'Delivered' with the change the team made to default to include a PDF of the invoice when sending an invoice from Xero when using new invoicing.

We understand there's a secondary need being asked within this one idea that we'd like to continue to gather feedback and support for and have sprung up a new idea for the ability to default include files attached to an invoice when sending from Xero - If this is what you're after please do join and add your support there too.

A somewhat similar but slightly different need bought up by some is the ability to auto include specific files when sending from Xero - For example Terms & conditions that have been created as a separate file.

You'll find this has been created by another user in Product Ideas and you're welcome to support in this too.

Again, thank you for all your inputs here and sharing your personal 'ideal state' - we appreciate your feedback, it helps us to continue to shape the future of invoicing at Xero.

    Every month I attach 4 files to each of 200 invoices, that's 800 clicks per month to include them (not including the extra clicks because the click area is tiny). I always include them - seriously not sure why I'd add them if I don't want to send them with an invoice but anyway, am sure someone does :) Not me though! ++++ for this feature please!!!

    Come on Xero, lets get this feature sorted - everyone wants the PDF of the invoice included with the email by default.
    Easy fix for a good developer!

    If the "attach invoice as PDF" box could be checked by default when sending invoices that would be fantastic!!

    Please make the manual check box in sending invoices possible to make auto on, rather than auto off.

    Not being able to attach a file means that customer accounts receivable OCR tools can’t work. Fix is to manually send invoice pdf and I want to automate invoice sending.

    These are common requirements.

    Please can we set PDF invoice to be attached by default. It is important for recurring billing. Also many customers get annoyed when the PDF is not included, so it reduces user error issues.

    Hi,
    Please understand that we want the invoice to be included automatically, so that we can setup repeating invoices and have a copy included with it is emailed to the customer.
    It use to be on classic.

    Yes, we can tick the box to include the pdf in new invoicing.

    We are asking for the option to have it DEFAULT to ticked, so it doesn't get forgotten.

    There are 2 issues here:
    1) is customer invoices on a repeating invoice you cannot set the default to attach pdf invoice. Councils who are our customers their IT system does not permit to click on the link to view/download invoices. So we manually do the recurring invoices. That's nuts when xero should have this automated.
    2: recurring bills, say a Pipedrive sub or insurance payment that recurs every month, you can have the original invoice on the repeating invoice but they do not carry to the auto-created bills every months.
    Please fix both. You would think this is a no brainer. Thanks Xero.

    Hi Kelly, just so I understand, how does your response address the original request, which is: "Set defaults for attach PDF and send a copy in new invoicing"

    Auto select option to attach a PDF copy of the sales invoice by default.

    We're just asking for an option to set a default of attaching a PDF of the invoice to the email sent to the client. Would like to understand how your response addresses this request, as I'm not entirely clear. Thanks.

    With all of the scams that are out there, a link within an email is sometimes seen as a potential threat.

    Many of our customers won't click on a link unless they have verified it is genuine and been sent by us. A good practice to protect their business but is costing them and us time and money every month.

    On the flipside there are some customers that are always going to be less cautious and just click the link anyway.

    The same could be said for attachments too.

    It is a personal preference, but I do think it needs an option to set it is on/off as default possibly by contact or overall for the organisation.

    This is essential for all my customers that use the AP system. It's adding 30 days+ to my payment dates.

    Attaching a pdf must be included as a default in Xero and here is why:

    AP automation invoice processing software solutions that integrate with a range of financial systems do not process emails without an invoice attachment. Invoice emails with links do not get ingested for processing get an automated rejection message asking to attach the email pdf attachment.

    Therefore this delays payments and creates unneeded stress for anyone sending invoices without an attachment (Majority of Xero clients it seems).

    Without this feature Xero is unfortunately causing their clients delayed payment issues for anyone who sends invoices to their customers with AP automation software with only a link attached. The email is rejected.

    I cannot understand why defaulting a pdf attachment is not a standard offering for Xero because without this feature many Xero customers will have issues being paid on time.

    For repeat invoicing we need this back.
    Crazy that it was removed.

    Absolutely essential, we need to be able to send PDFs and receive them from our suppliers. Hopefully this will also allow sending invoices through api to attach PDFs. PLEASE

    Some of our invoices are auto-populated from another software but our clients require PDF's not links.. Having the "attached pdf" as a default is essential.
